As we begin the schl year , we will cntinue t ffer parents, children, IEP teams and schl staff the services expected frm ur prfessinal Special Educatin Translatin/Interpretatins Department. We will als pursue the search fr better ways t enhance ur services, reduce the csts t ffer quality interpretatins at IEP meetings and Special Educatin related reunins and events. We are lking frward fr an exciting schl year and we feel privileged t be a part f it. Fr schl year , we wuld like t highlight the fllwing: INTERPRETATIONS AT MEETINGS (SPANISH VIETNAMESE): Requests fr Spanish Interpreters at IEP meetings. Yu may request an IEP meeting r multiple advance meetings at IEPrequest@sandi.net. The reply with availability and cnfirmatin will be made within a day We ask case managers t request meetings in the fllwing time frame: 1 week in advance fr the mnths f: July August 2 weeks in advance fr the mnths f: September January 3 weeks in advance fr the mnths f: Octber Nvember December February 4 weeks in advance fr the mnths f: March April

2 May June When requesting a meeting we ask fr the fllwing: Site Date Length f the meeting cnsideratins: If the meeting is ging t take lnger than expected, please indicate the length f the meeting in hurs regardless if the IEP is Initial, Annual, Triennial, Supplemental, Interim, Assessment Cnference, Grup r Due Prcess meeting. If the IEP meeting is mre than 2.5 hurs, we will assign tw interpreters depending n the case (if there is availability f interpreters). If we cannt assign tw interpreters, please allw 15 minutes break at the middle f the meeting. If the meetings requested are back t back, we will request (depending n the length f the meeting) 15 minutes befre the secnd and/r third meeting. When mre than 9 peple [including parent(s)] are expected t attend, tw interpreters will be assigned depending n the length f the meeting r the use f transmitter and headsets equipment fr simultaneus interpretatins. Nt ask the agency t call t verify if parents will attend the meeting. Please d nt call agency directly t request a meeting, it will create an apprval prblem because the request (meeting) is nt in ur master schedule. Cnfirmatin f meetings: Once the request is made the reply will cnfirm the meeting (when there is availability f interpreter (Spanish r Vietnamese. If there is n availability, fr Spanish r Vietnamese, we will suggest ther available date/times. Meetings will nt be cnfirmed if there is n student name. On ther languages the name f the interpreter will be frwarded nce we have it frm the agency. 5 Used by sme Interpreters; takes mre time per meeting Visual Interpretatins: Used if IEP r dcuments are read by the interpreter instead f the Case Manager r members f the IEP team (dcument reading frm riginal language t target language at the same speed f reading, almst the same as Simultaneus. VALUABLE INFORMATION Whenever pssible we are inclined t schedule and interpret back t back meetings. Advantages: Travel time frm a different site Mileage expense Scheduling at different dates Travel and pssible autmbile prblems Please indicate if there is a cancellatin prir t the start time f the meeting (t IEPrequest@sandi.net) t avid mileage expense, travel time and pssible availability f Interpreter at ther sites. Due t lgistics fr ther meetings the Translatr/Interpreters can nly wait 30 minutes fr the meeting t start and reduce the time frm the riginal requested time frame. We ask schl persnnel t call parents t remind them f the meeting prir t the start time. When requesting a certain Interpreter (familiar with a case) we will try t schedule the interpreter. Our task is t interpret frm English t all ther languages: It is preferable t cnduct the meeting in English. INTERPRETERS CANNOT SCHEDULE THEMSELVES. In all requests made in advance f mre than tw weeks, the interpreters will be tentatively scheduled, allwing the pssibility f changes due t mileage, travel time, sites, etc. This will allw us t btain the best linear schedule (nearest site) The schedule fr all Interpreters will be n Outlk. They will call t cnfirm if there are any cancellatins. We will schedule frm 1 (ne) t 6 (six) mnths in advance and we will request the cnfirmatin f student s names, IEP types, length f the meeting, number f peple attending (n names, n psitins) and rm #. Fr the fllwing mnths if scheduling is fr mre than 6 mnths, all IEPs will be cnsidered as tentative. We cannt reserve space fr the whle year, we can schedule tentatively but there are n reservatins unless there are cnfirmatins every mnth. Just indicate that the fllwing mnth is cnfirmed and the spaces will be kept. Languages ther than Spanish and Vietnamese: We have an agreement with Alliance fr Africa Assistance. We have all languages.

6 Request time: Fr mst languages 2 weeks in advance Fr Tagalg and Hebrew mre than 2 weeks All IEPs requested directly t the prvider (agency) will nt be apprved fr payment. This last schl year several case managers went directly t the agency and n meeting was registered in ur Master Schedule, therefre creating a prblem t apprve payment and t schedule the meeting. Fr ur department budget purpses every request fr different languages riginates a payment as fllws: First hur: $ Secnd hur r subsequent hurs: $ N shws (parent cancellatin): $ Interpreter mileage at.56 per mile Telephne calls $30.00 frm 1 minute t 30 minutes Telephne calls will be limited.
