1 Hurricane Checklist Although most hurricane warnings refer to the time a hurricane will make landfall, the impact from a hurricane can begin to be felt several hours prior to landfall. Landfall is defined as when the center of a hurricane or cyclone intersects or crosses a coastline. Significant and potentially damaging winds and rain can occur prior to landfall. Therefore, this guide will refer to 0-hour and T or T- minus, as eight hours prior to the specified landfall. Planning and preparation should be almost, or totally completed by 0-hour to ensure all critical areas are secured, all responsible parties have had sufficient time to prepare, and that all employees are relatively safe and not in harm s way. The tables within describe the events and procedures that need to be executed prior to and following a hurricane event. Keep in mind that this is a guideline and items can be added as necessary. Also, personal safety is the most critical concern, and any tasks that will ensure that must be undertaken. It is in the best interest to ensure that our employees are safe and that our properties are secure prior to a hurricane event.

2 Pre-Storm Activities 5 Days/T Hours Who/Department Check When 5.1 Track progress of storm from National Hurricane Center and report if facilities in projected path. 5.2 Meet with Core Crisis Management Team to alert all of situation. 5.3 Open Hurricane Hotline with message that storm is being tracked and preparations have begun. 5.4 Put on alert all Team A Drive Away members that there is a situation that may warrant relocation to the IT Remote Command Center in a few days. 5.5 Send notice to DRT of potential storm and: Review DRT plan and procedures Make sure they can access plan from Intranet Request any updates to contact info Advise if traveling during this period 5.6 Send notice to ExCom rep that Crisis Management Team is tracking storm and will make recommendations 5.7 Contact Aviation to determine status of planes and LP executives. 5.8 Ensure all department-level contact lists are up to date (check with plan owners) 5.9 Check and replenish supplies: Batteries Flashlights Communication devices First aid Water Duct tape Plastic sheeting Rope Plywood Other: 5.10 Remind employees of Hurricane Hotline and that they should call daily for updates Determine needs for the Home Security program and put contractors on alert, if necessary Loss Prevention PR

3 Pre-Storm Activities 4 Days/T - 96 Hours 4.1 Check facility for loose gutters and siding and ready installation of shutters and other items (ie pumps, hoses, boards, etc) 4.2 Enact the Home Security program and finalize with contractor which homes to be secured. 4.3 Check and fill generator fuel tanks (notify fuel contractor for deliveries post storm) and determine if gasoline will be needed post event 4.4 Review/test all communication devices (satellite telephones, radios, etc) 4.5 Contact Remote Command Center sites for preparation and possible relocation. Determine best location of RCC. 4.6 Begin travel arrangements for A-Team members designated to relocate. 4.7 Allow A-Team members to secure homes and/or families prior to relocating. Who/Department Check When Loss Prevention Human Resources Human Resources Department Managers 4.8 Begin planning communications to Field Operations Loss Prevention (warehouses and stores) and distribute satellite phones as necessary 4.9 Determine status of Core Business Team Plan Review and send all informational s and update the Hurricane Hotline

4 Pre-Storm Activities 3 Days/T - 72 Hours Tropical Storm Warning Who/Department Check When 3.1 Notify Hot-site and put them on Alert Status for technology recovery Information Technology 3.2 Advise staff of preparatory actions they can perform at home 3.3 Issue computer protection information to all users in location. 3.4 Review call tree and notification procedures. 3.5 Decide if security guard coverage needed for storm Loss Prevention period 3.6 Discuss stopping certain operations that depend on power source 3.7 Inspect, test and validate all necessary backup equipment: Generators Boilers Fire pumps Sump pumps Communication devices Battery operated radios, phones, etc 3.8 Finalize all contacts lists, call trees, vendor contacts and distribute 3.9 Give go/no-go decision for relocation of A-Team members to go to RCC. Must leave within 12 hours Make decision on enacting the Core Business Team Plan and notify executives/alternates Get status from contractor on Home Security progress Loss Prevention

5 Pre-Storm Activities 2 Days/ T - 48 Hours Hurricane Watch Issued Who/Department Check When 2.1 Instruct Security and Aviation Depts. to implement Core Business Team Plan 2.2 Initiate Command Center in the Main Building and Loss Prevention establish regular comms with Security and. 2.3 Notify Hot-site for additional information as to declare for IT recovery Information Technology 2.4 Begin to secure the local Call Center facility. / Loss Prevention 2.5 Secure loose items around facility (check storage areas and roofs (ie antennas, dishes, HVAC items) and clear items from vulnerable areas. 2.6 Take system backups and get latest version to offsite storage vendor. Information Technology 2.7 Install any water barriers in sub and first floor critical areas 2.8 Issue notice stating when employees may leave HR/ campus and what buildings will/will not remain open 2.9 Anchor all roof mounted equipment to roof structure HVAC Exhaust vents Antennas 2.10 Install all barrier security (ie shutters, plywood) without blocking exits 2.11 Instruct employees to protect vital records: Put paper files away in cabinets Remove loose files from desks and floors Backup critical data from local drives 2.12 Anchor, secure, dispose of or relocate external items: Yard debris Yard equipment Liquid barrels and drums Portable buildings and shelters Outdoor signs 2.13 Ensure supplies are on-hand for employees that need to remain on-site (ie Security, IT, ) /Loss Prevention 2.14 Fill fuel tanks of all company owned vehicles 2.15 Ensure all A-Team members have relocated to the RCC. Department Managers 2.16 IT members at RCC to confirm network access. IT

6 Pre-Storm Activities 1 Days/T - 24 Hours Hurricane Warning Issued 1.1 Instruct all DRT, Department Team Leaders and other infrastructure leaders to end BCP Scenario 1 s and finalize securing of departments. Who/Department Check When 1.2 securing of any facilities identified to be shut down (ie satellite offices) 1.3 Determine what utilities/services to shut down. 1.4 Determine if generators need to be started and /IT running 1.5 Verify location of key employees. 1.6 Initiate evacuation of all non-critical employees HR/ 1.7 Have cash on-hand for post-event expenses All 1.8 Issue site closure notification to employees, vendors, delivery companies, scheduled visitors HR//Departments 1.9 Deactivate all unnecessary electrical equipment. 2.0 Finalize securing of all departments (move items off window sills, close but do not lock offices, move PC s off floor of 1 st floor offices) Storm Landfall Activities 0 Hours Who/Department Check When A.1 Maintain list of key employee locations Command Center A.2 Maintain current message on Hurricane Hotline A.3 Maintain communications with Data Center A.4 Monitor progress of storm A.5 Have Security patrol property as available and watch for: Flooding Roof leaks Pipe breakage Fires Structural damage A.6 If power fails: Turn off electrical switches Close main gas valves A.7 Ensure all personnel are safe, and they must remain in a safe environment until after the storm has passed. A.8 Have A Team members at RCC support critical business functions. Security/Loss Prevention

7 Post-Storm Activities 1 Day/0-24 Hours Who/Department Check When B.1 Perform Damage Assessment of property before employees return, and check: Entire roof areas and perimeters Roof mounted equipment Walls Windows Doors Foundation Piping Electrical boxes, transformers, generators B.2 Notify immediately if found: Downed wires (live or dead) Leaking gas/fuel (includes propane, gasoline, diesel) Flammable liquids Hazardous materials B.3 Report to Command Center any of the following: Injuries Building damage Utility outage Community service disruption Communication disruption Any unusual conditions B.4 Secure property: Relock doors Secure fences Cover broken windows and doors Cover roof damage Loss Prevention B.5 Reactivate fire sprinklers and alarms B.6 Ensure Data Center in Main Building is okay. Information Technology B.7 Poll all members for any issues prior to starting building generators. Safety of associates and property is paramount. B.8 Coordinate the need for B-Team members to return to the campus.

8 Post-Storm Activities Hours Who/Department Check When C.1 Continue to clean/repair facility and ready to open (if closed) C.2 Coordinate return of all A-Team members who were relocated out of area. Determine when the best time Human Resources for return is, based on local situations. Determine if B-Team need to relocate to RCC or remains home. HR C.3 Maintain daily updating (several times) of Hurricane Hotline with status and all clear messages C.5 Begin to compile facts for post-mortem reporting C.7 Determine schedule to recall any functions that were sent to hot-site vendor. C.10 Ensure employees know of company resources in case of hardship (employee assistance program, financial support, etc) C.15 Identify additional tasks to return to normal operating procedures.
