1 Setup The General StoreTM Point Of Sale Software For Windows! ACE Electronic Ordering Interface This document acts as a setup guide and user manual for The General Store s ACE Hardware electronic interface program. This program allows you to create purchase orders in The General Store and export them for download to ACE s electronic bulletin board. Once ACE processes these orders and converts them to invoices, you can download them to your computer and then use The General Store s ACE invoice import program to receive them directly into The General Store, thereby automatically updating your inventory quantities. Communications There are two ways to communicate with ACE: Via the Internet Consult Ace Electronic Services for the web site address. Via the ACE Electronic Services bulletin board. The Internet is the easiest way to communicate with Ace, but if you do not have Internet access, you can use Ace s bulletin board. Before communicating with the ACE Electronic Services bulletin board, there are a couple of things you must do first: Purchase and install ProComm Plus communications software. Acquire, install, and edit your communications script file from ACE Electronic Services. Add ACE Electronic services to your ProComm Plus call directory. Purchase and Install ProComm Plus From Symantec To communicate with ACE, you must purchase and install ProComm Plus from Symantec ( This is the terminal emulation communications package that ACE requires you have in order to communicate with their Electronic Services Bulletin Board. Acquire, Install and Edit Your Ace Script File Ace will provide you with a script file that ProComm Plus will use when you communicate with Ace Electronic Services. This script file is nothing more than a text files that contains your store number, password, and preset list of communication instructions. This file is essential and is usually provided by Ace via , or floppy diskette, and is typically called ELECCOMM.WAS. Where Do I put The Ace Script File? The script file must be placed in the following directory:
2 C:\Program Files\Symantec\ProComm Plus Use Windows Explorer to copy ELECCOMM.WAS from a floppy diskette to this directory. If the file was sent via , use the Save Attachments AS. Option to save the file to this directory. Edit The ELECCOMM.WAS Script File to Set the Proper Directory Structure Received Files ProComm Plus must know where to place files received from ACE onto your computer. This is done by editing the ELECCOMM.WAS file using the script editor in ProComm Plus. 1. From the ProComm Plus main menu, click Tools, Scripts, Compile Edit. 2. Navigate to the C:\Program Files\Symantec\ProComm Plus directory. 3. From the list of script files, select the ELECOMM.WAS file. Page 2 of 10
3 4. First check to insure that your store number and password are properly entered in the script file. 5. Next, set the download drive and download directory. By default, this section of the script file will look as follows: After you make the necessary changes to the file, this section will look as follows: Page 3 of 10
4 DOWNLOAD_DRIVE If you are running ProComm Plus from the files server, then the download drive will be C:. If operating from a workstation, the download drive will be the mapped network drive, such as G:, which is the General Store s default drive letter for workstations. PCPLUS_DIRECTORY If you see a line referencing a data directory, such as PCPLUS, delete the line entirely. This line must be removed for General Store use. DOWNLOAD_DIRECTORY The download directory needs to be changed from DATA to the actual General Store data directory, which is usually tgswin. 6. Save the changes you make to your script file by clicking File, Exit, and Yes to saving changes. Finally, click Exit on the Compile /Edit Script window. Add Ace Electronic Services to Your Connection Directory Now, you must add Ace to your connection directory in ProComm Plus. Follow these steps: 1. Click File, Connection Directory. Page 4 of 10
5 2. From the Connection Directory, click New Entry. 3. Enter the appropriate information in the Data tab as shown below. 4. Click the OK button at the bottom of the window to return to the Connection Directory window. Page 5 of 10
6 5. Click the Basic Options button on the Connection Directory Screen. Then click the Script file drop down as shown below. 6. Select the eleccomm script from the drop down list. Click File, Save to save your entry. That s it your communications setup is complete. Add Ace Programs to The General Store Tools Menu There are three programs that must be added to the Tools Menu in the General Store. ACE Purchase Order Export ACEPOEXP.DLL ACE Receiving Program AINACEIN.DLL or WINACEIN.DLL The program AINACEIN.DLL places the ACE item number in the General Store s item number and vendor order number fields, and the UPC number in the General Store s Alternate Lookup 1 field and the in the General Store. The Program WINACEIN.DLL places the UPC number in the General Store item number field and the ACE item number in the General Store s vendor order number field. It places no number in the General Store s Alternate Lookup 1 field. ACE Undo Receiving Program ACEUNDO.DLL This program will reverse the last ACE receipt in the event the import file was corrupt or damaged. Page 6 of 10
7 The Tools menu is contained in a file called FUNCTION.WIN, which is located in the General Store data directory, typically \TGSWIN. This file can be created and edited with Windows Notepad. The General Store contains a default FUNCTION.WIN file in the \TGSWIN directory. To access it, click Start, Programs, Accessories, Notepad. Then click File, Open. Select All Files in the Files of Type box at the bottom of the Open window. Browse until you see the \tgswin directory. Locate the FUNCTION.WIN file in this directory and click OK. Add the following three lines to the file. ACE PO Export,ACEPOEXP.DLL,ACEPOEXP ACE Receiving,AINACEIN.DLL,AINACEIN ACE Undo Receipt,ACEUNDO.DLL,ACEUNDO Your FUNCTION.WIN file should look as follows: Page 7 of 10
8 Click File, Exit, and then Yes to save your changes. Now when you access the Tools menu in the General Store you will see the following: Sending Purchase Orders To Ace Many ACE stores use a handheld device to create and transmit orders to ACE. If you do not use such a device, you can create a purchase order in The General Store and then use the ACE purchase order Export program to create an ACE readable purchase order file, which can then be sent to ACE via the Internet or the ACE Electronic Services Bulletin Board. Create A Purchase Order in The General Store to Export Use the General Store purchase order facility to create a purchase order for export. The vendor must have a vendor number in the General Store of ACE. Export the General Store Purchase Order File From the General Store main menu, click Tools, then ACE PO Export. Page 8 of 10
9 You will see the following screen. The system will look for all ACE purchase orders. Use the drop down button to select the ACE purchase order you wish to export. Do not forget to enter your ACE store number. Click Export to create the ACE readable purchase order file, ORDER.DAT. This file is located in the \TGSWIN directory. Transmit The Purchase Order File ORDER.DAT to ACE Again, the ORDER.DAT file created by the General Store s purchase order export program is located in the data directory, usually x:\tgswin where x is the drive letter where the directory resides. Via The Internet Follow the instructions provided by the ACENET website when transmitting this file. Remember, the file you are transmitting is ORDER.DAT, and it is located in the data directory, usually x:\tgswin where x is the drive letter where the directory resides. Via ProComm Plus and The ACE Electronic Services Bulletin Board Access ProComm Plus, and then click File, Connection Directory. Select the Ace Electronic Services entry you created during setup, and click the Dial button at the bottom of the window. The program will dial Ace and automatically process your store number and password. You will then see the ACE Electronic Services Menu. Follow the instructions provided by Ace at this point to process the purchase order transmission. Again, the file you are transmitting to Ace is ORDER.DAT and it is located in the data directory, usually x:\tgswin where x is the drive letter where the directory resides. Receiving Invoice Files From ACE Whether you process ACE purchase orders through The General Store or with a handheld data collector, once those purchase orders are processed by ACE, they are placed on either the ACENET website, or the ACE Electronic Services bulletin board as invoice files. These invoice files must first be received into your computer from ACE, and they must then be processed through The General Store. Step 1 - Receive The Invoice File From ACE Via The Internet Follow the instructions provided by the ACENET website when receiving this file. The file will have an extension of.ind, and it must be placed in the data directory, usually x:\tgswin where x is the drive letter where the directory resides. Via ProComm Plus and The ACE Electronic Services Bulletin Board Access ProComm Plus, and then click File, Connection Directory. Select the Ace Electronic Services entry you created during setup, and click the Dial button at the bottom of the window. The program will dial Page 9 of 10
10 Ace and automatically process your store number and password. You will then see the ACE Electronic Services Menu. Follow the instructions provided by Ace at this point to process the invoice file transmission from ACE to you. The file you will be receiving is RECVXXX.SPC where XXX is the number of the receipt, as in RECV001.SPC. Step 2 - Process The Invoice File In The General Store During the setup process, you added The General Store s ACE receiving program to your Tools menu. To access it, first click Tools from The General Store main menu, and then click ACE Receiving. The General Store will then process the first ACE file it finds and automatically brings it to the screen. You can then review the items received and when completed, click the save icon on the navigational toolbar to save the receiving and update the inventory file. That s it! Undoing An ACE Invoice Receipt There may be times when an ACE file is corrupt or has an improper cost. If you accidentally receive such a file, you can use the ACEUNDO utility to reverse the last ACE receipt processed. Simply click TOOLS from the main menu, and then click ACE Undo Receipt. The system will then reverse the last ACE receipt processed. Page 10 of 10
