Business Case A leading Power, Infrastructure and Asset creation company of India having its foot prints in more than 35 countries and listed in NSE and BSE were facing a huge time and revenue loss in dispatching the Sales Order consisting of various types of material from its warehouse to the destination. The existing dispatch process consists of manual and tedious job for the delivery manager at warehouse for capturing the details of various loading materials and creating the delivery challan against the sales order. It also required duplication of work as it was necessary for the delivery manager to note the delivery items with quantity, manually at the time of loading the material on the predefined form and then to enter all the data captured into the form again into SAP software in the warehouse office which has internet connectivity and SAP software installed systems, to generate the delivery challan which allows the truck to exit the warehouse to reach the destination. This whole process was time consuming which was affecting the delivery turn around time for the trucks entering the warehouse for collecting the materials against the sales order; this was resulting into revenue loss as the number of delivery achieved was not at optimum level. This problem is generic across other industries that are following the similar time consuming and manual process. The company was in extreme need to incorporate a system which helps the delivery manager to note the delivery materials once when loading and can be straight away integrate to SAP which will create the delivery challan, which allows the faster movement of trucks entering the warehouse to collect the materials based on sales order. Addressing to this critical problem of the company facing revenue loss, Sarjen Systems Pvt. Ltd. provided a unique customized solution to the company which resulted in increased deliveries against sales order which in turn increased the revenue for the company. 2

3 2. Functional Solution: Sarjen Systems Pvt. Ltd. provided an Android based tablet solution which can be used in both online and offline mode for the dispatch process eliminating the manual and duplication process for the dispatch manager. New Dispatch Process using Android App provided by Sarjen Systems: Delivery Manager having tablet will login in Android App and select the truck number which has arrived to collect the materials and sales order against which the delivery has to be done. Based on sales order, delivery manager will start booking the materials getting loaded into the truck with quantity using the search feature available in android application. If the weight of the materials exceeds the predefined level the application will give notification to the delivery manager. If the delivery manager tries to enter the material which is not available for sales order the application wont allow to enter that material. These validations are possible as the application is integrated with SAP which will provide the necessary information. Once the materials are loaded the delivery manager will review it and submit the delivery. The delivery submitted will be synced to SAP real time and a delivery challan will be generated for the truck. If the internet connectivity is not available with the tablet the data will be stored in offline mode and it will be synced with SAP as soon as the internet connectivity is available. Thus there is a two way mechanism in place between Android application and SAP. 3

Technical Solution Below is the Technical Architecture provided by Sarjen Systems: MMW = Mobility Middleware Android/ ios Device W1=Mobility Web Service W2=Interface web Service Enterprise Application (SAP) MMW Database Access Control/Security: MMW will have user management function for creating users and assigning them access rights limited to Plants and/or Projects. Also eligible Process can be assigned to user. Application is native by nature and having offline/online mode support. Access security in terms of user authentication also user rights will be given. Data security in terms of data access is essential i.e. One Dispatch manager can not see data of other Dispatch manager. 4

5 Below is the diagrammatic representation of integration of Android App with SAP using the Remote Function Call (RFC). This function module retrieves the requested data from the SAP. 5

Mobility Middle Ware Architecture allows direct data processing to and fro from SAP. Powerful search mechanism for faster data entry. A proper validation for preventing wrong data entry makes Process more accurate. Offline/Online mode support in Application. While running the application in offline mode can increase the battery performance of the device. User Interface designed in such a way using Color combinations so that it can be visible in direct sunlight. Electronic data entry cause saving of paper. 6
