Under the Qualifications (Education & Training) Act, 1999, FETAC now has responsibility for making awards previously made by NCVA. Module Descriptor Event Management Level 6 N

Provides details of the grading system used. List the assessment criteria for each assessment technique and the marking system. Records the marks for each candidate in each assessment technique and in total. It is an important record for centres of their candidate s achievements. Can include approval forms for national governing bodies. Explains the types of assessment techniques used to assess standards. Describes the assessment principles that underpin the FETAC (FETAC) approach to assessment.

3 Introduction A module is a statement of the standards to be achieved to gain an FETAC award. Candidates are assessed to establish whether they have achieved the required standards. Credit is awarded for each module successfully completed. The standards in a module are expressed principally in terms of specific learning outcomes, i.e. what the learner will be able to do on successful completion of the module. The other elements of the module - the purpose, general aims, assessment details and assessment criteria - combine with the learning outcomes to state the standards in a holistic way. While the FETAC is responsible for setting the standards for certification in partnership with course providers and industry, it is the course providers who are responsible for the design of the learning programmes. The duration, content and delivery of learning programmes should be appropriate to the learners needs and interests, and should enable the learners to reach the standard as described in the modules. Modules may be delivered alone or integrated with other modules. The development of learners core skills is a key objective of vocational education and training. The opportunity to develop these skills may arise through a single module or a range of modules. The core skills include: taking initiative taking responsibility for one s own learning and progress problem solving applying theoretical knowledge in practical contexts being numerate and literate having information and communication technology skills sourcing and organising information effectively listening effectively communicating orally and in writing working effectively in group situations understanding health and safety issues reflecting on and evaluating quality of own learning and achievement. Course providers are encouraged to design programmes which enable learners to develop core skills.

4 1 Module Title Event Management 2 Module Code N Level 6 4 Credit Value 1 credit 5 Purpose This module is a statement of the standards to be achieved to gain an FETAC credit in Event Management at Level 6. It is designed to broaden the learner s understanding of event management, contingency planning, budgeting, scheduling, evaluation, execution and event management documentation and specifically looks at quality assurance and evaluation in event management. 6 Preferred Entry Level None. 7 Special Requirements None. 1

5 8 General Aims Learners who successfully complete this module will: 8.1 understand how to research, prepare and present a proposal for an event 8.2 understand how human resource management in the event environment 8.3 develop a knowledge of contracts, legal requirements, health and safety and contingency planning at special events 8.4 distinguish between different special events environments 8.5 prepare a PR campaign for a special event 8.6 appreciate record keeping and Quality Assurance in the event environment 8.7 understand how to prepare and deliver a post event evaluation report 9 Units The specific learning outcomes are grouped into 5 units: Unit 1 Unit 2 Unit 3 Unit 4 Unit 5 The Event Proposal Event Management and the Human Resource Quality Assurance, Risk Planning and Evaluating an Event Staging an Event The Various Special Event Environments 10 Specific Learning Outcomes Unit 1 The Event Proposal Learners should be able to: identify the essential parts of an event proposal plan a feasibility study for an event proposal carry out market research for an event proposal identify the client s objectives, needs and expectations ensure value for money for the client 2

6 prepare and present the budget for a special event, including projected costs, cashflow and sources of revenue demonstrate good presentation skills identify suitable sales, marketing, advertising and PR techniques for a special event, with creative and innovative elements in the event and the event proposal discuss the events industry in Ireland and abroad identify what makes one event proposal distinct from others Unit 2 Event Management and the Human Resource Learners should be able to: develop management and leadership skills in the events environment demonstrate knowledge of employment legislation; prepare a job description and a contract for temporary employment select staff, volunteers, suppliers plan induction and training for staff and volunteers draft a WBS (work breakdown schedule) with delegated duties and clear deadlines identify networking opportunities in the events industry demonstrate good time management, meeting skills, negotiation skills and conflict resolution skills co ordinate staff, contractors, volunteers, suppliers Unit 3 Quality Assurance, Risk Planning and Evaluating an Event Learners should be able to: identify legal requirements in event planning in Ireland, eg planning permission, electricity, hygiene, room capacity; insurance, Local Authorities, health and safety draft sample contracts for a special event 3

7 carry out a risk assessment and demonstrate a knowledge of quality assurance and event risk management address security concerns at a special event keep effective records and event documentation deal with payment of suppliers and feedback meetings plan a post event evaluation and assessment of an event, based on primary research eg attendance and guest feedback, questionnaires, surveys critically evaluate the success of an event, using different event evaluation techniques report an event s success to the client introduce revisions to future event programmes prepare a post-event evaluation report Unit 4 Staging an Event The Event Itself Learners should be able to: produce an event and co-ordinate various elements such as guest list; crowd management; signposting, registration and admission process plan logistics for the event and a logistics checklist for the event, made up of all operational activities co-ordinate the involvement of guests and participants, achieving interaction and ambience, with ice-breakers, music and entertainment where necessary co-ordinate guest speakers and performers, the running order, contingency, sound and lighting systems demonstrate organisational effectiveness and effective management of staff, volunteers, suppliers demonstrate efficiency and good planning in providing for catering, clean up, toilet and first aid facilities 4

8 Unit 5 The Different Special Events Environments Learners should be able to: identify the specific resource requirements (legal requirements; cost requirements; human resource requirements) for various types of special event eg private parties, cultural events, community arts events, festivals, themed events, corporate and business events, sporting events, celebrity events, fund raising events; public consultations; children s events; conferences; seminars; open days; government and political events; exhibitions and conference management know how to market and publicise more than one of the different special events understand the role of the special event in establishing and maintaining corporate identify, brand management and the role of the special event 11 Portfolio of Assessment Please refer to the glossary of assessment techniques and the note on assessment principles at the end of this module descriptor. All assessment is carried out in accordance with FETAC regulations. Assessment is devised by the internal assessor, with external moderation by the FETAC. Summary Project: Recorded Event Proposal - 30% Collection of work: Quality Assurance and Other Documentation 30% Assignment: Post Event Evaluation 40% 11.1 Project The internal assessor will devise a project brief that requires candidates to present an event proposal. The presentation will be recorded and the visual aids and background notes to the presentation will be submitted as part of the project. Candidates will identify the client s needs and expectations, and set objectives accordingly. Candidates will show evidence of completed feasibility studies and market research, in addition to a strategy to promote and market the event. Candidates will demonstrate good presentation and research skills, using creativity and innovation in their presentation 5

9 11.2 Collection of Work The internal assessor will devise guidelines for candidates on gathering a collection of work that demonstrates evidence of an understanding of quality assurance, contingency planning, record keeping and one of the following: (i) detailed, structured budget; (ii) event contract; (iii) WBS (work breakdown structure) and (iv) detailed feasibility study The collection will include a quality assurance document for an event and one other piece of event documentation, taken from the above outlined list (i-iv). Both documents will be based on a locally devised event 11.3 Assignment The internal assessor will devise a brief that requires the candidate to produce a post event evaluation document, based on a locally devised event. The document will communicate clear objectives; value for money to the client; evidence of gathering and analysing feedback; an understanding of good recordkeeping and human resource management. The learner will include a critical self-appraisal; appraisal of the planning process; and appraisal of event management theory. 12 Grading Pass 50-64% Merit 65-79% Distinction % 6
