Refunds shall be made within 30 days of such cancellation; cancellation must be received in writing. Cancellation date will be determined by postmark or date notification is received if delivered in person. If a student decides not to enroll after the seven (7) day period but prior to the first day of instruction, the school reserves the right to retain the enrollment fee. If a student should decide to cancel the contract after the seven (7) day period and after the first day of instruction, the cancellation shall be handled as a withdrawal, and the refund shall be made according to the enrollment time, being the first day of instruction and the last physical day of attendance and shall follow the REFUND SCHEDULE that follows. If the Academy cancels a class for any reason, a full refund will be paid. The Academy reserves the right to refuse an applicant we feel is unacceptable by the Academy. Any moneys paid by the student shall be refunded in FULL, and payment of the refund shall be made within 30 days of the refusal cancellation date. If any student withdraws after the first day of instruction, the refund shall be based according to the total contract price paid for the course and the proportion of the course that has been instructed (referred to as "ENROLLMENT TIME"), which is the first day of instruction through the last day of physical attendance. (See refund schedule below) Supplies, book and materials which have been purchased by the student from Aaron's Academy are non-refundable items. These items shall become the property of the student. REFUND SCHEDULE Enrollment Time/Proportion of the Tuition Refund Percentage Course Instructed 0% to 10% of contracted hours 90% refund / 10% tuition due 11% to 20% of contracted hours 80% refund / 20% tuition due 21% to 30% of contracted hours 60% refund / 40 % tuition due 31% to 40% of contracted hours 40% refund / 60 % tuition due 41% to 50% of contracted hours 20% refund / 80 % tuition due 51% of contracted hours NO REFUND /100% tuition due Students who attend more than 51% of the contracted hours receive no refund. Refunds will be calculated based on the above refund schedule and if the student has financial aid, the refund calculation will be determined by the "Return of Title IV Funds" calculation. This refund is based on current federal guidelines for students receiving Title IV funds (financial aid) 17

18 RETURN OF TITLE IV FUNDS POLICY The Financial Aid Office is required by federal statute to determine how much financial aid was earned by students who withdraw, drop out, or are dismissed, prior to completing 60% of a payment period or term. For a student who withdraws after the 60% point-in-time, there are no unearned funds. However, a school must still complete a Return calculation in order to determine whether the student is eligible for a post-withdrawal disbursement. The calculation is based on the percentage of earned aid using the following Federal Return of Title IV funds formula: Percentage of payment period or term completed = the number of days completed up to the withdrawal date divided by the total days in the payment period or term. (Any break of five days or more is not counted as part of the days in the term.) This percentage is also the percentage of earned aid. Funds are returned to the appropriate federal program based on the percentage of unearned aid using the following formula: Aid to be returned = (100% of the aid that could be disbursed minus the percentage of earned aid) multiplied by the total amount of aid that could have been disbursed during the payment period or term. If a student earned less aid than was disbursed, the institution would be required to return a portion of the funds and the student would be required to return a portion of the funds. Keep in mind that when Title IV funds are returned, the student borrower may owe a debit balance to the institution. If a student earned more aid than was disbursed to him/her, the institution would owe the student a post-withdrawal disbursement which must be paid within 120 days of the student's withdrawal. The institution must return the amount of Title IV funds for which it is responsible no later than 45 days after the date of the determination of the date of the student=s withdrawal. Refunds are allocated in the following order: Unsubsidized Direct Stafford Loans (other than PLUS loans) Subsidized Direct Stafford Loans Direct PLUS Loans Federal Pell Grants for which a Return of funds is required Other assistance under this Title for which a Return of funds is required (e.g., LEAP) 18

19 REFUNDS WILL BE CALCULATED: 1. If a student fails to attend school for 14 consecutive days, the school shall retain the right to terminate the student. If the student accumulates 300 hours of absences, the school will withdraw the student from the program. The school will notify the student of his/her termination, and any refund will be made according to the enrollment time, (first day of instruction through last day of physical attendance) within 30 days of the official termination date. 2. It is requested that formal withdrawal from any program be made in writing, after which a refund shall be made within the 30 day period from the date of the formal withdrawal. The date of formal withdrawal shall be the date in which the written withdrawal was received or the postmark date of the letter, if mailed or the last date of attendance. 3. Any student formally terminated by the school shall receive a refund based on enrollment time according to the schedule above. The student shall forfeit the enrollment/registration fee. All supplies, books and materials purchased by the student shall become the property of the student. Should a refund be due, the refund shall be made within 30 days of the last date of physical attendance. 4. If the Academy closes or discontinues a course or program, the school shall refund to each currently enrolled student monies paid by the student for tuition and fees and monies. With the approval of the Secretary for the Maryland Higher Education Commission, a school which closes or discontinues a course or program, instead of refunding monies to a student, may arrange for that student to complete his or her educational program at another approved school offering a similar program. It is the student's option to receive the refund or accept the transfer to another school. FINANCIAL AID Students at Aaron's Academy of Beauty may be eligible to use Federal or State aid to help pay for their education. FEDERAL AID Federal PELL grants are available to students through the Federal PELL Grant Program. These are need-based grants and do not have to be repaid. TIME FRAME TO COMPLETE PROGRAM Students must complete their program within 1.25 times the length of their program, as shown below. Students must have a minimum cumulative attendance rate of 80%. Students must make up all absences and complete their training in the maximum time frame, as shown below. PROGRAM NORMAL TIME FRAME MAXIMUM TIME FRAME Cosmetology 1500 hours 1875 hours Nail Technician 250 hours hours EVALUATIONS Students will be given written evaluations at 450 hrs, 900 hrs, and 1200 hrs. Students are required to maintain a 75 % grade point average for their academic test scores, practical grade sheets and maintain a minimum cumulative attendance rate of 80%. Test grades, practical grades and attendance will be reviewed monthly by the school. Students are required to achieve a 75% grade point average on their test scores and practical grade sheets and not have more than 300 contracted hours missed. Tests will be given periodically during the month to evaluate your progress. GRADING SCALE POINTS LETTER PROGRESS A Superior progress B Good progress C Satisfactory progress 74-0 D Unsatisfactory progress FINANCIAL AID WARNING/PROBATION Written evaluations will be conducted at 450, 900 and 1200 hours. A student not meeting the standards for Satisfactory Academic Progress will be placed on Financial Aid Warning OR Probation for those students not receiving financial aid, for the next check point. If the student corrects the reason for the financial aid warning/probation during that time they regain Satisfactory Academic Progress status. However, if a student fails to correct the reason for the Financial Aid Warning/Probation, the student will be withdrawn. Also note if it is determined that the student would be unable to meet SAP during the warning period, the student may be withdrawn at that point. 22

23 FINANCIAL AID REQUIREMENTS Students placed on a financial aid warning will be considered making Satisfactory Academic Progress, for financial aid purposes, until their next scheduled evaluation. In the event that a student receiving financial aid does not meet Satisfactory Academic Progress and is withdrawn, all financial aid funds will be terminated until the time when the student has re-entered, upon the School Directors approval and satisfied Satisfactory Academic Progress. APPEAL PROCESS Students who are terminated after failing to achieve the minimum requirements of Satisfactory Academic Progress may appeal this determination. The student must submit a written appeal to the Director of the Academy, along with supporting documentation, reasons they feel the decision to terminate should be reversed and also include a written request for re-evaluation of progress. This appeal must be received within five (5) days of termination. Should a student fail to appeal, the decision will stand as final. Appeal hearings will take place within five (5) days of the receipt of the written appeal. The hearing will be attended by the Appeal committee (2-3 members of the Academy). After the hearing, a decision will be made as final and the student will be notified within three (3) days in writing. This decision will be final. RE-ENTRY If a student wishes to re-enter training after being withdrawn for Satisfactory Academic Progress, the student must wait at least 2 months and meet certain stipulations, not all re-entries may be approved. Those stipulations are: 1. Must meet with school director and explain why Aaron's should readmit the student (what has changed?) 2. If re-entry is approved the student will come back at the same status as when they left. 3. Any violation of Satisfactory Academic Progress or other schools rules, will result in a final dismissal. 4. Student will pay re-entry fee. Re-entry fee is $ INCOMPLETE Course incompletes, repetitions and non-credit remedial courses do not apply to Aaron's. 23

24 Complaint Procedure We sincerely hope that you never feel the need to issue a complaint with our Academy, as we try to serve you to the best of our ability at all times and in the manner you deserve. However, if you do feel the need to file a complaint, this is our procedure: A. Students, teachers and any interested parties may file a complaint. B. Complaints must be in writing to the school director. C. Outline the allegation or nature of complaint. STEP 1: STEP 2: STEP 3: STEP 4: A school representative shall meet with the complainant within 10 (ten) days of receiving the written complaint. If the problem cannot be resolved through discussion, the complaint is referred to Aaron's Complaint Committee. The committee will have 21 (twenty-one) days from the receipt of the complaint to review the allegation, unless additional information from the complainant is needed, a letter will be written outlining the need for additional information. If no further information is needed, the committee has 15 (fifteen) days to send a letter to the complainant outlining steps to correct the problem, or information to show that the allegations were not warranted or based on fact.
