1 PROJECT MANAGER Reporting To: Group: Team: Direct Reports: Operations Manager Operations Team Project Management Office N/A Introduction Vision Role of Team Role Purpose HUIA (NZ) Ltd is a privately owned independent publishing company that has been operating since 1991 delivering leading edge educational resources and publishing Māori stories that have a place in New Zealand literature and throughout the world. Publishing the stories and aspirations of Aotearoa - Māori perspectives and Māori language in New Zealand literature. Responsible for the management of all Huia projects. As a member of the HUIA Project Management Office, the Project Manager will implement best practice project management methodology. Working with project sponsors and reporting to the Operations Manager, this role involves supporting project teams to ensure that projects are delivered on-time and within budget and that products and services are produced and/or provided to the appropriate quality.

2 Job Accountabilities Accountability Requirements Performance Indicators Project management methodology Ensures all projects follow appropriate project management methodologies and approval processes. This includes gathering and defining project requirements, development of project plans, budgets and schedules and appropriate resourcing. PMO procedures and project requirements are achieved across all programmes. Project Planning Project Administration Project liaison Regularly consults with the Project Sponsor to ensure that their expectations are being realised. Identifies potential areas for improvement in current methodologies and provides support for or delivery of appropriate coaching to project teams. Consults with project sponsors and teams to develop robust project plans (detailing activities, resources, schedules and costs) for approval by the Project Sponsor. Enters this data in the HUIA electronic project management system. Plan and prioritise all administrative tasks to ensure project success. These may include: word processing, contractor agreements, data entry, and records management. Drafts contractor agreements, letter of engagement, memorandums of understanding and other formal documentation relating to project delivery, based on approved templates. Develops and maintains a productive working relationship with project sponsors, contractors and key clients, if required. Working with other Project Managers and/or Line Managers, ensure that all team members have the tools and training required to perform effectively in accordance with project performance. Regularly seeks feedback regarding project expectations. Collect correct information for project plans. Accurate and up-to-date project information in system. Accurate information as evidenced by Operations Manager feedback, staff feedback, project updates. Accurate and timely information from project sponsors and team. Monthly reporting to include general project status, risk management, mitigation and escalation.

3 Reporting Attends and sometimes facilitates weekly production meetings and completes status notes for distribution to all project teams. Provides succinct and informative monthly reports which outline project progress, project costs, exception reporting and risks and opportunities. Ensures the completion of all required project reporting including closeout reports and services milestones. Evaluates and ensures for sponsor/client satisfaction at project completion. Weekly production notes, staff feedback. Monthly reporting. Evidence for Close-Out Reports. Cross-Functional Working Support wider business initiatives (both project and non-project related) as required. Team feedback

Facilitation and Presentation Skills Is effective in a variety of facilitative and presentation settings: one-on-one, small and large groups, with peers and senior management. Decision-making and Problem-solving Can effectively make good decisions based upon a mixture of analysis, experience and judgment; most solutions and suggestions are proven to be correct and accurate when judged over time; sought out by others for advice and solutions. Māori Language and Values Has some understanding of Māori values and Māori language. This includes the ability to exercise customary concepts in the workplace, pronounce Māori words correctly and meet and greet in Māori. Evidence of excellence in communication and relationship management in both familiar and challenging settings. Ability to influence and work through others in order to achieve project objectives. Knowledge of the education sector. Previous publishing industry experiences an advantage. Project Management qualification desirable. Full current drivers licence.
