2 Bring your Own Device Program Dear Parents: Your child s classroom will be participating in a Bring Your Own Device (BYOD) project starting: Date: BYOD refers to students being given the opportunity, at the teacher s discretion, to use personal laptop computers and/or tablets under supervision in the classroom for educational purposes. The Abbotsford School District operates innovative schools that prepare students for individualized, lifelong learning. We believe that the use of digital technologies to improve student learning is a key part in fulfilling that mission. Many of our students already own devices such as tablets and laptops that can supplement their learning when used appropriately in the classroom. BYOD Benefits improved access to online resources and digital tools enhanced opportunities to learn appropriate digital communication and citizenship skills additional opportunities to create digital projects access to assistive technology Device Recommendations In order to participate in this project, we are asking you to send a device to school with your child that meets the following criteria: be no more than three years old have a screen size of at least 7 inches have internet capability can do word processing, presentations, spreadsheets, and basic multimedia (edit video, record audio, edit images) have a built in camera, microphone, and speakers headphones protective case or cover power cord Notes You do not need to buy Microsoft Office because the Abbotsford School District is part of Microsoft s District Licensing program. This means that every student is entitled to a free copy of the full MS Office suite on up to five devices.

3 Students that do not have access to their own device will have access to one at school during regular school hours No e readers (Kindle, Kobo, Nook, etc.). Typical devices are Windows PC laptops, Mac laptops, Chromebooks, Android tablets, and ipads. Smartphones and ipod Touches are not considered to have large enough screens to be productive for a large number of potential uses. Additional Information 1. This will include a technology use contract and handbook so students, staff and parents understand what is considered appropriate. 3. We will ensure the safety of the devices through lessons around the proper handling of devices and use of security carts or locked cupboards. 5. Charge your device each night so your device is fully charged and ready for use. Bring your power cord with you to school each day or have an extra power cord that you can leave at school. Screensavers, Backgrounds, and other Device Personalization Personalize your devices in school appropriate ways. Device personalization (screensavers, backgrounds, skins, etc.) must not violate the Abbotsford School District Guidelines Labeling Label your device and power cord with your first and last name. Attach something unique, like a luggage tag, to your device bag, backpack or sleeve to prevent another student from taking it by mistake. Device Bag, Backpack, Sleeve Bring your device to school in a bag, backpack or sleeve. Anti Virus Software for Computers Install virus protection software that automatically downloads the latest anti virus updates on your device. Keep this virus protection up to date. Using your Device at School Protecting/Storage Keep your device with you or locked in the classroom at ALL times. Be gentle with your device. You must keep your power cord neat and out of other people s way.

5 Be careful when removing the power cord. Yanking it out of the device or the electrical outlet will cause damage. Do not wrap the cord tightly around itself where the ends can be pulled. You are the only person permitted to use your device. Keep your username and password private. Take your device home every day. Always carry your device with two hands and with the lid closed (if applicable). Protect your device when moving between classes, or anywhere else. Do not place an excessive amount of additional objects (i.e., folders, textbooks) in your bag/sleeve with the device. Excessive objects can place too much pressure and/or weight on the device screen. Be cautious about leaving the device unattended anywhere that there is a chance it could easily be knocked onto the floor, sat on, or stepped on. Clean the screen with a lint free cloth. No liquids of any kind including water. Food or drink should not be placed near the device. General Use at School You are expected to bring your device to school EVERY DAY. Always save your files to two locations when possible. Trouble shooting device issues is your responsibility and should be done at appropriate times; however, if you need assistance ask for help. Mute your device sound at all times unless your teacher gives permission otherwise. When using your device at school you must abide by the Abbotsford School District guidelines. Expectations and Consequences We recognize that digital devices provide a significant educational opportunity for our students; however, we are also aware that students should be using devices at appropriate times, in appropriate places, and appropriate ways. Thus, we are establishing the following expectations: Expectations Devices are to be placed in your backpack, or secure storage, unless being used for learning activities. Digital devices are NOT to be used without teacher permission. Devices may only be used for learning activities during class time. At all times use of digital devices must adhere to the school code. Consequences

6 In keeping with the Code of Conduct, rising actions will determine the consequences for not following expectations with regard to the use of devices. Should you not follow expectations you can expect: Your teacher to collect your device and turn it in to the office. Device to be returned after meeting with an administrator in the office. Misuse of the Network or Internet may result in disciplinary action, including written warnings, withdrawal of access privileges and, in extreme cases, suspension or expulsion. The school also reserves the right to report any illegal activities to the appropriate authorities. Section 2: Frequently Asked Questions When can I use my device at school? During all classes when permitted or requested by the teacher At other times, if allowed, and following school rules. Are there times when I am NOT allowed to use my device at school? When asked not to use it. During emergency procedures. In a classroom when no teacher is present. Can I print at school? You cannot print from your personal device at school. You can print files at home or by using a school owned computer. What happens to my device if it is left unsupervised? Any unsupervised device will be taken to the main office by staff members. There may be school consequences for leaving your device in an unsupervised location. My device is not working. What should I do? You are responsible for trouble shooting your device problems. You should not allow your device issues to get in the way of your learning. You should ask your teacher for assistance promptly. Occasionally, the school s technology support teacher or district technology support person may be able to help, but you are not to expect immediate help. What happens if my device is lost or damaged? You are responsible for your device at all times. If you give permission for someone else to use your device and it is damaged, you are still responsible.

7 I am involved in an after school activity. What should I do with my device? Remember: You are responsible for your device at all times. Arrangements should be made with your parent or coach to keep your device safe. Am I allowed to use my headphones at school? Yes. During class you may use your headphones with teacher permission. Will I have a chance to charge my battery during the school day? Yes. When you are not using your device you will be placing it into a charging station and plugging into your power cord. Can teachers and other school staff look at my device? Students and parents should be aware that permitted items of technology are subject to search by school officials if the school district has a reasonable suspicion that evidence of a violation of the student code of conduct is present on the technological device. Section 3: Abbotsford School District Guidelines Devices in schools provide access to a wide range of resources including software programs, library catalogues, the internet, and in some cases, . Schools are committed to ensuring that their network systems are used appropriately to address educational goals and that all students are aware of their responsibilities for acceptable use of networks. Students are given direct instruction on the safe use of the internet and network communications and are supervised at all times while using technology in the classroom. Do Use device networks for educational and school work related purposes. Follow copyright laws. Respect the privacy of others. Follow established guidelines for device use and etiquette. Report violations to teachers or supervisors or the school administration. Immediately leave an inappropriate internet site and tell the teacher or the school administration. Cite sources and attribute material to its proper owner when conducting research. Do Not Damage devices, computer systems, device networks, peripherals, or software either mechanically or by using viruses. Access, damage or destroy the files of another user. Send offensive messages or pictures. Use language that may be offensive to others. Use the network to access or to distribute/store illegal, illicit or offensive material.

8 Use someone else s work. Possible Consequences of Unacceptable Student Use May Include Loss of network privileges. Disciplinary action through the school or District code of conduct. Financial liability for damaged equipment.

9 AP 334 Social Media Students and Parents Background The purpose of this procedure is to provide guidance for students and the parent community when participating in online social media activities. Procedures 1. Terms of Reference 1.1 Social media includes but is not limited to: social media, social network, digital citizenship, digital footprint, internet, , smartphones, devices, blogging, tweeting, wikis, podcasts, video casts, video, audio, media, electronic communication systems, IOS, Android, current top examples Facebook, Twitter, YouTube, Vimeo, Edmodo, Google Drive, Google+, Hangout, Skype, Texting, Facetime, X box, PlayStation, Minecraft. 2. Students 1.1 Student online behaviour should reflect the Abbotsford School District values of respect, trust, integrity, communication, and teamwork. 1.2 Any use of social media must observe the terms or contract agreement of the online resource. A disclaimer/permission slip is required and must be signed by parents/guardians. 1.3 Students must consider the potential consequences of what they post online. What students contribute leaves a digital footprint for all to see. Students should only post what they would want friends, peers, parents, teachers, or a future employer to see. 1.4 School related online activities are an extension of the classroom and subject to all school and district expectations. What is inappropriate in the classroom is also inappropriate online. 1.5 Students must be safe online. Students should never give out personal information, including, but not limited to, last names, birth dates, phone numbers, addresses and pictures. Students must not share their password with anyone except their teachers and parents/guardians. 1.6 Linking to other websites to support a student s thoughts and ideas is recommended; however students must be sure to read the entire article prior to linking, to ensure that all information is appropriate in a school setting.

10 1.7 Students must do their own work. They must not use intellectual property without permission. It is a violation of copyright law to copy and paste other s thoughts. When paraphrasing another s idea(s), the sources must be cited. 1.8 Pictures are protected under copyright laws. Students must verify that they have permission to use an image. 1.9 Students must not intentionally misrepresent themselves or use someone else s identity Students must report any content or behaviour that is not suitable in the school environment Students who do not abide by these terms and conditions may face disciplinary action. 2. Parents 2.1 Classroom blogs and other social media are powerful tools that open up communication between students, parents, and teachers. The Abbotsford School District encourages parents to view and participate, and comment on classroom projects when appropriate. 2.2 Parents are encouraged to allow their children to participate fully in all activities that involve teacher monitored online learning environments. At times the completion and return of a release form will be required. 2.3 Parents are encouraged to read and/or participate in social media projects. 2.4 As partners in education, parents are encouraged to model appropriate online behaviour and monitor social media use at home. 2.5 Parents participating in school related activities must adhere to school district guidelines with regard to posting student photos and personal information. 2.6 Parents should not distribute any personal information about other students participating in the social media project. 2.7 Parents are encouraged to engage in collaborative opportunities to provide feedback to schools, the school district and the Ministry of Education. 11 AP Parental Consent Form for Online and Social Media Services Abbotsford School District acknowledges the importance of teachers, students and parents collaborating and learning in digital environments. However, it is also important that students, staff and parents use such tools in a safe and ethical manner. (See Administrative Procedure 337: Social Media Students and Parents). Teachers may use a variety of social media sites with students, but are required by law to secure parental permission if such sites store information on networks outside of Canada. Students are encouraged to participate in such class activities, but are not required to use accounts on servers located outside of this country. Teachers will therefore provide a list of all non Canadian services in the bottom section of this form, so that parents may consent for their child to participate in these social media activities. Personal information will be collected by the School District for the above noted purposes under the authority of Section 26 (c) of the Freedom of Information and Protection of Privacy Act (FOIPPA). While stored outside the country, information in your child s account may be subject to the laws of foreign jurisdictions, such as the United States. If you have any questions about this collection, please contact your child s teacher directly. Consent I understand that my child s information will be disclosed, stored and accessed from outside of Canada, and specifically in the United States, for the online services and social media sites listed below. This consent will be considered valid from the date on which it is signed until the end of the school year. I also hereby acknowledge that I have read and understood the district s social media policy (Administrative Procedure A334), as well as the policies related to information and communication services (Administrative Procedure A417). 12 AP Parental Consent Form for Office 365 Abbotsford School District provides students in Grades 4 12 with a district account as well as 25 gigabytes of online file storage space for school files. Students will have their own secure login and password to access their and files. Personal information will be collected by the School District for the above noted purposes under the authority of s. 26 (c) of the Freedom of Information and Protection of Privacy Act (FOIPPA). If you have any questions about this collection, please contact the school principal. Student names and the school they attend will be available to Microsoft Office 365 for Education who will store this account information on secured servers located outside of Canada. No personal addresses or phone numbers will be released. Privacy legislation requires that we obtain your consent before providing an account to your child. While stored outside the country, information in your child s Office 365 account may be subject to the laws of foreign jurisdictions, such as the United States. Consent I understand that my child s information in the Office 365 account will be disclosed, stored and accessed from outside of Canada, specifically the United States, for the purposes outlined above. This consent will be considered valid from the date on which it is signed until the student named below is no longer a student within the Abbotsford School District. I also hereby acknowledge that I have read and understood the School District s Policy on the Use of Office 365 as well as the Information and Communication Services Administrative Procedure 417 and the Social Media AP 334. 13 AP Guidelines for the Use of Office 365 The district provides resources to students to facilitate a successful educational experience. Office 365 is provided as an educational resource for students and teachers from grades Its purpose is to promote collaboration, to provide and software services (Word, Excel, PowerPoint, and Outlook) and online storage for school related files. The use of Office 365 is governed under district guidelines for Information and Communication Services (AP 417) and the Social Media Guidelines (AP334). School and district codes of conduct are to be followed in both online and face to face environments. Usage of Office 365 may vary between schools according to the instructional programs provided and specific requirements of school communities reflected in their code of conduct. Collaboration in all environments must be respectful and reflect the values of the school district. is provided for educational and school based activities. Faculty and staff must be aware that information sent to a student s address will be stored outside of Canada and must not include personal (private) information. Terms and Conditions 1. Users are expected to respect all guidelines for privacy and confidentiality from the Freedom of Information and Protection of Privacy Act to ensure that personal information is not compromised in public areas. 2. accounts are provided for educational purposes. The Board respects the privacy of Information and Communication Services (ICS) users . However, use of the ICS, including Office 365 access, is not private and may be tracked or archived. Use of the ICS, including Office 365, by any individual may be monitored or reviewed by the Superintendent (or designate) without prior notice if there are reasonable grounds. 3. In accordance with the provincial Freedom of Information and Protection of Privacy Act the Board will not intentionally inspect the contents of users , or disclose the content to anyone other than the sender, or intended recipient, without the consent of the sender or intended recipient, unless required to do so by law or the policies of the Board. 4. District IT staff will only access for purposes of resolving technical issues with accounts at the request of the user. 5. Guidelines related to the use of appropriate language and respect for copyright must be followed. 6. Transmitting or posting threatening, abusive, illegal, commercial or political materials as defined by Administrative Procedure 417 Information and Communication Services is prohibited. 7. Users should not reveal their passwords or personal information such as addresses, phone numbers or ages of themselves, other students or employees when using Office A signed consent form is required before the school district can activate Office 365 accounts. Access to Office 365 is on the Internet using a web browser and available at home and at school. These guidelines apply regardless of location from which the services are accessed.
