1 JOB DESCRIPTION Job title: Department: Place of work: Responsible to: Responsible for: Web and Database Assistant Information Systems Whittington House, Alfred Place, London, WC1E 7EA Head of Information Systems and Business Intelligence None Main purpose: Working as part of the Information Systems team to assist in the management and improvement of the Foundation s databases and reporting capabilities. Help manage, maintain and enhance the Foundation s website, intranet and online forms. To support the development of the Foundation s Grant Management System (FocalPoint, Dimensions) and web based applications (Upshot, PitchFinder and Grantshot). Provide training and support to staff in relation to Information Systems. Principal contacts: Internal: Head of Information Systems and Business Intelligence, Database Analyst, Web Communications Manager, Knowledge and Insight team. External: Virtual IT, Access Group, design agencies, funding partners and applicants. Key Responsibilities: 1. To help manage, maintain and enhance the website, ensuring it provides easily accessible and up-to-date information to users. 2. To help establish and manage an intranet for Foundation staff, to help improve internal communication and improve knowledge management. 3. To design and develop new functionality for the website and intranet.

To help support the development of Foundation s Grant Management System (FocalPoint, Dimensions, ADM, Taskcentre) ensuring these products provide optimum performance to help increase productivity across the Foundation. 5. To review existing work flow forms and processes within the Grant Management System in order to identify efficiency improvements and help enable future upgrades of the product to take place. 6. To assist in maintaining and rationalising Foundation s databases, making use of SSIS (SQL Server Integration Services) and help manage data backups and restores. 7. To improve Foundation reporting capabilities, helping to establish and manage a data warehouse model, write SQL views and establish appropriate reporting mechanisms. 8. To design and build new online forms, ensuring these provide an improved user experience and increased efficiency of processes. 9. To manage existing online forms, reviewing performance and making improvements as necessary. 10. To assist with the ongoing developments of Foundation web based applications (Upshot, PitchFinder, Grantshot), taking a lead on planning and progressing key enhancements as required. 11. To provide training and support for staff in using Foundation Information Systems, to help improve productivity. 12. To liaise with the Foundation s IT support contractor (Virtual IT) as required, helping to resolve issues. 13. To create and maintain documentation for core Information System processes and products, resulting in improved knowledge management.

3 Other activity: 1. To undertake duties as can be reasonably expected to ensure the smooth running and efficiency of the department. 2. To carry out duties and responsibilities of the post at all times in compliance with Foundation policies especially Equal Opportunities and Health & Safety.

4 PERSON SPECIFICATION Job title: Web and Database Assistant Department: Information Systems Qualifications: An undergraduate Degree or equivalent within a related discipline Knowledge: 1. Content Management Systems (CMS) 2. HTML 3. CSS 4. Javascript 5. SQL Server (2008 or above) 6. MS office 7. Sport, funding agencies, charity sector, Government (an advantage) Experience: 1. Website / Intranet development of content and structure 2. Experience of working with SQL databases 3. Writing SQL queries and producing reports 4. Editing images / videos (preferable)

5 Skills and Abilities: 1. Self-motivated and pro-active, with ability to work autonomously, but also as part of a small team. 2. Good planning and organisational skills, with a clear ability to prioritise effectively. 3. Excellent interpersonal skills; able to communicate technical matters, both verbally and in writing, to non-technical members of staff and the public via the website. 4. Strong time and capacity management skills; able to work across the organisation and be adaptable. 5. Excellent creative problem solving skills, able to deliver innovative solutions. 6. Very good attention to detail. 7. Willingness and ability to learn new skills.
