Hoping for the Best, Planning for the Worst Business Continuity Planning
Agenda What is Business Continuity Planning (BCP)? Why should we bother? WHY Who should be on the BCP Team? WHO Business Impact Analysis WHAT Crucial Function Priority List WHEN Resources for Recovery HOW Emergency Response Checklist HOW (AGAIN)
What is Business Continuity Planning?
What is a Business Continuity Plan Aim: To prepare a school to cope with the effects of an emergency primarily. Objectives: To define and prioritise the critical functions To analyse the emergency risk to the business To detail the agreed response to an emergency To identify Key Contacts during an emergency
Why bother?
Why consider risk? Why consider risk?
The Thousand Yard Stare The Thousand Yard Stare
PANIC!
What headings does a BCP have? Distribution List This is the BCP Team Business Impact Analysis, including Risk Factors Resources for Recovery Crucial Function Priority List Emergency Response Checklist Key Contact Sheet Log Sheet for testing KEEP IT OFF-SITE
Who should be on the team?
Who should be on the team? Plan holder who is often/usually the Head Deputy PA to Head Assistant Head(s) Estates Manager Head Caretaker Chair of Governors School Business Manager Finance Officer Admin Assistant
Business Impact Analysis
What happens at your school? List the services provided by your school Examples: 1. Educate pupils in maths, English, biology, ICT, etc. 2. Catering 3. Trips 4. Boarding facilities 5. Sports 6. Hire facilities 7. Data storage This list is your Crucial Function Priority List
What events can/could happen? Once you have a comprehensive list of services allow this to feed an exercise where you write down things that could go wrong
What events can/could happen? Each one is called an EVENT If you were considering a new enterprise substitute EVENT with SCENARIO
What events can/could happen? Time for some more practical work. Write down things that could go wrong
What could go wrong? Fire or flood Employment tribunal Theft/Break in Dispute with local authority HSE prosecution Directors sued Employee accident Serious motor accident Third party accident Change in Government policy
Or the product of an over active imagination... Travel disaster Power failure Plane crash Bird flu outbreak Key person breakdown Explosion Major bullying issue Riot Cyber attack Shooting
What is the probability of an Event happening? On a scale of 0 to 5 score the probability of the Event happening 5 would suggest a high probability or near certainty 3 is a moderate possibility 0 is almost certain that the Event couldn't or wouldn t happen
What is the impact of the Event happening? We are now going to assess the impact of each Event: Scale of 0 to 5 again, however: No impact 1-2 weeks 1-2 months 6 months A year impact A couple of years impact
Risk Factors By multiplying the Event probability score by the Impact score we create a Risk Factor Event probability x Impact score = Risk Factor This is the basis upon which you can prioritise.
Impact Risk Management Model Probability Low Medium High Severe/Critical Substantial management required Must monitor and manage risks Extensive management crucial Moderate May accept risk but monitor them Management effort useful Management effort required Limited/Minor Accept risks Accept risk but monitor them Monitor and manage risks
Risk
Risk Management
Risk Factor Order List the Events in order of risk factor. Your next activity is to assess in terms of: Avoidance Reduction Sharing Retention There should be a clear split between Events that are sudden, i.e. emergencies, and others which it might be possible to manage/resolve through other planning.
