2 The Student Handbook (Code of Practice) 1.0 Mission Statement: mission is to raise standards throughout the health and fitness Industry by training student to a high standard which will enable them to make a real difference to people s lives. We understand the training needs of professionals in our industry. We aim to improve their knowledge, skills and improve the service to customers. There is no doubt that investment in education and training increases the engagement and retention of customers. With an extensive portfolio of qualifications and continuing professional development courses, we are confident that our students will be highly motivated, confident and have a strong presence when starting their new career in the fitness industry. 1.1 Message from the Director To our new Student, Welcome to the (WAFA). We are situated in Joondalup City Centre and Cannington, Good Life, West Australia. In selecting the West Australian Fitness Academy to deliver your training we believe you have made the best possible choice. We seek to deliver quality fitness education. The course is delivered using a simple and effective teaching strategy with your aims and needs foremost in mind. Remember, our aim is the same as yours for you to achieve the qualification for which you are training as the first step to a successful career in the fitness industry. The (WAFA) is one of the most experienced and qualified fitness education faculties in Australia. Our instructor training courses are clear and easy to follow and lead to a full national accredited qualification as a Fitness Professional. 3 1.1.2 About The (WAFA) The (WAFA) is an Australian Registered Training Organisation (RTO), offering accredited courses in Fitness and Sport & Recreation Personal Training Certificates. The (WAFA) is leading the way in the fitness industry and is held in high esteem by the major organizations in the fitness industry. The (WAFA) has taken the time to listen to the needs of people wishing to make a career in fitness and addressed those needs by developing an integrated training system which makes learning both easier and fun. Whilst on course you will be training real volunteer clients which will develop your confidence and raise your training skills to a very high standard putting you ahead of other trainers newly joining the fitness industry About the Student Handbook The (WAFA) has developed this student handbook to advise students about the conditions and requirements of their training, and assist them effectively throughout. 4 2.0 Pre-Entry to the (WAFA) 2.1 There are academic pre-requisite for entry to The (WAFA), each application will be assessed for candidate suitability to attend the West Australian Fitness Academy and to identify any additional education support learners may need prior to commencing the course and to facilitate a student s successful completion of the course a pre course learning indicator must be completed. Any additional support highlighted must be completed prior to commencement of the course and at the students own expense; this may include but is not limited to. Language, Literacy and Numeracy skills Assistive technology Computer Operating packages Course Purpose: The (WAFA) is committed to scholarly and practical learning. It follows a program of continual academic assessment designed to develop accountability in its students. Students are expected to maintain regular attendance and active participation in all academic activities. All certificates are nationally recognised qualifications developed for people seeking employment in to the fitness industry Academic Goals: and adjacent assessments research tools such as interviews and surveys to find the information they need to meet specific demands or solve specific problems. understand the variety of materials they read. communicate ideas and information. organise, and communicate information and ideas. gy to collect, use those methods to solve real-life problems. 2.3 Course Structure: Courses consist of facilitated learning, theory and practical tutorials, and theory/practical assessments. The campus and allocated fitness centres allow for summative experiences and provide the vocational environment to develop the necessary skill to complete each course. We use facilitated based learning, combined with theory and practical sessions at The West Australian Fitness Academy (WAFA) involving small groups and individual learning activities which are usually associated with the completion of an assigned assessment tool which is conducted by the assessor. 4

5 2.4 Format of Course Assessment: Assessment of student competency shall be undertaken only by personnel who are suitably qualified, using the principles of competency based assessment. Assessment shall be undertaken using only approved assessment criteria. Students will be assessed on their study by different assessment methods. Depending on the students level of competency and previous experience the Assessor may use varied assessment methods. Assessment is focused on outcomes and on the achievement of learning objectives. It is the most integrated part of the teaching and learning process, contributing to it rather than being separate from it. Assessment practices are flexible where required and seek to cater for a range of physical activities. 2.5 Assessment activities include: of assigned topic.) Additional Material or Equipment required for the Course Students will receive workbooks at the start of the course which will give guidance for unit of competency and/or assessment. Workbooks and the length of study may vary depending on which unit of competency is being completed. 3.0 Conduct 3.1 Attentiveness and planning in class pays off in results and time frames. It is your choice, however, if you choose not to be attentive. But the listening to ipods, reading of other materials (e.g. newspapers) or other distracting behavior during class (both theory and practical) will not be permitted. Lateness to the practical class disrupts the activities and is never appreciated by either the trainer or your fellow students Practical Class Participation Participation is an important element of the course. The quality of participation, which is a reflection on the detailed understanding of specific exercises, analysis where necessary, thoughtful reflection and clear and concise comments is extremely important. It is also important to build on each others comments, which means attentive listening. Practical class participation will be judged on the basis of quality and consistency of effort on a daily basis. 3.2 Competency-based Training The (WAFA) deliveries studies for those people who are seeking ways to broaden and develop their experiences in sport and fitness, and are looking for the knowledge which to further a career in the fitness industry. In the Academy s delivery, the vast field of sport and fitness can be learnt and enjoyed through theory and practical application. 5

6 3.3 Facilitated Learning The (WAFA) recognises that all students have different abilities and background. Study is designed so students can work at a progressive learning pace. Courses offer both theory and practical environments to experience the many facets of fitness. During your study you will be given the opportunity to demonstrate your ability and develop skills through working in a fitness centre, computer literacy tasks, and gym/group activity. Where Students are experiencing difficulties completing the required work, qualified and experienced staff will help and facilitate their learning journey. The West Australian Fitness Academy (WAFA) will design and implement training schedules that best suit the needs of its students. Students will receive comprehensive education in a classroom setting and practical hands on training in an operating fitness facility. Students can receive additional support through group tutorials and further external studies, any external studies required will be at the students own expense. Personal tutorials may be arranged for students who are experiencing learning difficulties with course content. 4. Attendance 4.1 All (WAFA) qualifications involve full-time or part time study. In practice this is supervised study (100% Attendance). Students who do not display regular attendance at their course will be required to attend an interview. In the event of extended absence due to ill health or personal reasons, students will need to discuss their position with the Lead Coach. If you are non-communicative and fail to reply to The (WAFA) attempts to contact you, we will have to review your study and consider terminating your enrollment without refund of course fees as this will be a position and monetary loss to WAFA 5. Trainers and Assessors 5.1 All Trainers at The (WAFA) have Certificate III or IV in Fitness or equivalent. In addition, many have professional teaching qualifications or a specialist Degree or Diploma in their subject area. The (WAFA) Trainers and Assessors are selected against strict criteria which ensure they possess qualifications, skills and experience equivalent to or exceeding national industry standards and requirements The performance of Trainers and Assessors is monitored and reviewed on a regular basis to ensure that students are receiving appropriate training and progressing satisfactorily toward the required qualifications. Students can have full confidence in the skills, knowledge and professionalism of the Educators delivering training and/or assessing competency on behalf of The (WAFA). 6. Learning Materials 6.1 Students will receive on-going learning materials or workbooks on; completion of each module, series of modules, and/or assessment. Workbooks and the length of study may vary depending on which unit of competency is being completed. The (WAFA) has developed and implemented strict processes to ensure that students receive all the learning materials required for their course. 6

External Counseling 7.1 The (WAFA) can arrange for a person or body independent of and external to the academy to discuss any situation the student does not feel comfortable discussing with the academy staff and/or hear complaints and appeals with the view to solve in a fair manner. 8. Student Induction into the Academy 8.1 Minimum Entry Requirement Criteria These requirements will be assessed by information supplied on the application, referee reports, interviews and the pre learning indicator questionnaire ( , fax, phone or in person) and any other information that is available to the Academy An English Pre-requisite test may be used, on the discretion of the Academy, to gauge comprehension and language abilities of individual applicants. The following indicators will provide the basis of a successful or non-successful application: Age Maturity & suitability. Successful applicants will receive a letter of acceptance of enrollment Student Selection The (WAFA) will provide applicants with sufficient information to ensure that any decision to undertake a course is an informed decision A General Information Guide will be in the form of a student Epack ( student pack) which will include as a minimum: (Code of practice) Enrollment form Additional information The recruitment of students will be at all times conducted in an ethical and responsible manner. A Letter of acceptance will be given to applicants once the student s application has been established 9.0 Induction & Enrolment 9.1 Prior to commencement of training an induction will be provided for all students to familiarise them with all conditions and requirements of their training. All students will be supplied with a 7

8 copy of the Student Handbook (Student EPack). The record of competencies, health and fitness questionnaire, discipline agreement and assessment process must be completed and signed by students before training can commence, The induction will facilitate an open forum to address any questions the student may have. During this time a student agreement and record of competencies and assessment will be discussed. This information includes personal and contact details, course enrolment details Recognition of Prior Learning (RPL) Recognition of Prior Learning is a process whereby potential students can apply to be given recognition / credit for previous experience or skills gained through other training. All potential students are eligible to apply for RPL. There is no restriction on the number of modules for which RPL can be granted. Potential students can be given full qualification where RPL indicates that they have achieved all the required learning outcomes of a competency / course. Potential students applying for RPL must complete an application form/kit (available on request from The West Australian Fitness Academy (WAFA), which involves self-assessment against a competency framework. Potential students may be asked to provide evidence to support their application for RPL, or to undergo additional testing to prove their competency. Potential students will be advised in writing of the outcome of their application, including explanations. Potential students may appeal the original decision. A written appeal against a decision not to grant RPL must include additional evidence to support the appeal. As RPL can only be determined on an individual basis, please allow at least one month for your application to be processed. There are 8

9 some costs associated with this process. All applications for RPL will be assessed fairly and promptly Education Overview An Education Overview/interview will be provided by a qualified West Australian Fitness Academy (WAFA) coach to inform the student of all academic outcomes to date and to give guidance for continued learning. The Education Overview/interview will be approved and maintained by The (WAFA) Courses may be customised to suit individual learning needs or altered conditions/situations Computer Skills Some modules within the course and subsequent assessment tasks are completed and returned by computer. If you have not used a computer before, you are strongly advised to become familiar with Microsoft Word, Excel and PowerPoint and the use of prior to the course starting Time commitments Due to demanding nature of the course, students should ideally not undertake other significant courses whilst undertaking a Certificate III or IV in Fitness. Experience has shown that people with extensive family (especially small children) and work commitments will find The West Australian Fitness Academy (WAFA) work loads challenging to manage due to the study time required Assessment Methodology The format for delivery/assessment will be theoretical and practical mode. Each workbook and class will reflect the units of competency needed to successfully complete the course content and remain compliant to the training package. In the case where a participant has an identified a learning difficulty need, the method of assessments will be adjusted. The program may be organised around a combination of approaches including: (tutorials) Assessment of student competency shall be undertaken only by personnel who are suitably qualified, using the principles of competency based assessment. You will be informed of all assessment procedures, the standard required for successful completion and the results of all assessment tasks. Specific course assessment information will be provided during the student induction process at the outset of a course. You will be given feedback on your performance. Intervention Strategies: If deemed not yet competent or the student does not show an understanding of the materials being taught the student may be asked to: tream. tutorial that day to be assessed as competent. tutorial that week to be assessed as competent. tutorial at home to be assessed as competent. coach. orm a facilitated assessment with the coach / assessor. Defer onto another course to be assessed as competent The assessment methodology consists of: Theory Assessment Sessions: Weekly from Monday to Sunday Theory Assessment will be monitored by coaches / assessors. If further assessment is needed to be deemed as competency the student may be asked to remain an extra day or so at the end of the course to be re-assessed. Monday to Sunday Practical Tutorials (if necessary) will be a tick box assessment of the skills outlined during the week. If learning needs are identified, tutorials and Additional Learning materials will be introduced to help student understand the units of competency being addressed. l Training Diary - completed after/during class participation. Assessment is both formative (competency determined over a period of time and activity) and summative (competency determined immediately after session delivery) depending on the unit of competency being completed. Students may be assessed by one or more of the following methods: Oral Questioning a response is provided to a series of questions presented in order to demonstrate understanding Case Study an opportunity to display problem solving and decision making skills is provided in a simulated context Multiple Choice a question or incomplete statement is followed by several options from which the Student must select the appropriate answer Written Short Answer a written response item consisting of a question with answers of a single word, a few words, a sentence or paragraph 10

11 Project an exercise or investigation based on a real life situation, generally requiring a significant part of the work to be carried out without supervision, and involving a written report Observation the completion of a specified task or set of procedures normally performed under close supervision using a detailed checklist. Assessment based on RPL Competency determination is made after evidence gathered and is based on a combination of RPL (Current Competency, evidence may include work samples or photographs etc) Written or Oral Questions, and Work Related Projects. All participants may be assessed by some or all of the following methods: l Questions Assessment validation meetings The (WAFA) Director will conduct specific assessment review meetings attended by trainer/assessors for the program. assessment tools to confirm that the assessment tools meet the requirements of the training package and thus are ready to be released for use. released assessment tools will be formally reviewed at least annually and informally reviewed with every application. discussed at the next quality management meeting, this is scheduled before all courses, otherwise a meeting will be convened to raise and address the issues of concern with the assessment tool. reviewed to confirm that the accepted standard of competency is still understood and is being implemented. management meeting and new assessment tools will be drafted and circulated to all relevant staff. The revised assessment tool will be subject to our Version Control policy. Records of all trainer/assessor assessment review meetings will be kept on file. learning materials and the assessment materials, other materials may include completed assessments and feedback forms from stakeholders. 11

12 Reasonable Adjustment Reasonable adjustment will be provided for students with a disability or learning difficulty according to the nature of the disability or difficulty. Reasonable adjustments are made to ensure that the student is not presented with artificial barriers to demonstrating achievement in the program of study. Reasonable adjustments may include the use of adaptive technology, educational support, and alternative methods of assessment such as oral assessment. The training program is conducted within two teaching methods; classroom and facilitated learning, in each situation coaches / assessors will help students complete the current unit of competency and correlating workbook. Each unit of competency is taught in theory and/or practical (vocational) environments. It is proposed to conduct face to face contact five days per week for the duration of the intended course and participants will have regular assessment scheduled during this time to gauge vocational ability. Alternative assessments will be completed if the need arises as part of The West Australian Fitness Academy (WAFA) Intervention Strategy. These will be to the discretion of the assessor and organised on an individual basis. This will provide for either the, issue of a relevant Statement of Attainment or, the issue of the qualification. The participant will undergo an introduction process or induction; i.e. explanation of units and the program arrangements, workbook requirements, and theory and/or practical assessments. Each course progresses in teaching and assessment methodology. Student will learn to adapt to course structures and gain the necessary skills to complete each unit of competency. The courses have the following progression: Certificate III in Fitness (SIS30313) Teaching Method: Facilitated Learning, Lesson Plan, and Theory/Practical Tutorials Assessment Method: Lesson Review, Theory/Practical Assessment Sessions Certificate IV in Fitness (SIS40210) Teaching Method: Facilitated Learning, Lesson Plan, and Theory/Practical Tutorials Assessment Method: Lesson Review, Theory/Practical Assessment Sessions 12.0 Intervention Strategy: (Re assessment procedure) Students that do not pass a unit of competency will be provided an intervention strategy. A new method of assessment will be offered a range of different assessment tools, including the following: -play & Construction of role-play tion to assessor ussion -choice answer test and Essay and Free choice essay 12

13 13.0 Student Demographic Certificate III in Fitness (SIS30313) port & Recreational industry who want to become personal trainer and/or run their own business. Clients who have an interest in becoming a fitness trainer within the fitness industry Clients who wish to improve their own knowledge and skills for personal use Duration 6 week full time course or 10/11 week part time course, comprising of a minimum 20 hours in the classroom and 15 hours supervised and self supervised practical work per week Learning & Delivery Method facilitated classroom based learning, combined with practical sessions in the gym involving real client groups and individual learning activities which are usually associated with the completion of a written research assignment, tutorial session, project or exam. Student Demographic Certificate IV in Fitness (SIS40210) Key clients for this program are people already in the Sport & Recreational industry who want to become personal trainer and/or run their own business. Clients who have an interest in becoming a fitness trainer within the fitness industry Clients who wish to improve their own knowledge and skills for personal use Pre-requisite Certificate III in Fitness (SIS30313) and Senior First Aid Duration 4 week full time course or 8/9 week part time, comprising of a minimum 32 or hours in the classroom and 64 hours supervised & self supervised practical work. Learning & Delivery Method onment. We use facilitated classroom based learning, combined with practical sessions in the gym involving real client groups and individual learning activities which are usually associated with the completion of a written research assignment, tutorial session, project, exam or presentation. The (WAFA) may extend the duration of the student s study where it is clear that the student will not complete the course within the expected duration, as 13

14 specified on the student s record of competency and assessment and training program. This may happen for the following reasons As the result of: Compassionate or compelling circumstances As part of its intervention strategy for students who were at risk of not meeting satisfactory course progress or when a deferment/suspension has affected the likelihood of course completion Pre-Entry Requirements Certificate III in Fitness (SIS30313) Competence in English language and literacy skills (Competency to be determined by WAFA) Certificate IV in Fitness (SIS40210) Competence in English language and literacy skills (Competency to be determined by WAFA) Must have completed Certificate III in Fitness SIS30310 and Provide First Aid. In the case students believe they have completed a course at an equivalent level the student may apply for skills recognition, please see RPL in this handbook Language The courses involve reading, writing and simple mathematical calculations. Therefore applicants will require, as a minimum, to complete all verbal and written study in English and complete a West Australian Fitness Academy pre-qualification assessment interview Qualification To be eligible for a full Certificate III in Fitness, Course participants must be assessed competent in at least 15 national units (modules). A nationally recognised Statement of Attainment will be issued for Course participants who are not assessed as competent in all units. To be eligible for a full Certificate IV in Fitness, Course participants must be assessed competent at least 15 national units (modules). A nationally recognised Statement of Attainment will be issued for Course participants who are not assessed as competent in all units Exit points For SIS30313 Certificate III in Fitness and SIS40210 Certificate IV in Fitness you will be awarded the relevant Statement of Attainment listing completed subjects and completed nationally recognised units of competence. You may exit at any of these points Exiting From Integrated Learning The course is an integrated learning system which means some of the competencies will be covered over a period of separate days. This will mean exiting part way through a competency will result in the non issuance of a Statement of Attainment for that competency. Students wanting to exit will have an interview with the lead coach. During the interview the student will be informed of the competencies attained to that point for which they will receive a letter of Attainment. Students will 14

15 also be informed of any competencies they may have completed partially and the time frame in which to complete the remaining elements of that particular competency. The student will be given the option to carry on until completion of said competency or exiting at that point without the competency being entered onto the letter of Attainment Industry Registration SIS30313 Certificate III in Fitness and/or SIS40210 Certificate IV in Fitness qualification(s) are eligible for registration to work in the fitness industry and may seek registration through Fitness Australia 15.0 Vocational Outcomes The courses give you the skills and competencies to be fitness professional. It is the foundation qualification to work in a broad range of situations and workplaces. 17 If you are unable to attend where a space has been reserved for you, you may defer to an alternative date for a maximum of 12 month of deferment period Refunds policy Course fees: Course fees include all programmed sessions, professional instruction, mandatory texts, notes, assessments and issuing of results statement of attainment and Certificates. For upfront payments to enroll onto a course a deposit of $500 is required to hold a place on the course. The remaining balance to be paid two weeks prior to the start of the course. For courses paid by direct debit a deposit of $1000 will be required as follows, $500 on enrolment to hold your place on course then a further payment of $500 two weeks prior to the start of your course. The remaining balance to be paid over 20 weeks, 6 months or up to 8 months dependent on course enrolled on To help students ensure they have made the correct decision once enrolled onto the course WAFA offer a 7 day cooling off period. This period will start from date of enrolment as entered on the student enrolment document. Where cancelations are requested in writing by the student within 7 days of the cooling off period a refund of monies paid less a consultation / admin fee of $60. After the cancellation period has expired our refund policy (See refund policy below) will apply to cancelations received after the 7 day cooling off period. Refund request will only be accepted in writing within the 7 day cooling off period. After this time our refund policy will come into effect. The cooling off period does not apply if the course date you are enrolling onto commences within the seven days. We reserve the right to refuse an application should we consider the course is not suitable for a particular individual. The reserves the right to change course dates and venues, or to cancel courses where necessary. In the event of a course being cancelled every effort will be made to avoid inconvenience by transferring attendees to other scheduled courses or awarding full refunds if requested. Refunds: Refunds shall only be considered upon receipt of a written request and shall only be considered in the following situations: 17

18 The reserves the right if the need arises to cancel or postpone courses. Students will be given as much notice as possible in the advent of a course being postponed or cancelled. The requires a minimum of six students for face to face delivery courses (flexi learning minimum of 4). Should there be less than the required number of students, the course may be cancelled or rescheduled and the student may transfer to an alternative course date or request a full refund of fees. Where cancellation of a course occurs by the, a full refund will be issued within 21 working days Where cancellation of a course is given by a Student with less than 14 working days but more than 5 working days prior to course start date a refund of course fees will be given, minus the $500 deposit Where a student submits a request in writing for refund within 5 working days and up to the course commencement date a 50% refund of course fees will be applied Once course materials or the course has commenced there will be no refund of course fees. Students paying by direct debit will be required to continue payment. Failure to do so will result in legal action being taken against them. In exceptional circumstances The reserve the right to assess each case on and will apply the refund policy based on individual merit. A deferment or course Credit (Not redeemable in dollars) will be offered to the student if the student refuses this offer then the cancellation policy will be applied. Any changes to this policy will be at the discretion of the Directors. All cancellations must be received in writing. An itemised list of course money payable by the student is available from the West Astralian Fitness Academy and may be requested at any stage of the students study with as from the main office in Joondalup. All refund requests must be received in writing Child Protection. All WAFA coaches comply to the working with children legislation Legislation will comply with all legislation, national standards, guidelines and codes of practice related to the administration of Course participants, including: The Vocational Education and Training Accreditation Act

19 n Act 1984 Working with children act will deliver training and services for accredited courses consistent with its scope of registration, and compliant with conditions for registration Duty of Care will adopt a high level of Duty of Care for all students. The physical welfare of students will be a priority. Accident/incident prevention will be a priority in training delivery procedures developed and implemented by. All personnel will be made aware of their responsibility in staff inductions performed by the Academy Manager Occupational Health and Safety The workplace environment, including amenities, shall be consistent with high occupational health and safety standards as required by the Occupational Health and Safety Act All personnel will be made aware of the relevant legislation, their obligations, and the obligations of others for workplace safety. All accidents occurring within West Australian Fitness Academy facilities will be reported and acted upon in accordance with the requirements of the Occupational Health and Safety Act The safety of both staff and students is of primary concern. The is committed to providing a safe and healthy environment for all. You will need to take appropriate measures to ensure your own safety and that of others. To do this, you need to know who are assessors or supervisor in the academy and gym. You should also ensure that fellow students or others are not put at risk by your actions. All Academy areas have a No Smoking policy. Students who choose to smoke are required to smoke outside of the premises. Alcohol and the use of drugs other than those on prescription are also prohibited. Breaches of this policy may lead to disciplinary procedures Access and Equity will always attempt to meet the needs of individual students through the integration of access and equity principles. We are committed to ensure the right to equal opportunity of all students without discrimination, and will always strive to increase opportunities for people to participate in vocational education training. We will consider access and equity issues during each student induction and during all, training delivery, and assessment. 20 21.0 Training and Assessment Standards is committed to deliver students services, training and assessment consistent with the highest industry standards. will: procedures student services, training and assessment procedures 22.0 Student Feedback will request feedback from student s at regular intervals. Student feedback will be recorded in writing and registered on a Learner Questionnaire, against which West Australian Fitness Academy will measure course and service quality and effectiveness at regular reviews. Student feedback which indicates practices by the RTO and/or representatives which are contrary to legislation, standards or codes of practice will be acted upon immediately by the Academy Manager Industry Feedback will collect and review feedback from industry sources, representatives, and advisory bodies on a regular basis. Industry Feedback will be used to review and improve student services, training and assessment. Industry feedback will be registered on an industry feedback register, against which will measure course and service quality and effectiveness in regular reviews. Industry feedback which indicates practices by the RTO and/or representatives which are contrary to legislation, standards or codes of practice will be acted upon immediately by the Academy Manager Training Delivery will implement a processes (e.g. assignment due dates) to implement student study and practical training effectively within established allocated timeframes. The Supervising Coach will develop a structured program to cover the required training that takes into account the needs and situation of employers and students. Students will be provided with adequate learning materials to support their learning Trainers and Assessors The ensures that only qualified persons deliver training and/or conduct assessments. All persons delivering training and/or conducting assessments will have attained the required competencies from the Training Package for Assessment and Workplace Training All persons delivering training and/or conducting assessments for The West Australian Fitness Academy must be able to demonstrate vocational competencies at least to the level being assessed. 20

21 Trainers and assessors will be required to provide verified CV s and certified copies of qualifications as proof of competency to the required standards Demonstrated competencies of trainers and assessors will be mapped against the units of competency required to deliver training/assessment for all courses/training packages on The West Australian Fitness Academy scope of registration The Academy Manager will be responsible to maintain and ensure the currency of a trainer Qualifications, skills and experience of and assessors and trainers Appeals against course assessment decisions Students shall be entitled to enter complaints with regard to delivery and content of service, training and assessment. Students wishing to appeal against course or module assessment decisions may make a formal request for re-assessment of their work as follows: Request for re-assessment in writing Produce relevant assessment documents The original assessor will be requested to report on their assessment process If assessment is in the form of a written assignment, test or examination, the document will be submitted for re-assessment to a second qualified assessor together with original assessor s report If assessment was in the form of a practical demonstration or assessor observation, arrangements will be made for re-assessment by a second qualified assessor The student will be notified in writing with details of the re-assessment result Any further re-appeals will be dealt with in a Complaints, Grievances and Appeals process 27.0 Language, Literacy, Numeracy Support The will provide assistance with the ability of our resources for students who require support with language, literacy or numeracy Prior to commencement of training, Students identified as having language, literacy and numeric difficulties that could affect their ability to complete their studies will be asked to complete a pre-requisites assessment interview to gauge their ability to complete their intended course Course participants who require language, literacy or numeracy assistance should indicate this by ticking the special needs component of their induction form. 21

22 28.0 Special Needs The provides access only to specialist support for students who identify special needs, including: Indigenous people persons from non-english speaking people with disabilities 29.0 Complaints & Appeals The is committed to a fair, efficient, effective and just system for responding to complaints and appeals from its staff, members and students. This policy ensures complaints are dealt with sensitively, confidentially, effectively and promptly. The process commences within 10 working days of the formal lodgment of the complaint or appeal and supporting information and all reasonable measures are taken to finalise the process as soon as possible. Complaints & Appeals must be made in writing to the Director of Training, together with supporting evidence. All complaints & appeals will be dealt with immediately and fairly. Details of the complaint/appeals process and outcomes will be recorded in the Student File. Students will be notified of the outcomes of their complaint or appeal in writing, including reasons for the decision. The procedure provides for each complaint and appeal to be resolved promptly and for its outcome to be recorded. All complaints will be recorded and kept with the students record Each student has the opportunity to formally present their case and too be given a written statement of the outcome. Students are given the opportunity to present their argument in writing to The West Australian Fitness Director of Training. All student complaints and appeals will be reviewed and assessed against company policy. Students will not be inconvenienced by undue delay or incur cost as a result of our process for reviewing complaints. Each party may be accompanied and assisted by a support person at any relevant meetings. A summary of the complaints procedure is: First discuss your issue with your trainer / assessor and if you are not satisfied you should then take the following action. 1 Record the complaint in writing (record the complaint). 2 If not satisfied, then you and the staff involved will discuss the grievance with the Director. 3 A decision will be made by the Director based on the evidence by you and the staff member involved. 4 The Director will report back to you concerning the result of the grievance. 22

23 5 A mediator will be appointed if you do not agree with the result of the grievance (e.g. Director of the organisation or a representative). 6 The Director of the organisation will advise you of the appropriate Government Agencies if your grievance has not been able to be resolved. 7 You have the right to appeal against the grievance decision up to two weeks after completion of any course. 8 Each appeal will be heard by an independent person or panel and a record will be maintained of the grievance and its outcomes. 9 You will be given the opportunity to formally present your case you may bring someone with you to provide you with moral support should this be your wish. 10 You will be given a written statement outlines the appeal outcomes including the reasons for the decision. If unresolved, the Director will arrange an interview with the student, and/or request advice from Training and Accreditation Council. If students are not satisfied with the outcomes of these processes they should be referred to the state or territory registering body Counseling of Students Counseling of students will occur on the basis of identified needs, and will be conducted internally by personnel approved by the Academy Manager. Details and outcomes of counseling are confidential and will be placed in the Student File. Where required, The West Australian Fitness Academy will refer the student to independent external specialist services for assistance or guidance. The cost of these services will be met by the student Student Discipline Breaches of educational or behavior requirements may result in disciplinary actions. For minor breaches, a warning or reprimand may be issued or an apology required. Serious or repeated breaches may result in a written agreement. For Example, maintaining attendance is a key factor during a students study. The will implement disciplinary measures to ensure that students fulfill their obligations to complete attendance within the guidelines and timeframes agreed upon in the Letter of Agreement. A summary of the discipline procedure is: -- Verbal notice of low attendance will be provided to the student by a phone call or face to face contact. The student will need to Make Up insufficient hours. The West Australian Fitness Academy has procedures in place to help student catch up with missed or fall behind tutorials. This may include, Face to Face arranged tutorials, Home study, Use of a Mentor, or written assignment. -- If student remains below the 80% attendance written notice of low attendance will be provided to the student via , SMS, and letter. Students are once again asked to accumulate loss hours. Third Infringement -- Written notice of low attendance will be provided / sent to the student via letter asking the student to come in for an Interview to discuss the way forward. This may lead to deferment on to a future course or expulsion for the course. 23

24 Any disciplinary procedures implemented by The will be fair and appropriate and compliant with conditions of registration. Any disciplinary action taken will be in agreement by all parties involved after consultation. The Academy Manager will be responsible for mediation and the final disciplinary action taken against the students Access to gym Facilities The has an agreement for access to the Lifesport gym in Joondalup for Joondalup based students and the Goodlife gym in Cannington for Cannington based students to allow membership for students whilst on course to facilitate their learning and practical application of the course content. Students are guests of the clubs and must abide by the Terms and Conditions of membership of the relevant club any breach of the Terms and Conditions or misconduct of the student within the club may result in guest membership being withdrawn. Students will then only be able to continue to study the theory component at the Academy and will have to facilitate their own practical assessments at an alternative gym. The West Australian Fitness Academy will arrange for an assessor to attend the alternative venue at the students cost of $ per assessment. Goodlife access times for students are: 6.00 am to 8.00 am and am to 3.00 pm Lifesport access times for students are the club opening hours Guests may not be taken into the club unless by the agreement of the relevant gym manager and the relevant clubs Terms and Conditions will apply Issue of Qualifications Qualifications issued by The shall be in accordance with the requirements for the Australian Qualifications Framework Guidelines for Training Package Developers and specific requirements of relevant endorsed training packages and accredited qualifications. Students enrolled in a program of study shall be entitled to the issue of a record of demonstrated competence within 30 days, providing; training is complete and all outstanding funds have been paid (not inclusive of Direct Debit payments unless scheduled payments are in arears or there has been consistent defaults on the account) If training is incomplete Statement of Attainment for units/modules they have completed 24
