3 Fraunces Tavern Museum Commercial Film and Photography Fees Fees Filming & Photography fees are available at (2 hour minimum with an hour for set-up and clean-up): Monday Friday (non-holiday) 9:00am 11:00am - $ per 2 hours Monday Friday (non-holiday) 11:00am 5:00pm - $ per 2 hours Monday Friday (non-holiday) 5:00pm 9:00am - $ per 2 hours Saturday Sunday (non-holiday) - $ per 2 hour All Museum recognized holidays, excluding Christmas Day and Thanksgiving - $1, per 2 hours Note: Non-Profit rates are available upon request. A deposit of $ must be received within five business days of contract completion to hold date(s). The deposit can be used towards the final bill. Within five business days after the event, a final invoice will be sent to the renter. Payment in full is due upon receipt. Staffing Fees for Event Museum staff member(s) will be present at all times to supervise the property during function, answer questions relating to the facility, and to close the facility after the event. There is an extra $150 security guard staff fee if event takes place outside of normal office hours (8:00am - 5:00pm). A fee of $250 will be assessed if security guard staff must stay over one hour beyond normal office hours. Fraunces Tavern Museum Commercial Film and Photography Regulations Purpose The purpose of this policy is to protect the s historic, financial, public relations and ethical interests. The Museum is a private, non-profit facility and all artifacts and exhibits are private property and subject to all the usual considerations of ownership and protection for copyrights and other commercial applications by outside organizations and individuals. Application A completed application describing the proposed function shall be submitted to the Museum Representative at least fourteen business days prior to the date requested. The Museum reserves the right to refuse any project for any reason, including negative depiction of the Museum or its employees or in association with organizations whose intentions are inconsistent with the Museum s mission. The Museum will not allow any implied or actual endorsement of a product, institution or ideology. All agreements and conversation between Client and Museum are to be through one point of contact, the Curator. General Policies: Smoking is prohibited in entire facility No exhibit shall be touched at anytime No one is allowed in unrented galleries/spaces or offices unless accompanied by Museum staff All printed material which describes the Museum, uses the logo and/or uses the name Fraunces Tavern Museum or Fraunces Tavern is subject to Museum approval prior to printing. The Museum reserves the right to review all filming and photographing plans to ensure the purpose is compatible with the mission and purpose of the institution. All but two galleries/public spaces, including bathrooms are wheelchair accessible via elevator and ramps. Direct photographs of artwork are not permitted. Exhibits are the foundation of the and are subject to change without notification. Exhibits that are present at the time of contract signing may not be on display at the time of rental. Exhibits will not be removed for events, excluding Flag/Davis Center.
4 Damage Clients are liable for any damage or loss of property incurred during the function, and for any personal injury during, or as a result of, such use. It is strongly advisable for organizers of events to arrange for appropriate insurance coverage, and the Museum reserves the right to require certificates of insurance from the renter s insurance agent. Upon execution of the Commercial Film and Photography Application and signing of Commercial Film and Photography Agreement and Regulations, Client shall provide to the Museum a valid credit card to be held for a general damage deposit. Should damage occur to the premises, the Client s credit card will be charged, and the Museum will forward a detailed accounting of such charges to the Client. If the Client card is not valid, the Client will be billed for such damages, which will include additional administrative service charge of ten percent (10%) of the total balance due. Should the premise be left in its original condition the Client s card will not be charge. For your own protection, FTM suggests a pre-set walk-through. Cancellation Policy The Rental Deposit is non-refundable under all circumstances. The Museum retains the option to cancel an event should the client fail to comply with any of the provisions contained in the Space Rental Fees and Conditions and Space Rental Policies & Procedures. If for any reason, the Museum is forced to cancel the event due to weather, mechanical system failure or other unforeseen events, a full refund will be issued to the rental group. However, no other compensation will be provided. Natural Disaster/Hurricane Policy If officials call for an evacuation of the area due to a hurricane or natural disaster, the Museum will not host the event. The rental group has the option of rescheduling the event or have all monies refunded to them. If a hurricane, natural disaster, or other extreme emergency threatens the area the Museum retains the discretion to determine whether it will remain open for the event. The Museum retains the option to cancel an event should the renter fail to comply with any of the provisions contained in the Space Rental Fees and Conditions and Space Rental Policies & Procedures. Conduct The Client shall conduct the event in an orderly manner in full compliance with all applicable laws, ordinances and regulations and in accordance with the rules and regulation established by the Museum. The Museum reserves the right to conclude any event at any time due to inappropriate or undesirable behavior by the Client or Client s guests as determined by the Museum staff. Such cancellation will result in the forfeiture of all monies paid to the Museum by the Client. Catering The Client is responsible for securing and supervising the caterer. The Client may choose to use Fraunces Tavern Restaurant or an outside caterer. The Museum must approve the client s caterer of choice. The Museum reserves the right to determine the areas where food and drink service is permitted. Catering professionals only provide service of alcoholic beverages. Caterer will provide personnel, food, drinks, linen, tableware, flowers, and extra furniture as required. If catering is to include hot hors d oeuvres, heat pads must be used under chafing dishes, woks, etc. The use of candles, as decoration or in centerpieces, is prohibited. Deliveries of rentals and catering supplies must be made between the hours of 8:00 a.m. and 5:00 p.m. on weekdays will not be subject to surcharge. Caterer is responsible for cleaning up immediately after the event, and for disposing of trash, supervised by the Museum representative. The Museum is not responsible for catering supplies left in the Museum overnight. Decorations & Rental Equipment All decorations, signs and equipment must be freestanding. Nothing can be taped, glued, tacked, stapled, nailed or attached to any part of the Museum property. Do not lean any equipment against walls. No glitter, confetti, sparklers or ice sculpture is to be used at anytime. Florist- All floral and plant arrangements must be clean and pest-free. All carts, equipment, supplies and persons must remain at least 3 feet from the works of art and artifacts. In all instances, the distance must be such that, in the event of an accident, no falling objects or materials will come in contact with any works of art or artifacts. Deliveries will only be accepted on the actual day of the event. Please check with Curator for directions to the appropriate loading dock.
5 Promotional Credit Any promotional material related to the event shall be cleared by the Museum Representative to ensure that all information relating to or Sons of the Revolution in the State of New York, Inc. is both accurate and appropriate. Client acknowledges that Sons of the Revolution in the State of New York, Inc. is owner of all right, title, and interest in and to the trade name, trademark, and service mark Fraunces Tavern (including, without limitation, any picture or representation of the Fraunces Tavern building when used as a trade name, trademark, or service mark. Please note that the Client is responsible for cleaning up after the event. The museum is not responsible for equipment left in the Museum overnight.
