1 Genesys Meeting Center Web-based meetings & audio-conference calls Genesys Meeting Center allows you to run meetings over the Web, sharing the contents of your PC (e.g. a PowerPoint presentation, an Excel worksheet) with colleagues logged into their PCs somewhere on the Internet. You talk to each other using VoIP (Voice over Internet Protocol) with a microphone & speakers or a headset plugged into your PC. Several aids help you run the meeting, including text messaging, a shareable whiteboard, instant surveys and polls, and you can even give control of your PC to a colleague so that they can present to the group. All this is free of charge. Avoid posting large documents out, instead share them on your screen and lead participants through them highlighting the important points. If the sound quality using VoIP is not adequate, participants can dial-in on the telephone, from most places only a local connect phone number. Audio-calls are not free and the costs will be charged back to your account, which is monitored by the Programme Office. Please don t use toll-free numbers they cost more than local dial numbers. Using a web cam, the presenter can show themselves to all participants. Record the meeting: the moderator can record the meeting, creating an archive file containing everything that happens on the screen together with all sound. This can be downloaded from Genesys usually within 24 hours of the meeting. Use Genesys Meeting Center and VoIP to run audio-conference calls free of charge. Genesys Meeting Center Account An account has been created for each study team and can be used by any member of the group. The 6-digit meeting number must be shared within the group and with anyone joing a group meeting; the PIN number should only be known by the group member(s) setting up the meeting ( moderator in Genesys terminology) and not shared outside the grup. Genesys meeting software works best in Internet Explorer on a Windows PC. MAC users will need to run a virtual-windows PC.

3 Before using Genesys Meeting Center When you have your account details, go to Take full advantage of the live instructor-led training where a Genesys trainer will lead you through the features and answer all your questions. Note as well the link to download the user guide a very useful document. Click on Moderator login button and log in to Genesys using your account details. The first time you do this, Internet Explorer will need to allow pop-ups and install an ActiveX application; allow both. Tips: before you need to use Genesys Meeting Center for your first meeting: allow time to install and test the Meeting Center software; it works best on Internet Explorer (including IE7 on Vista) and is not fully supported on the MAC; you will need local administrator rights invest a bit of time before you need to use Genesys learning the basics, whether to organise meetings yourself or to participate in others

4 To moderate meetings properly, you should install the Meeting Center software. While it is possible to run meetings using just the web interface, the software provides more options including VoIP support and the Outlook plug-in. Download and install Meeting Center 4.0 software. Staff should contact the Help Desk and ask it be installed on their School PC. A small icon is added to your system tray looking like a conference table (!) and providing quick links to start, schedule and join meetings. Tip: when you ve installed the Meeting Center and set-up your first meeting, add the service to your trusted sites in Internet Explorer (Tools > Internet Options > Security > Trusted ( If you have problems installing Genesys software, or using it for the first time, contact the Genesys 24/7 support service

5 Use Outlook to schedule Genesys meetings: The Genesys plug-in inserts a button in the calendar to automatically populate s inviting participants to attend the meeting. Schedule the meeting exactly as usual, using Outlook s ability to scan colleagues calendars and identify when everyone may be available, then click on the Insert Meeting Center Details to populate the with all the information participants need in order to join the meeting.
