3 A must read for all local agencies Date: Saturday, October 2, 2010 From: MN State WIC Program and CSC Covansys To: All WIC Local Agencies Subject: Release Important Information Regarding This Release This release includes: Expansion to Schedule Appointments Screen fix 10/12/10 Release

4 Installation Notes The Release will be installed upon log in to HuBERT. The following steps should be taken: Start computer All other applications MUST be closed before logging into HuBERT to download the release. Double-click on the Clinic Icon Log in to HuBERT The Release will download (depending on the speed of your connection the time can vary greatly) The following message will display while the Software Update is being installed You will be prompted to restart the application Click Ok Log in again Close Clinic Reset Local Reference Data Log out of the HuBERT application Restart machine Log in to HuBERT Reset Local Reference Data 10/12/10 Release

5 When Will the Release Be Available? You will receive the new Release the first time you log into a machine after Saturday October 16, How Can You Be Sure You Have Installed the Release Successfully? Once the Installation is Complete you can verify the current version number: Click on Help in the menu bar Click on About WIC The version number should be: once Release has been installed If you experience problems, please contact the Help Desk using the Urgent Line! 10/12/10 Release

6 Installation Risk Analysis/Urgency The Urgency associated with this release is rated a 5 on a scale of 1-10 to allow Local Agencies to utilize different appointment types and not to overbook. The following changes were made in software Release : JIRA Issue # Application Module Primary Function Error Detail Resolution Outstanding Issue/Work around MN-503 Clinic Appointment Scheduler When two staff members have the Schedule Appointments for Household screen open at the same time, they are able to schedule appointments for the same data and time without invoking the overbook message. The Schedule Appointments for Household screen does not refresh to display the updated data. The message overbook message now correctly displays when using different appointment types and when the start and end times overlap. Outstanding bug MN-283 (fix set in 2.11) Duration does not default in for system defined appointment types. 10/12/10 Release

7 Detail and print screen for MN-503: In the Schedule Appointments for Household Screen: 1. Select the Date 2. Select the Clinic 3. Choose the household Member you are scheduling an appointment for 4. You choose an Appt Type 5. Choose the appropriate Duration (will default in if using Local Agency defined Appt Type) 6. On the scheduling grid, select the time you want to schedule the appointment for 7. Click OK 10/12/10 Release

8 8. The Confirm Appointment Selection dialog box will display if an appointment has NOT already been scheduled for the time you selected 9. Click OK 10. The appointment will be scheduled at the time you selected 10/12/10 Release

9 OVERBOOKING APPOINTMENTS TO NOT OVERBOOK AN APPOINTMENT 11. If there is already an appointment scheduled for the time you have selected, the following message will display indicating that if you continue to schedule this appointment, the appointment time will be overbooked (two appointments will be scheduled for that time) 12. Click Cancel if you do NOT want to overbook the appointment time 13. The system will return you to the Confirm Appointment Selection screen; click the Cancel button 10/12/10 Release

10 14. The system will return you to the Schedule Appointment screen; click the REFRESH button 15. The previously scheduled appointment scheduled at the same time you had originally selected will now display 10/12/10 Release

11 TO OVERBOOK AN APPOINTMENT 11. Click OK If you want to OVERBOOK the appointment time you selected 12. The Confirm Appointment Selection prompt will open 13. Click OK 10/12/10 Release

12 14. The Schedule Appointment screen will refresh. The appointment originally scheduled for that time will display in the Resource column. A second column will be added to the right of the original Resource column. The overbooked appointment will display in red in that column. 10/12/10 Release
