1 DIRECTORS AND RESPONSIBILITIES - YE Managing Director (MD) The MD is the company s leader. They take ultimate responsibility in all matters. 1. Identify, develop and direct the implementation of business strategy 2. Plan and direct the organisation's activities to achieve stated/agreed targets 3. Recruit, select and develop executive team members 4. Direct functions and performance via the executive team 5. Maintain and develop organisational culture, values and reputation in its markets and with all staff, customers, suppliers, partners and regulatory/official bodies 6. Report to area board on organisational plans and performance The Young Enterprise MD will be a good listener and a confident speaker, not afraid to take control when the need arises but also be able to effectively delegate responsibility to others. 2 Human Resources Director (HR) The HR Director looks after the employees. As the company s staff are their biggest asset, they need supporting, organising and at times, disciplining. 1. Plan, develop and implement strategy for HR management and development 2. Manage disciplinary hearings 3. Keeps personnel records 4. Establish and maintain appropriate systems for measuring necessary aspects of HR development 5. Monitor, measure and report on HR issues, opportunities and development plans and achievements within agreed formats and timescales 6. Manage and develop reporting staff 7. Liaise with other directors so as to understand all necessary aspects and needs of HR development, and to ensure they are fully informed of HR objectives, purposes and achievements 8. Contribute to the evaluation and development of HR strategy and performance 9. Ensure activities meet with and integrate with organisational requirements for quality management, health and safety, legal stipulations, environmental policies and general duty of care. The Young Enterprise HR Director will be a good listener, able to show empathy with an ability to carry out decisions made by others. You will need to pay attention to the performance and interaction within the team, ad be prepared to tackle difficult or sensitive issues. Good record keeping and a clear attention to detail is also required. 3 Marketing Director The Marketing Directors role is to plan and implement sales and marketing activities in order to meet company targets for retention growth and profitability, and to contribute, as a board member, to the executive management of the company. 1. Plan and implement marketing strategy, including advertising and Public Relations. 2. Plan and manage marketing resources according to agreed budgets. 3. Select and manage external agencies, including the media (TV, Radio, Press) 4. Manage Research & Development and New Product Development and new business development. 5. Monitors customer satisfaction 6. Maintain and develop corporate image and reputation, and protect and develop the company's brands via suitable Public Relations activities and intellectual property management. 7. Plan and manage internal communications and awareness of corporate direction, mission, aims and activities The Young Enterprise Marketing Director will be a confident speaker, a good presenter with a creative flair and a self driven personality. The ability to network and manage their own time and resources is also important. Plan and implement sales and customer retention and development. 2. Plan and manage sales resources according to agreed budgets. 3. Maintain administration and relevant reporting and planning systems. 4. Manage relevant reporting of management and financial information for the sales department. 5. Contribute to the Research & Development and New Product Development and new business development. 6. Develop sales targets; manage new and existing customer contacts. The Young Enterprise Sales Director will be confident, a good speaker and communicator and have the ability to meet and network to develop potential sales opportunities. 4 Finance director (FD) This role's responsibilities depends on what your company is and requires, typically responsible for all aspects of financial reporting but also generally of reporting to shareholders, administration of tax and dividends, etc. The FD actively participates in setting business and financial strategy and planning, monitoring, management and reporting. In practice, you can expect the role to entail: 1. Produce timely, accurate financial management information 2. Record all financial transactions 3. Manages and forecast cash flow 4. Produces profit and loss statements 5. Controls bank account 6. Financial staff management, motivation, training, recruitment and selection. 7. Contributing to strategic planning and development as a member of executive team, and probably keeping and distributing notes and records, reports to executive and management team. 8. Other areas of potential responsibility: company insurance, import/export administration, licensing, contracts and agreements, legal areas and activities The Young Enterprise FD will have a good head for numbers and a sound understanding of Microsoft Excel. The ability to both understand and communicate on financial matters, bank accounts etc and keep good records are also essential. 5 Operations Director (Ops) Typical job description duties 1. Manage and control departmental expenditure within agreed budgets 2. Purchases and manages raw materials 3. Keeps stock records and inventories 4. Maintains equipment 5. Liaise with other functional/departmental managers so as to understand all necessary aspects and needs of operational development, and to ensure they are fully informed of operational objectives, purposes and achievements 6. Ensure the company complies with environmental guidelines 7. Safe plant and machinery, and safe movement, storage and use of articles and substances. 8. Adequate provision of first-aid and welfare facilities and support. 9. Proper and timely assessment of risks to health and safety, and implementation of measures and arrangements identified as necessary from the assessments. 10. Provision of emergency procedures, first-aid facilities, safety signs, relevant protective clothing and equipment, and incident reporting to the relevant authorities The workplace satisfies health, safety and welfare requirements for ventilation, temperature, lighting, sanitary, washing and rest facilities. The Young Enterprise Ops Director will be a good organiser, resourceful and able to delegate and manage groups of people to deliver projects. 6 Information Technology Director The Information Technology Director manages and provides hardware and software maintenance, training and consultation, and recommendations about future planning and development of resources. Providing these services in an effective and efficient manner will ensure maximum access to and implementation of technology services and resources. 1. Manage information technology and computer systems 2. Develop and implement policies and procedures for electronic data processing and computer systems operations and development 3. Meet with managers to discuss system requirements, specifications, costs and timelines 4. Hire and manage information systems personnel and contractors to design, develop, implement, operate and administer computer and telecommunications software, networks and information systems 5. Control the computer systems budgets and expenditures 6. Ensure technology is accessible and equipped with current hardware and software 7. Troubleshoot hardware, software and network operating system 8. Be familiar with all hardware and software 9. Be familiar with network operating system The Young Enterprise IT Director will have a good understanding of the internet, website usage and design. Use of Microsoft Publisher or similar would be beneficial. 7 Company Secretary The Company Secretary is the organiser and the company s memory. They make sure accurate records are kept and ensure meetings are planned, attendees are notified and minutes are taken. 1. Organising, preparing agendas for, and taking minutes of board meetings and annual general meetings (AGMs); 2. Maintaining statutory books, including registers of members, directors and secretaries; 3. Dealing with correspondence, collating information and writing reports, ensuring decisions made are communicated to the relevant company stakeholders; 4. Contributing to meeting discussions as and when required, and advising members of the legal, implications of proposed policies; 5. Monitoring changes in relevant legislation and the regulatory environment, and taking appropriate action; 6. Liaising with external regulators and advisers, such as lawyers and auditors; 7. Taking responsibility for the health and safety of employees and managing matters related to insurance and property; 8. Developing and overseeing the systems that ensure the company complies with all applicable codes, as well as its legal and statutory requirements The Young Enterprise Company Secretary will be an extremely good listener and an excellent note taker. They will be well organised and self motivated and able to work to a schedule. A sound understanding of Microsoft Word is essential along with the ability to organise and communicate.
