1 Job Description 1. Main purpose of job The Fundraising Database Executive will implement and support the evolving strategy and best practice in the Society s use of its fundraising database. The postholder will co-ordinate business processes to all users and at all levels throughout the Society, working closely with the Fundraising Database manager to champion and extend the use of the CRM database across all departments and directorates. 2. Position in Organisation Reports to the Fundraising Database Manager Line manages Fundraising Database Officers and oversees management of Fundraising Database Assistants Direct employment and supervision of temporary staff and volunteers, as required Responsible for implementing processes in database development Key strategic and operational role within the fundraising department Liaises at all levels within the organisation 3. Scope of Job Liaise directly with database software suppliers Oversee key internal stakeholder relationships Identify key areas for development and training Key resource in development of the fundraising database Design and deliver user training and procedures 4. Dimensions and limits of authority Responsible for maintaining and developing strong working relationships with database users Responsible for advancing database knowledge and implementing processes across the fundraising directorate Responsible for progressing complex activities without reference and within criteria agreed by the Fundraising Database Manager Advise on appointment of and work with external agencies and experts without reference and within criteria agreed by the Fundraising Database Manager 5. 2 With the Fundraising Database Manager, identify and plan staffing requirements with reference to overall Society strategy Positive contribution in supporting the fundraising departmental strategy Database Analysis and Development Liaise with database software suppliers to ensure the fundraising database is working efficiently for organisational needs Assist colleagues across the Society in maximising use of the database with regard to record-keeping and analysis Organise and oversee any training issues for users outside central office Keep up-to-date with developments in the fundraising database industry and recommend any identified additions or changes to current process and functionality Compile and maintain systems and procedures manuals to support the database Undertake staff training as necessary Database administration Liaise with IT department and other suppliers to maximise efficiency of data importing and general use of the Progress CRM system Implement and support departmental processes for import of personal and transactional data Implement and support procedures for regular house-keeping; ensuring data is accurate and complies with the Society s business rules and Data Protection legislation Implement and support financial processes to ensure information updates are followed in an accurate and timely manner Identify on-going issues and difficulties with all forms of data and work with internal and external suppliers to diagnose and resolve as necessary Supervise Fundraising Database Officers; setting and ensuring compliance with SLAs and KPIs Ensure that all internal clients are aware of changes to business processes with regard to the fundraising database Database support Diagnose problems with Database tools and features, and work with internal IT and external suppliers to provide solutions With the Fundraising Database Manager, write and update database business rules Devise and implement best practices for database support procedures Ensure that all database users across the Society are kept up-to-date with latest advances or changes in procedure V of 5

3 Work with the Fundraising Database Manager to design and prepare reports for all teams and directorates on diverse aspects of the database Understand the needs of all teams and directorates and advise on proper use of the database Be familiar with all day-to-day tasks in the fundraising database and able to stand in for other members of staff as necessary External Facing Represents the Society at external presentations and meetings as agreed with the head of fundraising support Liaises with external suppliers regarding data issues This job may involve working outside normal office hours and at weekends to carry out database related tasks without effecting service to the users for which time-off in lieu will be given. 4 Person Specification All of the following requirements are essential, unless marked with a * when they are desirable, and will be assessed from a combination of information provided from the application form and interview process. Education and qualifications Numerate and literate, with a good standard of education up to degree standard SQL or T-SQL qualifications* Microsoft VBA qualifications* Experience Experience of independently identifying issues and inefficiencies, and proposing sound solutions Experience of implementing and supporting database processes Experience of working with technical IT staff Experience of supporting large, multi-user CRM databases Experience of working in a customer-facing environment Experience of building and running data reports Line management experience, including supervising and developing staff Experience of using SQL to extract data and identify data issues Experience of fundraising environments* Experience of designing and providing training to end users* Experience of SQL based reporting* Experience of ASI Progress CRM* Skills Excellent understanding of database value in a large organisation Able to analyse information and make objective decision based on the outcomes Strong negotiating and influencing skills Strong team working and interpersonal skills Excellent written and verbal communication skills Able to work effectively on own initiative and as part of a team, without close supervision Able to demonstrate a consistent approach to others with confidence and integrity Able to work to multiple deadlines and under pressure Strong attention to detail Advanced Microsoft Office skills; in particular Word, Excel and Outlook Advanced skills with Microsoft Access* V of 5
