2 Job Description (Marketing & Communications Manager) You would be joining Live & Local at an exciting time for our expanding organisation. It is a role with planning and management responsibilities as well as hands on implementation across all of our Marketing and Communications functions, assigning tasks to the Marketing Officer and Marketing Assistant as appropriate. Responsibilities The Marketing & Communications Manager is responsible to the Executive Director for: Planning the marketing strategy and budget; Managing the delivery of marketing support to all our projects and initiatives to ensure effective use of resources; Maintaining a positive image of Live & Local with our key stakeholders through effective communication, marketing and advocacy; Ensuring we meet all legal requirements of current Data Protection legislation; Live & Local s relationship with the press and media; Networking with and making best use of relevant external marketing agencies; Line managing the Marketing Officer and Marketing Assistant. General Marketing Publicity Management Plan and manage the production and distribution of Live & Local s publicity across all projects, ensuring consistency, high quality, clarity and accuracy including copywriting, design, printing and distribution of print, On-line and e-marketing publicity. Direct Mail Management Plan and manage Live & Local s direct mail campaigns to mailing list(s) using bulk channels (VSMail/MailChimp). Online and Social Media Management Manage the effective use, development and monitoring of our websites 1 and social media. Press & Media Management Plan and manage Live & Local s relationship with the press and media. Monitoring & Evaluation Plan and manage collection of marketing intelligence that influences our marketing and audience development strategy and the effective use of marketing channels. Community Touring Scheme and Big Picture Show Local Promoter Support Plan and manage the delivery of effective marketing support to the local promoters: Development and delivery of marketing plans for each season to attract audiences; Research and interpret shows/companies information to produce appropriate support materials for Promoters; Oversee copywriting, design, printing and distribution of all Live & Local s print publicity for the scheme (posters and leaflets, What s On Diaries); 1 From august 2015/16 we will be managing not only our current websites for Live & Local, Shindig and Big Picture Show, but also three sites taken over from Nottinghamshire County Council for the new East Midlands schemes Marketing & Communications Manager Information Pack May 2015

3 Co-ordinating close contact support of promoters (telephone / support) maintaining an overview of needs and adjusting support as required. Advise promoters on ticket pricing and running their local box offices. Programme & Menu Development Support the Executive Director in the research, development and production of the annual Live & Local Menu of available shows: Contribute to the research and development of the Live & Local artistic programme; Manage the copywriting for the annual live performance Menu and film offer; Manage the It s A GAS (Go and See) scheme. Communications and PR Plan and manage our communications strategy; Prepare or edit and distribute blogs and use as part of the strategy; Develop and use communications mailing lists of key stakeholders; Supporting the delivery of agreed PR initiatives amongst the Live & Local stakeholders i.e. audiences, promoters, companies and funders. General Duties Attending Live & Local events: providing practical support to ensure a quality event, carrying out surveys and encouraging people to join the mailing list and writing reports; Attendance / support at Promoter and other Stakeholder Meetings; Attending professional development training and other opportunities as appropriate; Attend regular management meetings and contribute to the development and implementation of strategies, policies, procedures and budgets; Other reasonable duties as deemed necessary. 6 Terms and Conditions The post is offered as a salaried position as an employee of Live & Local Ltd. The post will be subject to Live & Local s standard Terms and Conditions of Employment for 2015/16. Salary Hours 25,727 27,323 subject to experience (1 FTE) - 35 hours per week. The normal hours for this post are 35 hours, to be worked over 5 days per week between Monday and Friday. Within these parameters you are permitted to attend work flexibly within the Live & Local flexi-time framework (see below). Weekend and unsociable (evening) hours are part of this job. (see below); Additional agreed duty hours, i.e. work that is part of required duties, are paid at an hourly rate commensurate with an employee s annual salary. Additional agreed show attendance hours are paid at a fixed rate plus expenses. Other Two months probation period; Termination of contract would be one month on either side; There will be 32 days annual paid leave (24 annual + 8 statutory); The post holder will be responsible to the Executive Director; Based in Warwick on the second floor (no lift) and is a no smoking environment; Travel expenses are paid for travel associated with job (not for getting to/from work). Flexi Time System This is a system where an employee contracts to work a total number of hours and is then permitted to attend work flexibly within a framework laid down by the employer. It allows employees to vary their working hours within specified limits from day to day. A certain number of hours (credit or debit) can be carried forward from one accounting period (four weeks) to the next, with the option of taking flexi-leave. It is also possible to bank credit hours towards additional annual leave of up to a max 3 days leave per year (pro rata for part time staff) Additional Hours and Show Attendance Hours These are agreed after discussion between the post holder and their line manager with usually a minimum of 6 weeks notice, usually more. These additional hours amount on average of 10 days extra per year between Oct to May (pro rata for part time staff) but rarely occur on holidays. 7 About Live & Local Mission: Live & Local works with voluntary groups and professional artists to create new audiences for the arts and to build stronger communities. Our principle activity is the support of a high quality curated live performance programme in partnership with voluntary organisations the community touring scheme (CTS) - under the banner Surprising shows in surprising places. Currently this scheme covers Warwickshire, Staffordshire, Derbyshire and Worcestershire (where it is called Shindig). However we are expanding in 2015/16 to take over the schemes in Nottinghamshire, Lincolnshire and Leicestershire currently run by Nottinghamshire County Council. This effectively doubles our outputs to approximately 500 shows per year and to cover 15% of the area of England! We also run other mutually supportive programmes to provide greater resilience to the organisation and to ensure we meet the needs of current and potential stakeholders: Big Picture Show cinema network (BPS) currently approx. 40 screenings per year but also growing! An artist development programme (DART); Rural Artworks - Arts led community cohesion projects (RAW). The full CTS and BPS network will comprise over 300 voluntary organisations across seven counties. It is a partnership between the knowledge and commitment of local volunteers and the professional expertise of Live & Local. About our Work About our Marketing & Communications Live & Local s events are partnerships between the knowledge and commitment of local voluntary groups and the professional expertise of the Live & Local team. The local promoters choose and promote their events with our support not the other way round. This provides unique marketing and audience development opportunities plus it is across seven counties, 500 performances, 300 promoter groups (predominantly rural but some urban) and 60+ different shows per year - not including the film screenings! To achieve this and the other Business Plan objectives we also have to keep our profile up across 44 local authorities and a range of other current and potential stakeholders. About our Funding Live & Local is funded by a mix of local, regional and national bodies. We have retained our National Portfolio Organisation status (NPO) of the Arts Council England (ACE) in the recent round for up until 2018 with three years of funding and will be taking over the NPO funding for the new counties. We also get funding from the BFI and the NW Film Hub. We will soon be funded by six County Councils and 38 District and Borough councils. Some of this income is in the form of grants and some through partnership agreements with these local authorities. We also raise income from the box office from the touring scheme and local contributions to specific projects. We also run a Friends Scheme. 8 Staffing and Governance The organisation will soon consist of the full-time Director, a marketing team comprising three full time staff; the Marketing & Communications Manager, a Marketing Officer and a Marketing Assistant. Also a full-time Company Administrator a full time Assistant Administrator (new role as of 2015), a part-time Development Manager and two Fieldworkers, one for Derbyshire and Staffordshire and the other for Warwickshire and Worcestershire. The majority of staff members are based in the Warwick office, apart from the Fieldworker (Derbyshire) who works from home. An additional Fieldworker (starts August) covering parts of the East Midlands. The company also occasionally contracts fieldworkers and freelancers for projects and for technical support at events. Live & Local is a Company Limited by Guarantee with a voluntary Board of Directors (5-9 members) drawn from funders, users and artists involved with the organisation s activities. Office and IT The company is based in Warwick in a 2 nd floor (no lift) office suite on a lease from Warwick District Council. The office has a networked PC computer system with remote access facilities. Also a colour and black and white printing and a digital photocopier/scanner (i.e. linked to the computer network). The software packages include Windows XP, MS Office Professional XP (Word, Outlook, Excel, Access), DTP (Publisher) and Photoshop. We currently use Contribute to maintain our website; The financial package is QuickBooks 2013 with QuickBooks payroll; The performance scheme and mailing lists are managed by an in-house designed relational database program (on MS Access and SQL Server); We use the VSMail (Mail Chimp from April) bulk ing solution to manage our lists; Live & Local also has a high quality digital camera and digital video camera; We own two sets of portable digital cinema systems with 5:1 surround sound, 12 x 9 screens and digital projectors; We also own a 50 x 30 traditional; two pole marquee tent and some portable staging. National Rural Touring Forum Live & Local is a member of the National Rural Touring Forum (NRTF) which represents a number of mainly rural touring schemes and arts development agencies, principally across England. The NRTF aims to encourage the touring of high quality professional arts performances and events to rural communities and meet the needs of the member schemes. Forty touring schemes are currently members of the NRTF and form a nationwide network of over 1,500 promoters. While the members of the NRTF reach many parts of the country, the NRTF itself is a small organisation funded through membership fees. It is also currently an RFO (Regularly Funded Organisation) of the Arts Council, England. There is a national conference once a year and as the members are from rural areas this usually occurs in particularly pleasant surroundings! 9 experience across its membership as well as professional development opportunities for member schemes, market research and cross regional project development opportunities. I like being part of bringing professional theatre into a small community and putting a bit of heart into the place Local Promoter People surprise themselves by coming to things they wouldn't normally dream of coming to!
