3 The W (Web Services) drive All web files are stored on the W drive, accessible from My Computer. Go to W:\Static Content\wwwMysitefolder and open the folder corresponding to the site you are administering. Important: If you cannot see the W drive in My Computer, contact IT at Screenshot FBE website folder on the W drive How to set up your connection to the website a. In Dreamweaver go to Sites / Manage Sites b. Click on Import c. From the W drive, select the configuration file corresponding to the site you are administering: W:\DreamWeaver Config Files e.g. If you are administering the FBE website, you would select the wwwecom configuration file d. Click on Done Page 2

4 Where to save documents on the W drive All PDF, WORD, POWERPOINT, EXCEL or other text files should be stored on the W drive. W:\Static Content\wwwMysitefolder\downloads, in the relevant section: e.g. research, alumni. If you administer the Alumni section of the FBE website, you would store all your downloadable files under: W:\Static Content\wwwecom\downloads\alumni Tip: Create a shortcut on your desktop that will take you straight to this folder. Where to save photos on the W drive All photos (jpg, png, gif) should be stored under: W:\Static Content\wwwMysitefolder\template-assets\images in the relevant section e.g. research or alumni If you administer the Alumni section of the FBE website, you would store all your photos under: W:\Static Content\wwwecom\ template-assets\images\alumni Tip: Create a shortcut on your desktop that will take you straight to this folder. Web page components Web pages are made up of multiple components. HTML arranges the content into different structural types, like paragraphs, blocks, lists, images, tables, forms, comments etc. CSS tells the browser how each type of element should be displayed, which may vary for different media (like screen, print or mobile device) JavaScript tells the browser how to change the web page in response to events that happen (like clicking on button, or changing a value in a form) Page 3

5 Dreamweaver menus Explore all the menus in your own time to see what functions / options are available. Screenshot Melbourne Institute homepage in Dreamweaver Local view, Remote view and Testing server FBE sites have 3 file view options configured in Dreamweaver. Local view shows the files on the Development server (WDEV). Testing server despite the confusing name, also shows the files on the Development server (WDEV). Remote view shows the files on the Testing server (WTEST) Important: You should always work on the files in Page 4

6 Local view. These files are on the WDEV server, which means they are not live. WARNING: Do not use the blue put arrow until the page is absolutely ready to go live. If you put the file, anyone in the Faculty can run the script at any given time and this will upload your under construction page as well. (Read more about the script in the How to upload files to the testing site & production site section) When the page is ready, ask your manager to preview it before you use the put arrow. Development, Testing and Production servers (WDEV, WTEST & WPROD) All the website files that we work on locally are stored on the W drive our Development server (WDEV). When we work in Dreamweaver and we put files, the files are uploaded onto the Testing server (WTEST). When we run the script, the files are uploaded from the Testing server onto the Production server (live server WPROD). Read more about how to run the scrip in the How to upload files to the testing site & production site section. WDEV Development server Local View / Testing server in Dreamweaver This is where we work on the pages in Dreamweaver WTEST Testing server Remote View in Dreamweaver This is where the files are uploaded if the put button is pressed WPROD Live server Not accessible from Dreamweaver This is where the files are uploaded if the put button is pressed and the script is run Page 5

7 How to edit existing pages How to apply styles (headings, paragraphs) Text colours, fonts should not be modified by manually typing in a font size and selecting a colour in the CSS panel. Each page is based on a template and that template has a style sheet attached to it, where numerous paragraph / heading styles are defined. Select the text you would like to change and select the desired style from the styles available in the CSS menu. If your text should be a heading (bold and larger font size), select the heading type (1 to 6) from the HTML drop down menu. How to edit text Simply edit the text like you would in Word. Page 6

8 How to enable / disable the side image To enable / disable the side image, go to the Modify menu and then choose Template properties. In the Template Properties box, check / uncheck the Show side image box and click OK. How to edit photos Select the picture you would like to insert. Copy the photo into the images folder on the W drive, e.g.: W:\Static Content\wwwecom\ template-assets\images\alumni Make sure the picture has an appropriate file name (e.g. a picture of students on campus should be titled Students on campus.jpg and not DSC3001.jpg). Tip: It is important for search engine optimisation purposes that the file name be an accurate and short description of the image. Important: Resize the photo so that it fits in the space allocated on the page. If the file size is too large, you might also need to reduce the resolution. Take kb MAX / photo as a guideline. If the photo is not resized, this will lead to longer page loading times and users will close the page if they have to wait too long. Page 7

9 How to edit a photo in Microsoft Office Picture Manager (MOPM) Tip: This software comes installed with the Microsoft Office Package (inside Microsoft Office Tools). If you do not have it installed, contact IT at Open the photo in MOPM and click on Edit Pictures. This will bring up a menu on the right side of the screen. Click on Resize to bring up the menu. In the Resize box, use the Percentage of original width x height option or insert the variables for the Custom width x height option. When you re done, click OK and save the picture. Page 8

10 How to insert photos In Dreamweaver, go to the Insert menu and click on Image. Select your image from the images folder and click OK. In the Image Tag Accessibility Attributes menu that pops up, in the Alternate text box, type the description of the photo e.g. Students on Campus at the University of Melbourne. If the photo has a longer description contained in a pdf document, you can link to that pdf in the box below. Once you re done typing, click OK. Tip: It is important to type in a description for accessibility and search engine optimisation purposes. Page 9

11 How to create links How to create a link to a document (pdf, Word, Excel, PowerPoint etc.) Select the document and give it an appropriate file name. Important: PDF file names should not have spaces between words. Use _ or e.g. Document_Title_2010.pdf Remember to save your document in the downloads folder W:\Static Content\wwwMysitefolder\downloads, in your relevant folder. Select the text or photo on the page that will become the link, then in the Files tab, locate your file and then use the Point to file option in the Link tab. Tip: If you would like your file to open in a new browser tab / window, in the Target menu, select _blank. Page 10

12 How to create a link to an internal page on the website When creating a link to a file already on the website, use the same method as above. How to create a link to an external website Select the text or photo that will become the link. In the Link box, paste in the URL of the page Tip: Always include before the www How to create an anchor link Anchor links are links to certain sections on the same page. They are used for text-heavy pages, usually positioned at the top of the page. To create an anchor link, you will need to assign a name / id to a section of the page and then create the link to that section. Click right before the first letter of the word / paragraph that will become your anchor. In the Insert menu, click on Named Anchor. In the box that pops up, type in the anchor name (keep the title short and use no spaces). e.g. AnchorTitle. You will see an anchor icon appear next to your text like this: Go to the top of the page and select the text that will be your link to this newly created / named section. In the link box at the bottom, type in #AnchorTitle. Page 11

13 How to create a new page Tip: Before creating a new page, think if the information is enough for a new page and if the information cannot be added to an already existing page. How to apply a template to a page In the File menu, go to New and select Page from Template. In the Site menu, select the site that you are working on, and in the Template menu, select the appropriate template. Click on Create. Page 12

14 How to insert a page title Remember to give the page an appropriate, intuitive title, in the title bar. The page title standard at the University of Melbourne is Page title : Faculty of Business and Economics : The University of Melbourne. Tip: For search engine optimisation purposes, it is important for every page to have a suitable title which reflects the information contained on the page. How to save a page Save it in the appropriate folder, under an appropriate file name. Do not leave spaces between words: e.g. page-title.html but never page title.html Edit the page as you normally would and save your changes when you re done. How to preview a page Once you are done editing the page, remember to save and preview it to see how it looks in the browser. The page displayed in Dreamweaver might not look exactly as it would in the browser; this is why it is important to test the page before putting it live. To preview the page in a browser, use this button: Some browsers require your unimelb username and password. Type in your username and password. Tip: If you get an error, type in unimelb/username and then your password. Page 13

15 How to test links While in the browser, click on the links on the page to see if they all work as expected. How to upload files to the testing site (WTEST) & to the live site (WPROD) When you are done editing your page, saved it and you re ready to put it live, select the file in the file panel and use the blue put arrow. A box will pop up and prompt you to upload dependent files. Dependent files are photos, style sheets linked on the page. If you haven t made any changes to the style sheet or added any new photos on the page, you can select No. If you have, then select Yes, for these files to be uploaded as well. Important: Pdf, Word, Excel files are not considered dependent files and need to be put separately. Page 14

16 How to run the script Once the pages are tested and running well, you are ready to put them live, from the Testing server to the Production server. You can find the script at: W:\Update to WPROD If access to the script hasn t been configured, request this with IT (45623 or To run the script, double-click on the file. This will bring up the following menu: Page 15

17 Press Enter twice until you see a full list of sites: Enter the number corresponding to the site you re updating. e.g. 1 for the FBE website, 19 for the GSBE website or 20 for the Melbourne Institute website Click on Start in the pop-up box. Page 16

18 The script will prompt you when all the files are done uploading. Once the upload is complete, go in the browser, type in the URL of your site, go to the page you ve just uploaded and remember to Refresh the page (F5 or ) if the changes don t show up immediately. How to validate a web page When editing a page in Dreamweaver, errors can occur. Use the W3 Markup Validation tool to identify these errors and fix them. Once you have fixed the errors, remember to put the page and run the script again. Use the Validate by URl option, and simply copy and paste the URL of your page in the Address box. Page 17

19 How to delete redundant files WARNING: If you are SURE that a file needs to be deleted from the live site, go to the Files panel, select the file and hit the Delete button on your keyboard. Tip: Dreamweaver will prompt you if there are files that are still linking to this page / file. If there are pages that still have a link to this file, review them before proceeding. Switch your file view from Local view to Remote view, select the file in the Remote view and delete it from there as well. By doing this, you have deleted the file from WDEV and WTEST. But the file hasn t yet been removed from WPROD (the live server). You will need to run the script again in order for the file to be completely removed. Page 18
