1 Position Title: Payroll Officer Division: Finance Location: Perth Supervisor: Finance Manager Employment Status: Position Classification: Part-time Level 6 About Gumala Gumala Aboriginal Corporation (GAC), one of Australia s largest indigenous corporations, is an alliance of three language groups in the Pilbara area of Western Australia. GAC was created in 1996 to negotiate the settlement of a Land Use Agreement between Hamersley Iron (part of Rio Tinto Iron Ore) and the Banyjima Innawonga and Nyiyaparli people, the Traditional Owners of the country at the centre of Hamersley s Yandi iron ore mining operation. The Yandi Agreement ensures that Hamersley Iron will deliver benefits to the Traditional Owners for the life of the mine including: a significant income stream (royalties) training and employment; support for pastoral station operations; heritage protection work; in-kind assistance for community development The General Gumala Foundation was established as a public benevolent institution with the objectives for the relief of poverty, sickness, suffering, distress, misfortune or destitution of the Traditional Owners. Gumala Aboriginal Corporation (GAC) is the Manager of the General Gumala Foundation while Gumala Investments Pty Ltd (GIPL) is a wholly owned subsidiary of GAC and was incorporated for the sole purpose of acting as Trustee of the General Gumala Foundation. GAC is also the sole shareholder of Gumala Enterprises Pty Ltd (GEPL), a separate body established to oversee the development and growth of discrete business enterprises to enable further benefits as a result of these businesses are passed down to the membership of GAC. 3 Role statement Under the supervision of the Finance Manager, the Payroll Officer will be responsible for the accurate and timely processing of the company s payroll; liaising with staff and management on payroll related queries; processing of allowances and expense claims; and maintaining leave and overtime reports. Duties and Responsibilities The Payroll Officer will be expected to undertake the following duties: Fortnightly processing of staff payroll including time sheet collection and review; Weekly processing of Directors pay; Processing of travel, accommodation and meal allowances for Directors and staff; Processing employee expense reimbursements; Processing salary sacrifice deductions (through an outsourced provider); Providing leave reports to managers on a fortnightly basis or as requested; Processing of superannuation payments for all employees on a monthly basis; Calculation and processing of termination pays and back pays as necessary; Maintaining and keeping accurate and complete payroll records for all employees; Liaising with staff and management on payroll related queries; Preparing end of financial year PAYG Payment Summaries; Reconciling payroll related GL accounts; Interpreting awards/agreements and contracts as necessary relating to the payroll function; Assisting the Senior Accountant with monthly PAYG reporting to the ATO; Assisting the Senior Accountant with the calculation of annual leave and long service leave provision/accruals; Undertakes other duties as directed by the Senior Accountant or Finance Manager. Health & Safety As part of your duties and responsibilities, you are also expected to: Take reasonable care for your own health and safety, Take reasonable care that your acts or omissions do not adversely affect the health and safety of other persons, and Payroll Officer PD Oct 12 3

4 Comply, so far as you are reasonably able with any reasonable instruction given by GAC to allow the corporation to comply with the WHS Act, and Cooperate with any reasonable policy or procedure of GAC which relates to work health or safety and that has been notified to workers. You need to be proactive in recognizing potential hazards in the workplace and reporting that hazard to your manager. Do not wait until an incident has occurred to notify. If you are involved in, or witness an incident in the workplace, it needs to be reported as soon as possible after it occurs to your managers. This will assist GAC to meet its notification duties as required by the WHS Act. Make sure you are familiar with the procedures in your workplace that outline the actions you should take when reporting an incident. Additional Information Note that this position description does not typically include every duty and responsibility that the incumbent may be required to undertake. Selection Criteria The Payroll Officer will require the following: Experience Payroll processing experience in MYOB. Highly skilled and experienced in using Microsoft Excel. Abilities Ability to work to strict deadlines. Ability to prioritise workloads and process urgent payments. Ability to work in a team. Self-motivation and the ability to work independently with little guidance. Professional demeanour and a high level of integrity, tact, discretion and confidentiality. Payroll Officer PD Oct 12 4

5 Skills Excellent accuracy and attention to detail. Excellent written and spoken communication and interpersonal skills. Knowledge Understanding of salary sacrifice deductions. Ability to interpret awards and relevant legislation. Sensitivity to and understanding of cultural issues as they apply to Indigenous people. Education Qualifications in accounting / business / commerce or equivalent. Previous experience in a similar role essential.
