1 UNVRSTY OF LNCOLN JOB DSCRPTON JOB TTL DPARTMNT LOCATON Finance -Commerce Advisor Finance Brayford Campus JOB NUMBR FS6098 GRAD 5 DAT May 2013 RPORTS TO Finance Manager (Student and Student Systems) CONTXT The Finance Department consists of approximately 30 professional staff who have relationships with every area of the University at both a strategic and operational level. The role of Finance ranges from supporting the development of University strategy, to maintaining accurate accounting records and the safeguarding of assets. JOB PURPOS To seek out opportunities, develop and implement Finance based e-commerce systems aimed at simplifying and improving the student experience. To manage and develop the University s Online store and assist with all other Finance student facing systems, ensuring that an efficient and effective service is provided. To promote Finance as a brand and promote student engagement. To understand new and emerging student trends and needs and utilise appropriate methods (social media etc) to engage with students to enhance the student experience. Page 1 of 7
2 KY RSPONSBLTS Maintaining xisting Student and Customer Facing Systems To be the finance expert user and advise on all student facing Finance and e-commerce systems (collectively referred to as systems in this JD). To work closely with CT to ensure that systems are simple, effective and fit for purpose in support of the student experience. To use technical expertise to recommend process improvements. To ensure systems are operating effectively and that financial information from payment pathways and other linked sources are accurate. To assist in reviewing all interfaces between Finance systems and linked systems in Academic Registry, Accommodation Office, nternational Office etc to ensure processes are automated and simplified as much as possible. Draft robust business cases for the development of interfaces for Finance management to influence CT to provide technical resource as appropriate. To represent Finance at key operational meetings as appropriate with CT and Services departments. To regularly liaise with, and be the key contact for system providers ensuring co-ordination of an efficient and effective service. Change and Development of New Systems and Technologies To make recommendations and assist with implementing change and to work with Finance Managers on system related T projects liaising with CT for technical support. Attend working groups, conferences and updates from service providers to identify new and emerging opportunities. To identify new developments and opportunities to enhance student systems and deliver technological advancement in line with the sector. To use own initiative, skills, knowledge and judgement to resolve operational problems arising from the implementation of new systems both within, and external to, Finance. Manage and Develop the University Online Store To manage and oversee the day to day running of the Online Store ensuring products on the store are up to date and accurate. To expand the use of the store across the University through internal liaison and promotion with Colleges and Professional Service areas. To seek out opportunities where the Online Store can be used to simplify and enhance existing activities in areas outside of Finance (eg. collection of monies for student trips, conferencing activities etc). To deliver training and provide ongoing support and guidance to new and existing users of the store. To produce training materials and procedure notes in support of this. To produce and review accurate Online Store M making appropriate recommendations for development Page 2 of 7
3 opportunities. To utilise the Finance Department Student Ambassadors as required for routine administration tasks to support the running of the store. To delegate tasks, supervise work and provide appropriate guidance and feedback. Maintain PC-DSS Compliance (Payment Card ndustry - Data Security Standard) Provide support to line Manager and work with CT PC compliance manager to ensure the Department is PC-DSS compliant. Student ngagement To promote Finance as a brand and promote student engagement. To understand new and emerging student trends and needs and utilise appropriate methods (social media etc) to engage with students to enhance the student experience. To liaise and network with students and the University s Student ngagement Officer to identify and understand what students want from Finance and recommend simple and easily accessible solutions. To develop a social media presence for the Finance Department and maintain this as a communication channel for students to obtain quick and simple solutions to Finance related problems and queries. Management nformation (M) and Reporting To produce all required month-end reports in an accurate and timely manner, and in accordance with the departmental month end timetable. To produce accurate ad hoc reports in an efficient and effective manner as and when required. To support the production of monthly KP reports. To understand the team KPs and make suggestions to deliver systematic improvement. Customer Service To deliver excellent customer service to students, parents and customers via , telephone and in person in accordance with the agreed standards of the Finance Department and the University. To ensure all Departmental standards, competencies, attitudes and behaviours are adhered to. Student nrolment and Graduation To receive training and understand enrolment processes in order to assist in the enrolment of students at the commencement of the academic year. To operate enrolment kiosks as requested, working outside of normal office hours when necessary. To support non-finance staff with financial issues during the enrolment process. Page 3 of 7
4 General To manage own time and determine priorities on a day to day basis ensuring output is achieved and student experience and engagement optimised. n addition to the above, undertake such duties as may reasonably be requested and that are commensurate with the nature and grade of the post.
