6 Introduction n What s Covered In This Guide This user guide discusses the WIDA Assessment Management System (or WIDA AMS), the interface to the administrative functions of the DRC INSIGHT Online Learning System. The WIDA AMS is used by educators with the following roles: Test Coordinator, Technology Coordinator, and Test Administrator. The primary audience for this guide are WIDA AMS end users and administrators. This guide covers the portions of the WIDA AMS that these users must be familiar with in order to perform administrative functions for testing with DRC INSIGHT. The guide is divided into three parts and this part of the guide contains the following sections: Section Introduction Materials Menu Test Management Reports Menu Test Setup Menu Description Summarizes the content of the WIDA Assessment Management System (WIDA AMS) User Guide, Part 2. Also details the various testing statistics reports produced by WIDA AMS. 8 Materials Menu Additional Materials Use the Additional Materials option to order materials for paper tests after the initial material order is placed and the Materials Ordering option is no longer available. To see when Additional Materials Ordering is available for your state, display your state s member page on the WIDA website. Note: For information on Materials Ordering, see the WIDA Assessment Management System (WIDA AMS) User Guide, Part To order additional materials, select Additional Materials from the Materials menu. To place a new order, select an Administration, District, and School, and click Add Order. Note: You must select a school because materials are assigned to specific schools for test security. Important: For the grade cluster 4 5 writing domain administered online, your state chose a default response mode of keyboarding online or handwriting on paper. Extra handwriting response books will automatically be shipped to keyboarding default states. If more handwriting response books are needed, you may order them through Additional Materials. Page 8

9 Materials Menu Additional Materials (cont.) 2. In the order tables, enter material counts for the additional materials the school requires. When you are finished, click Submit. If necessary, repeat steps 1 and 2 to order additional materials for other schools. Note: You must select a school because materials are assigned to specific schools for test security. Page 9

10 Materials Menu Additional Materials (cont.) 3. To edit or delete an existing order, select an Administration and click Find Orders. In the Action column, click the View/Edit icon [ ] to display an order or the Delete icon [ ] to delete an order. You can only update orders that have a status of Submitted. If the order status is Under Review, Pending, or Completed, you must place a new order. Note: If you need to update an order after it has a status of Under Review, Pending, or Completed, please contact DRC Customer Service at WIDA@ datarecognitioncorp.com or Page 10

12 Test Management Reports Menu Introduction From the Test Management Reports menu, WIDA AMS users can download status reports and reports detailing online testing statistics. For details about the status reports that are available, see Status Reports on page 13. You can use the District and School drop down menus to filter the display. Then, you can select any status report to display. Select Status Reports from the Reports menu to display the Status Reports page. Click the Open Report icon ( ) to display a report. The Description column contains a brief description of each report. For more detailed information, see Status Reports on page 13. Page 12

13 Test Management Reports Menu Status Reports WIDA AMS provides a number of status reports that you can use to track testing activity for a test administration in a particular district and school. DRC will automatically provide Test Coordinators with permission to access student reports. During testing, these reports are updated daily at the end of each testing day. The following table lists and describes each report. Report Daily Student Status Report Daily School Resets Report Daily Student Resets Report Daily Excessive Logins Report Description Each student who logs into a test appears on this report. The report is in Excel format and displays the test start and submit times, the test ticket status, and provides a field for a user to enter comments. (For example, a user might enter a comment that a student had to stop testing that day due to illness.) This report creates an entry each day a school exceeds five resets. Note: Once there is data for this report, the report remains throughout the testing window. This report displays information about students who have had their login reset more than five times. After five resets, the student appears on the report with the date the reset occurred. The Reset Count column displays the number of resets on the specified date. The Cumulative Count column displays the total number of resets. This report displays information about students who have logged in more than five times to the system. A login is recorded when a student logs in with the original test ticket or with a reset test ticket. Note: Only DRC Customer Service can reset a ticket. See the WIDA Assessment Management System (WIDA AMS) User Guide, Part 1. Daily State Summary of Test Times Report Weekly District Report District Report of Testing Status by School The Login field displays the number of times the student logged in for the day the report was run. The Cumulative field displays the total number of attempted logins by the student, regardless of the day. The Date field is the date on which the student reached five attempts. This report displays district-wide data for each grade and content area. The Time Span is determined by using the login time and the time when the student selected to end the test. The Count field displays the total number of tests started and ended throughout the testing window. This report displays the number of tests started and ended at a district level for each week* of testing. This report displays the number of tests started and the number of tests ended for a district and a school,** or for a grade and a domain. *The Week field represents the numerical week in the current calendar year. For example, '4' indicates the fourth week of the 52 week year. **The district and school report appears after the first student for that district and school logs in to the test. Page 13

14 Test Management Reports Menu Online Testing Statistics Reports From the Test Management Reports menu, you can display Online Testing Statistics reports by student/grade or district/date. You can view the previous day s reports, or a cumulative set of reports. You can view reports by student and grade, or by district and date. Select Online Testing Statistics from the Test Management Reports menu to display the Online Testing Statistics page. Click Export to export a report in a comma-separated values (.csv) format to download into a spreadsheet. Page 14

16 Test Setup Menu Introduction From the Test Setup menu, WIDA AMS users can download software and information, search for and edit student information, view student test progress, and view and edit test sessions for a district or school. Both Test Coordinators and Technology Coordinators will use Test Setup. Select Technology Downloads to download testing software and information. Select Device Toolkit to display the Device Toolkit that you can use to configure and install the testing devices in your environment (see the DRC INSIGHT Technology User Guide for more information). Note: You must have the correct Technology Download permissions in the WIDA AMS to access the Device Toolkit link. Typically, these permissions are provided to Technology Coordinators. REPLACE IMAGE Select Test Sessions to view all of the test sessions for a specific district or school. Select Testing Windows to display the date ranges for various testing windows. Select Manage Students to search for students, edit student information, and add students. Select Student Test Progress to view the online testing status of one or more students for a specific district and school. Page 16

17 The Technology Downloads Option Test Setup Menu From the Technology Downloads option of the Test Setup menu, WIDA AMS users can download the Testing Site Manager (TSM) and DRC INSIGHT. Technology Coordinators use the Technology Downloads and the Device Toolkit to prepare for testing. Select Technology Downloads from the Test Setup menu to display the Technology Downloads page. From the Technology Downloads page you can download the TSM, DRC INSIGHT, or the Capacity Estimator. See the DRC INSIGHT Technology User Guide for details. Page 17

18 Test Setup Menu The Manage Students Option From the Manage Students option of the Test Setup menu, WIDA AMS users can: Search for students Edit student information Add an individual student Upload multiple student records at once View/edit demographic information about the student View/edit the student s accommodations Mark any Do Not Score codes for the student View the test sessions for which the student is currently enrolled and the status of the sessions Test Coordinators use the Manage Students option to prepare for and conduct testing. Test Coordinators may also give Test Administrators WIDA AMS permissions to help with these tasks. Select Manage Students from the Test Setup menu to display the Manage Students page. To search for one or more student records, use the various drop-down menus and fields to enter search criteria and click Find Students. You can use the Session Assignment drop down menu to filter your search to include students enrolled in specific test sessions. Page 18

19 Test Setup Menu Editing a Student s Information From the tabs in the Edit Student window, you can perform the following tasks: Tab Student Detail Task(s) Update basic student information Accommodations Mark a student s testing accommodations (see Editing a Student s Accommodations on page 20 ) Demographics Modify a student s demographics (see Editing a Student s Demographics on page 21) Do Not Score Change a student s Do Not Score codes (see Editing a Student s Information-Do Not Score on page 22). Test Sessions View the test sessions for which the student is enrolled, the student s test progress, and the test session status information (see Editing a Student s Test Sessions on page 23) Student Detail Tab To view or edit a student s information, do the following: 1. Click the Manage Students link from the Test Setup menu and enter your search criteria. 2. Click the Find Students button. 3. Click the View/Edit icon ( ) in the Action column for the student whose information you want to edit. 4. In the Edit Student window, edit the information in the Student Detail tab. 5. Click Save to save your changes or Cancel to cancel them. Page 19

20 Test Setup Menu Editing a Student s Accommodations Important: The following accommodations must be selected and saved here in the WIDA AMS before testing in order to activate them in the DRC INSIGHT test engine. Click the Manage Students link from the Test Setup menu and enter your search criteria. 2. Click the Find Students button. 3. Click the View/Edit icon ( ) in the Action column for the student whose information you want to edit. 4. In the Edit Student window, edit the information in the Accommodations tab. Note: You can mark accommodations for the paper based assessments on the applicable booklet or in the WIDA AMS. 5. Click Save to save your changes or Cancel to cancel them. Page 20

21 Test Setup Menu Editing a Student s Demographics Demographics Tab To view or edit a student s demographics, do the following: 1. Click the Manage Students link from the Test Setup menu and enter your search criteria. 2. Click the Find Students button. 3. Click the View/Edit icon ( ) in the Action column for the student whose information you want to edit. 4. In the Edit Student window, edit the information on the Demographics tab. 5. Click Save to save your changes or Cancel to cancel your changes. Note: Demographics for paper testers must be edited in WIDA AMS if a Pre-ID label is used. If a Pre-ID label is used and corrections are bubbled on the booklet, the data in WIDA AMS will override the booklet. For more information on how to mark demographics, see Section 4: Ordering and Test Materials Logistics in the ACCESS for ELLS 2.0 Test Administration Manual. Page 21

22 Test Setup Menu Editing a Student s Information Do Not Score Use the Do Not Score tab to report special testing circumstances. For more information about using these codes, see Section 4: Ordering and Test Materials Logistics in the ACCESS for ELLS 2.0 Test Administration Manual. Note: You can mark Do Not Score codes for students taking the paper based assessments either on the student booklet or in the WIDA AMS. Do Not Score Tab To view or edit a student s Do Not Score codes, do the following: 1. Click on the Manage Students link from the Test Setup menu and select your search criteria. 2. Click the Find Students button. 3. Click the View/Edit icon ( ) in the Action column for the student whose information you want to edit. 4. In the Edit Student window, edit the information in the Do Not Score tab. 5. Click Save to save your changes or Cancel to cancel them. Page 22

23 Test Setup Menu Editing a Student s Test Sessions A test session is a grouping of students who will take the same assessment together. For example, a classroom of students at the same grade level. Students for whom Pre ID data was submitted will automatically be placed into generic test sessions based on grade cluster and domain. A student s test sessions can be edited within Manage Students on the Edit Student tab. For more information about test sessions, see The Test Sessions Option on page 29. Test Sessions Tab To view or edit a student s Test Sessions, do the following: 1. Click the Manage Students link from the Test Setup menu and enter your search criteria. 2. Click the Find Students button. 3. Click the View/Edit icon ( ) in the Action column for the student whose information you want to edit. The Edit Student window displays. You can use the Print icon ( ) to print one or more student test tickets. Page 23

24 Test Setup Menu Adding a Student to the WIDA AMS There are three ways to add students to WIDA AMS. The method you use may depend on whether you have already set up a test session to which you would like to add a student. Use the Add Student window to add a student if you do not have a test session established to which you would like to add the student (see below). If you have a test session set up, see Adding a New Student to a Test Session on page 32. To upload multiple students at once, see Uploading Multiple Students to the WIDA AMS on page 25. To add a student to WIDA AMS, do the following: 1. Click the Manage Students link in the Test Setup menu to display the Manage Students page. Then, select a district and school and click the Add Student button at the bottom of the page to display the Add Student window. 2. Enter the necessary information in the Student Detail, Accommodations, and Demographics tabs to add the student. 3. Click Save to save your results, Save & Add Another to save your results and add another student, or Cancel to cancel the process without saving your changes. Page 24

25 Uploading Multiple Students to the WIDA AMS Test Setup Menu From the Manage Students window, you can upload a file containing multiple student profiles to DRC. The file must be in comma separated value (.csv) format (a file format used by Microsoft Excel) and the fields in the file must be in specific columns. The Manage Students window contains links to both a PDF layout that contains instructions and a sample template file that you can use to create the actual file. Important: Before you upload records to the WIDA AMS, search for the students and verify that they are not already loaded into the WIDA AMS (see The Manage Students Option on page 18). If your state provides a Pre ID file to DRC, the student records contained in that file will be uploaded to the WIDA AMS. To create and upload a student file, do the following: 1. Select Manage Students from the Test Setup menu to display the Manage Students page and select the Upload Multiple Students tab. 2. Click the Download the File Layout link to display the WIDAStudentFileLayout.pdf file. This file displays the required layout of the.csv file you will upload to DRC with rules, instructions, and examples describing how to create and format the file. Page 25

26 Test Setup Menu Uploading Multiple Students to the WIDA AMS (cont.) 3. Click the Sample File link to download or display the WIDASampleStudentFile.csv file. Note: This file is only a sample of the type of file you will upload to DRC. Depending on the browser you are using, a dialog box may appear for you to use to open or download the file. 4. Use the WIDASampleStudentFile.csv file to create and save a student file to upload. Note: Be sure to keep the header column rows in the file you upload. Page 26

After you have created a students file, click Browse to locate it, select the file, and click Open to display it in the File field of the Upload Multiple Students tab. 6. Click Upload. A message displays indicating the file has been transferred and is being checked for errors. After the file has been validated, you can review its status. If the file contains errors, you must correct them and repeat Steps 5 and 6. Page 27

28 Test Setup Menu The Student Test Progress Option From the Student Test Progress page, you can view the online testing progress of one or more students for a specific district and school. This page displays the following information: The student s name and grade The domain of the test The student s status regarding the test session: Status Not Started In Progress Description The student has not started the test. The student has started the test, but is not finished taking the test. Completed The student has finished the test. The start time, end time, and length of the test session are also displayed. Select Student Test Progress from the Test Setup menu to display the Student Test Progress page. To view the test progress for students, select a school from the Student Test Progress page, as well as any other fields to filter the information, and click the Find Students button. The test progress data for the students displays. ACCESS for ELLs Click the plus (+) sign next to a student s name to display the student s status by domain. Page 28

29 The Test Sessions Option Test Setup Menu A test session is a grouping of students who will take the same assessment together. For example, a classroom of students at the same grade level. Students for whom Pre ID data was submitted will automatically be placed into generic test sessions based on grade cluster and domain. From the Test Sessions window, you can view all of the test sessions for a specific district or school. The window displays the status of the test session Not Started, In Progress, or Completed. Status Not Started In Progress Completed Description The test session has not started no student in the session has started the test. One or more students in the session have started the test, but not all students have finished the test. The test session is finished all of the students in the session have completed the test. The start time, end time, and length of the test session are also displayed. Select Test Sessions from the Test Setup menu to display the Test Sessions page. ACCESS for ELLs To view the status of test sessions, enter your search criteria, and click the Show Sessions button. The Session Detail window displays. Page 29

30 Test Setup Menu n Adding a Test Session You can create a new test session and add students to it. A student must be placed into a test session for every domain. The exception is Grades 1 3. Students in these grades do not need to be placed in a writing test session because they take the writing test on paper. Note: Students in grades 4 12 who will handwrite their writing responses must be placed into a handwriting response (HW) session (see Viewing and Editing a Test Session on page 33). Important: Before you add any test sessions, search for pre populated test sessions (see The Test Sessions Option on page 29 for a description of how to view test sessions for a specific district or school). DRC will create generic test sessions using state submitted Pre ID data. These sessions can be edited (see Viewing and Editing a Test Session on page 33). Page 30

31 Test Setup Menu Adding a Test Session (cont.) To add a test session, do the following: 1. Click the Test Sessions link from the Test Setup menu and select a district and school (these fields are required to add a test session). 2. Scroll to the bottom of the page and click the Add Session button. The Add Test Session window displays. 3. Enter the required information (indicated by an asterisk [*] next to the field). The Session Name should be descriptive. For example, you might name the session by teacher name and classroom period. Note: The Mode, Begin Date, and End Date fields are greyed out because you cannot edit these fields. 4. Enter any other student search criteria. 5. Click the Find Students button. 6. Select a student from the Available Students list. Note: To select multiple students in sequence, press the Shift key while you select them. To select multiple students that are not in sequence, press the Ctrl key while you select them. 7. Use the Add Selected ( ), Remove Selected ( ), Add All ( ), and Remove All ( ) icons with the Available Students and Students in Session lists to select one or more students to remove from or add to the test session. 8. Click Save or Save & Add Another (see Adding Students to a Test Session on page 32). Page 31

32 Test Setup Menu Adding a New Student to a Test Session After you have added a test session, you can add new students to it each student is added automatically to the session when you click Save, or Save & Add Another. Important: You do not need to place students who will take the paper based assessment into test sessions test sessions are for online testing only. To add one or more new students, do the following: 1. Click the New Student button. The Add Student window displays. 2. Enter the student s information into the fields on the Student Detail and Accommodations tabs. 3. Click Save or Save & Add Another. The student you added is automatically placed in the Students in Session list. Note: You can display and edit a student s details, accommodations, and test sessions by doubleclicking on the student s name. Page 32

33 Viewing and Editing a Test Session Test Setup Menu You can view existing test sessions to see which students are enrolled in them. You also can edit the sessions to add or remove students. To move a student to a different session, you must remove the student from their current session and then add them to the new session. To add a student to a different session in a different grade, you must remove the student from their current session, change their grade (see Editing a Student s Information on page 19), and then add them to the new session. Students who will handwrite their writing response instead of using a keyboard must be placed into a Handwriting Response (HW) assessment. Writing Gr 68 HW To view or edit a test session, do the following: 1. Click the Test Sessions link from the Test Setup menu and enter your search criteria. 2. Click the Show Sessions button. 3. When the test sessions display, click the View/Edit icon ( ) in the Action column to display the Edit Test Session window for the session. Page 33

34 Test Setup Menu Viewing and Editing a Test Session (cont.) To view or edit a test session, do the following: 1. Click the Find Students button. 2. Double-click on a student s name to edit the student s information, or use the Add Selected ( ), Remove Selected ( ), Add All ( ), and Remove All ( ) icons with the Available Students and Students in Session lists to select one or more students to remove or add. Note: To select multiple students in sequence, press the Shift key while you select them. To select multiple students that are not in a sequence, press the Ctrl key while you select them. 3. Click Save to save your changes or Cancel to cancel them. Note: You can display and edit a student s details, accommodations, and test sessions by double clicking on the student s name. Page 34

35 Exporting a Test Session Test Setup Menu You can export the details of a test session as an Excel file (.xls) to save, view, edit, or print in a spreadsheet. You might use this spreadsheet to record testing anomalies. For example, a student who became ill during testing and was unable to finish. To export a test session, do the following: 1. Click the Test Sessions link from the Test Setup menu and enter your search criteria. 2. Click the Show Sessions button. 3. Click the Export Details icon ( ) in the Action column for the test session that you want to export. The test session details are exported to an Excel file (.xls) that you can save, view, edit, or print. Page 35

36 Test Setup Menu Copying a Test Session You can use an existing test session as a template to create a new test session. For example, assume that you have set up the students in a class to take the reading domain. Now, you must create test sessions for the other domains. You can make copies of the reading test session and edit them to create test sessions for the remaining domains. To copy a test session, do the following: 1. Click the Test Sessions link from the Test Setup menu and enter your search criteria. 2. Click the Show Sessions button to display the Testing Status window. 3. Click the Copy Session icon ( ) in the Action column for the test session that you want to copy. Page 36

37 Test Setup Menu Copying a Test Session (cont.) The Add Test Session window displays. 4. Enter a name for the session in the Session Name field. 5. Edit the required information to match your new session, and add or remove students if necessary. 6. Click Save to save your changes or Cancel to cancel them. Page 37

38 Test Setup Menu Printing Test Tickets and Rosters You can print test tickets for the students in a test session. You can either print all of the tickets for all of the students in a session, or you can select specific students and print their tickets. Note: Test Coordinators and/or Test Administrators perform this task. To print test tickets for the students in a test session, do the following: 1. Click the Test Sessions link from the Test Setup menu and enter your search criteria. 2. Click the Show Sessions button. To print all of the tickets for the test session, click the Print All Tickets icon ( ) in the Action column for the test session for which you want to print tickets. A PDF version of the Student Test Session Ticket displays that you can view, save, and print. To print selected test tickets, click the Edit/Print Ticket Status icon ( ) in the Action column for the test session you want. In the Testing Status window, select one or more students by clicking the checkbox next to their names in the Select column. Then, click the Print Selected button. Page 38

39 Deleting a Test Session Test Setup Menu You can delete a test session (optional). In most cases, it is neither necessary nor recommended to delete a test session that you will not use. To delete a test session, do the following: 1. Click the Test Sessions link from the Test Setup menu and enter your search criteria. 2. Click the Show Sessions button. 3. Click the Delete icon ( ) in the Action column for the test session report you want to remove. The Confirm Delete dialog box displays. 4. Click Delete to delete the test session or Cancel to cancel the process. Page 39

Select Test Sessions from the Test Setup menu to display the Test Sessions page and select the Upload Multiple Test Sessions tab. 2. Click the Download the File Layout link to display the WIDATestSessionLayout.pdf file. This file displays the required layout of the.csv file you will upload to DRC with rules, instructions, and examples describing how to create and format the file. Page 41

Note: This file is only a sample of the type of file you will upload to DRC. Depending on the browser you are using, a dialog box may appear for you to use to open or download the file. 4. Use the WIDASampleTestSessionFile.csv file to create and save a test session file to upload. Note: Be sure to keep the header column rows in the file you upload. Page 42

43 Uploading Multiple Test Sessions to the WIDA AMS (cont.) Test Setup Menu 5. After you have created a test sessions file, click Browse to locate it, select the file you created, and click Open to display it in the File field of the Upload Multiple Test Sessions tab. 6. Click Upload. A message displays indicating the file has been transferred and is being checked for errors. After the file has been validated, you can review its status. If the file contains errors, an error report detailing the errors will be available for you to review. You must correct the errors and repeat Steps 5 and 6. If the file does not contain errors, a system message will display indicating that the file has been accepted. Page 43

44 Test Setup Menu n Unlocking a Student s Test Ticket A student s ticket becomes locked (the student cannot test) if the student paused the test for more than 30 minutes (which automatically logged the student out) and did not attempt to log back in the same day. If the student attempts to log back in the same day as the student s first login, the test ticket does not need to be unlocked. The student can log in using the original login information without unlocking the test ticket. In all of these situations, DRC INSIGHT saves the student s data.
