1 How do I view and download reports? There are 2 key areas in the reporting suite: Overview & Detailed. Overview Reports Providing you with volume and value summaries by account and product. Detailed Reports In-depth flexible reports providing you with full sales order details, including information on sales order data within specified billing dates. Detailed reports also allow you to identify contingency orders which have been raised on your behalf.

2 Using the Overview reports To select the report type that you want to use, choose the Overview option. Enter your date(s) or date range. Use the drop down box to select a specific date, a date range or multiple date ranges. The following options are available for inputting dates and date ranges: Symbol Definition = Equal to entered date [ ] Data between date range <= Equal to & before entered date > Data after entered date >= Data equal to & after entered date < Data before entered date <> Data before & after entered date If you change the selection from Include to Exclude and run the report, the data returned will not include your selected date(s), but will include all other dates. To enter more than one date range, simply select insert row. You also have the option to choose whether you want the report to be returned with information for a specific account or accounts. Simply click on the icon at the end of the Account text box, select the account(s) you want data for and select Transfer. This brings you back to the Overview page again. Once you have entered the date(s). click on Execute

3 You also have the option to choose whether you want the report to be returned with information for all accounts that you have access to, or information on a specific account(s) If you want a report on all accounts you have access to, simply leave the Account box clear and click on Execute. If you want data on a specific account(s) then click on the icon at the end of the Account text box, and a new window appears with a list of all accounts that you have access to. Select the account(s) you want data for by clicking in the selection box and click on Transfer this brings you back to the Overview page again but the Account area will show the account(s) you have selected. Click on Execute for the report to be produced.

4 Select your sub report by clicking on the relevant header. Within the Overview reporting suite you can choose between 4 different sub reports, depending on the information you need. In the body of the report, using your mouse, hover over a column until the symbol changes to a hand symbol and right click in a column. A sub menu will appear, allowing you to perform various actions to personalise the report such as: Fix Filter Value to Axis: Select the information you want to filter on and this will be applied across the report. For example, if you click on a specific date within the Date column, then the report would refresh to show only the information for the date you have selected. Select Filter Value: If you want to filter several bits of information, then you can use this function to select several areas of data. Filter & Drilldown according to: If you want to filter to a specific reference field, you can use this filter function. Swap column header name with : Allows you to change the column order. Sort column header name ; Organise your columns to either ascending or descending order Goto Sales Order Ad-hoc: This opens up a new window showing you the adhoc report for the date range you entered and on the relevant account and/or service you have selected. The ad-hoc report shows date, sales order, account, poster, who confirmed the order, product, weight, international destination code, class, format, volume, item weight and value. Export as : download the report into either a CSV or Microsoft Excel file. Bookmark: Allows you to run a report and a new report at the same time.

5 Downloading your report Now you ve run your report, you can export it into either CSV or Microsoft Excel 2000 files. In the body of the report, using your mouse, hover over the column until the mouse indicator changes to a hand symbol. Right click and select Export. Choose the format you want to use, usually this is Microsoft Excel Your report is now ready to be used as you need.

6 Using the Detailed Reporting Suite Select the report type that you want to use Choose the Detailed option In the Detailed reporting suite, you need to choose which report you want first by clicking on the name on the report. The options are: Sales Order Ad-hoc Sales Order by Your Reference Sales Order by Department Bulkmail Product Families Contingency Orders-Summary Contingency Orders-Detail Contingency Orders (over time) Summary by Account Summary by Product Volume by Product (over time) Fee Service Billed Amounts Invoice Summary Invoice Ad-hoc

7 Enter your date(s) or date range. Use the drop down box to select a specific date, a date range or multiple date ranges. Once you have entered the date(s). click on Execute NB: With the Sales Order Ad-hoc report, you also have the option to search by Sales Order Number, but you would still need to enter either a date range within which the order was confirmed or the actual date that the order was confirmed.

8 You also have the option to choose whether you want the report to be returned with information for all accounts that you have access to, or information on a specific account(s). If you want a report on all accounts you have access to, simply leave the Account box clear and click on Execute. If you want data on a specific account(s) then click on the icon at the end of the Account text box, and a new window appears with a list of all accounts that you have access to. Select the account(s) you want data for by clicking in the selection box and click on Transfer this brings you back to the Overview page again but the Account area will show the account(s) you have selected. Click on Execute for the report to be produced.

9 Once you have selected your Sub report Your report is available for you, but you have the ability to manipulate the data by using the Navigation Block. If this icon is showing, in the right hand column, then the data is already shown in the report data below or if the icon is in both the left and right hand columns, then you have the option to add the data into your report, by clicking on the icon in the left hand column if you want the data by row, or the right hand column if you want the data to show in columns. Our recommendation would be the row view. To remove data from the report, click on the icon. If you wish to filter the report by a certain criteria, for example CRN Code, click on the icon. Or in the body of the report, using your mouse, hover over a column until the symbol changes to a hand symbol and right click in a column, a sub menu will appear allowing you to perform various actions to personalise the report.

10 Downloading your report Now you ve run your report you can export it into either CSV or Microsoft Excel 2000 files. In the body of the report, using your mouse, hover over the column until the mouse indicator changes to a hand symbol, right click and select Export. Choose the format you want to use, usually this is Microsoft Excel Your report is now ready to be used as you need
