3 From the President s Desk It is that time of year when we all start peering anxiously over the horizon into The promise of a new year and a fresh start is always an exciting time. Looking back on 2009, it was a year full of ups and downs for many of us. Here in Fargo, our office and the entire Fargo-Moorhead community saw some setbacks in March when the Red River reached record heights. Watching our team and community pull together was humbling and I know in the end has made us all stronger! Although 2009 may not have been a year of record growth for Summit Group, we were proud to be named by Inc. magazine to the Inc list of fastest growing companies in the United States. And, we ll celebrate our five year company birthday in January 2010! Everyone is invited to our birthday party 4:01 on Thursday, January 21, 2010 at our Fargo Office. Many of you joined us for our First Annual Customer Summit on October 29, 2010 at the Microsoft Executive Briefing Center. Thank you to everyone who took the time to join us. With over 100 people in attendance, we received great feedback on this event and look forward to making it bigger and better next year. At our Customer Summit, we rolled out our new Managed Services Plans. These plans are designed to deliver many of the things included in our previous Managed Services offerings, but also include exciting new additions such as unlimited support and training benefits at no additional charge! 4 Integrating Microsoft SharePoint with Microsoft Dynamics CRM Joe Tews, Microsoft Dynamics Consultant, MCT Consider this scenario You have a powerful Microsoft SharePoint implementation running in your company. You ve been utilizing the functions of the Business Data Catalog, Excel Services, and the robust Enterprise Searching capabilities for some time. You also have just finished an implementation of Microsoft Dynamics CRM to help track and maintain your sales prospects, leads, contacts, marketing campaigns, etc. Combining Two Powerful Technologies Two powerful Microsoft technologies are right at your fingertips. Now, if only there were some way to harness the powerful features of both into one easy to use and access place. Enter the native functionalities of both products that make a seamless integration possible. That s right! Now you can utilize both applications in one location using your own preferred weapon of choice. Document Libraries in Microsoft Dynamics CRM There are three ways that integration is achieved between the two technologies. The first is pulling Microsoft SharePoint data (specifically lists and libraries) into your Microsoft Dynamics CRM solution. 5 tiple documents stored for each of your accounts. The current solution is to have a separate folder sharing solution where each account has its own folder. Sometimes, things don t get saved into the correct folders; it s hard to find exactly what you re looking for, etc. With Microsoft SharePoint and Microsoft Dynamics CRM, we can create separate document libraries and tie them to a contact or account within Microsoft Dynamics CRM and put all information in one, convenient location. Microsoft Dynamics CRM in WSS or MOSS The second integration technique pulls Microsoft Dynamics CRM data into your Microsoft SharePoint site. We can pull Microsoft Dynamics CRM information into either Windows SharePoint Services (WSS) 3.0 or Microsoft Office SharePoint Server (MOSS) If our solution is a Windows SharePoint Services 3.0 installation, there is a Microsoft Dynamics CRM web part available for download from Microsoft. With this web part, we can pull information from Microsoft Dynamics CRM and display it in a web part in Microsoft SharePoint. Most entities are available, and only one entity at a time can be pulled in per web part. With Microsoft Office SharePoint Server, there are several additional options to pull in data. Besides using the WSS web part, we can utilize the Business Data Catalog or Excel Services to pull in the Microsoft Dynamics CRM information. If we utilize the Business Data Catalog, we can write our own Application Definition File or utilize one that comes with the Microsoft Dynamics CRM Accelerators. Once this Application Definition File is uploaded to the Business Data Catalog, we can create Business Data web parts in Microsoft SharePoint to display the data, even display data from related entities! Microsoft Excel Services Finally, through Microsoft Excel Services, we can display information from within Excel Worksheets to our SharePoint site. This is accomplished by pulling Microsoft Dynamics CRM data into Microsoft Excel through real-time data integrations and displaying this information as Pivot Tables or Charts. We can then publish that information to Microsoft SharePoint and Microsoft Excel Services and have real-time graphs and tables straight out of Microsoft Dynamics CRM. This data can be used in Dashboards and other Microsoft SharePoint pages. There are some exciting ways to integrate your Microsoft Dynamics CRM and Microsoft SharePoint deployments. 6 Improve Efficiency with Electronic Banking Janelle Montplaisir, Microsoft Dynamics Consultant, MCT Maintaining control of cash and bank accounts are business critical functions in every organization. From paying vendors and collecting customer payments, to balancing bank statements unfortunately, managing your checkbooks and cash flow can require a significant amount of time. Microsoft Dynamics GP includes a number of different banking tools to help manage your banking activities more efficiently and securely while saving significant resource time and administrative expenses. Electronic Bank Reconciliation Most businesses maintain multiple checkbooks. Some even maintain multiple checkbooks for multiple companies. Bank reconciliations are traditionally a very manual process and often take a considerable amount of time and effort. 7 spending each month to correctly reconcile all of your checkbooks. With Electronic Bank Reconciliation, employees can download a file from the bank directly into Microsoft Dynamics GP Bank Reconciliation and the system automatically matches any transactions, saving your business and employees valuable resource time while reducing data entry errors and increasing accuracy. Imagine the many more productive hours your team could spend on other tasks if you allow Electronic Bank Reconciliation to do the work! EFT for Payables Management Electronic Funds Transfer (EFT) for Payables Management allows you to create a secure payment file for all electronic payment vendors and submit it directly to your bank. The process of generating an EFT vendor payment is the same as a regular vendor check batch, except rather than printing checks you generate an electronic payment file which is submitted to your bank. Electronic payments not only decrease time and costs by not having to print and mail checks but it also reduces the potential for fraud that paper checks can introduce. EFT for Receivables Management Electronic Funds Transfer (EFT) for Receivables Management can help guarantee customer payments by automatically withdrawing funds from your customers bank accounts for outstanding invoices. To create the electronic funds transfer file for your customers, enter a cash receipt as normal for that payment in a batch, and it will be marked as EFT. When the batch of cash receipts is posted, an electronic file is generated for all customer payments in that batch. The file is then submitted to the bank and you will electronically receive payment for your customers accounts. Payments received electronically help decrease the cost of processing payments, guarantee customer payments, and improve your business cash control. Acronyms abound in the world of business applications and technology and xrm is an especially popular one, lately. The short and marginally helpful answer is xrm is whatever you want it to be. The x is the variable and the RM stands for Relationship Management an application to manage any kind of relationship. We like to think of xrm simply as a platform that is very well suited for the development of business applications. This platform is based on the Microsoft Dynamics CRM platform, leverages Microsoft SQL Server as the database, and the application customization toolset is built right into Microsoft Dynamics CRM to build out custom business applications. The Microsoft Dynamics CRM application can really be thought of as a feature set that includes sales, marketing, and service functionality built using the xrm platform. Lots of other things can be built on this platform that accomplishes very different business processes. xrm: No More Build vs. Buy For IT departments everywhere, one of the most common questions is Build vs. Buy? when it comes to line of business applications. To build your own business application, the typical benefit is that it is highly customized to your exact business needs. The drawback is those applications are expensive to build, maintain, and support. Some advantages of buying industry specific or pre-packaged applications include being typically well supported by the vendor, easily deployed, and easily supported, because there are a lot of other customers out there like you. The drawback the inflexibility of those applications often fail to meet your business needs and processes get sacrificed to make the company work the way the software does. With xrm as the platform, you have the benefit of both Build and Buy. It provides the benefits of a scalable, well supported solution on a well known and documented platform like Microsoft Dynamics CRM with the flexibility and customization capabilities to be a truly customized solution. 11 ing and learning curve costs can be significantly lower by leveraging a platform that could be used for numerous other applications in the organizations and via Microsoft Outlook. If it looks, feels, and acts like your other applications it is a lot easier for staff to learn and really can increase productivity. From an IT standpoint, the reasons are compelling and numerous. The previously mentioned point about building vs. buying is one of the best reasons. Use the xrm platform as an incredibly cost effective starting point for a custom business application. The platform already has well defined development methods and is well documented and supported. It is incredibly flexible and easily extended using first and foremost a powerful customization tool set built right into the application interface. But also using jscript,.net-enabled programming languages, and the reporting engine of SQL Reporting Services just about anything can be done. From a supportability standpoint no more black box mystery to all and no one left to support it in the organization. Microsoft Dynamics CRM is a well known and well supported environment, which scales for growth and upgrades in a far more superior way than a custom built application because it leverages the strength of Microsoft Windows, SQL Server and.net Platforms. Is xrm Right for Your Organization? It just might be. We have deployed many varied xrm projects across industries and types of applications. Their commonalities were issues with disparate spreadsheets, no reporting insight in current systems, old systems lacking data integrity and/or no staff within the organization who knew anything the about the old systems. Some companies had people that were feeling like they were running blind in decision making or spending time patching together the failing systems all signs that something is broken and xrm might just be the platform to fix them. Year-End Procedures for Microsoft Dynamics GP Sheila Ochoa, Microsoft Dynamics Consultant, MCT With 2010 nearly upon us, it remains important to review year-end procedures for the various modules within Microsoft Dynamics GP. The most important thing to remember prior to doing year-end close for any module is to make a recoverable backup. The second most important item - review all of the necessary closing procedures prior to making that backup. Year-End Closing Procedures Planning ahead and making a back up is the most important thing. Ninetynine percent of module year-end closes go flawlessly as long as processes and procedures are followed. If at any point you are unsure of these procedures, please take a moment to call us and discuss any uncertainties you may have. Whether you run on a Fiscal Year or Calendar Year, both sets of closing instructions from Microsoft are provided with each module. 12 Summit 2009 User Conference Kevin Spaulding, Business Relationship Manager It is an exciting year in the Microsoft world and that excitement was on display on October 29, 2009 at Summit Group Software s inaugural user conference. Over 100 individuals gathered at the Microsoft Fargo Campus Executive Briefing Center in the new Vision building for this great event. Don Morton, site leader for the Executive Briefing Center, opened the day by addressing the audience with some encouraging words about current and future plans for Microsoft. Up next was Summit Group Software President Eric Gjerdevig who spoke about his positivity around a strengthening economy and officially unveiled a new Managed Services plan for Summit Group Software customers. With the opening session over, the day of concurrent and micro sessions were ready to begin. Topics ranging from SQL Reporting Services (SRS) for Microsoft Dynamics GP and CRM and Integrating Microsoft Dynamics CRM with Office SharePoint Server started the day. Other concurrent topics throughout the day included Workflow for Microsoft Dynamics GP, an Introduction to Microsoft Dynamics CRM, Tips and Tricks on Getting More from Microsoft Dynamics GP, an Introduction to Microsoft Office Communication Server, Integration Tools for Microsoft Dynamics, and Reporting Options for Microsoft 12 the Summit :: a publication of Summit Group Software

The Micro Sessions were a nice mix into the day, with just a 30 minute burst of content and included topics such as Extender for Microsoft Dynamics GP, Introduction to Business Portal, and Workflow/Automation with Microsoft Dynamics CRM. The afternoon Micro Sessions were even more popular as Ben Corwin from Microsoft presented a sneak peak at Microsoft Dynamics GP 11 and the Summit Group team presented an introductory session on xrm. The day was certainly enriched by the presence of a number of our ISV and other partners, including session presentations or Lunch/Table topic discussions from Avalara, Scribe, Rockton, Marco, and SalesPad. With the full catering capabilities of the Executive Briefing Center, lunch was held right onsite and the momentum of the event was even throughout the day. The closing session pulled everyone together and Eric Gjerdevig offered some closing thoughts and of course door prizes! Including Convergence credit memos, copies of Microsoft Office 2007, and you can t forget those Starbuck s gift cards. The day concluded with a quick social at Summit Group Software s downtown office. Each and every Thursday, customers have a standing invitation to our weekly 4:01. 15 ing Documents and Word Templates for Microsoft Dynamics GP 11 Joe Tews, Microsoft Dynamics Consultant, MCT Microsoft Dynamics GP 11 will be rolling out just around the corner and we are dedicating a number of resources to informing our clients about the exciting product enhancements. Check out our blog for additional sneak peeks at the new features you can expect to see. One of my favorite new features that will be included with Microsoft Dynamics GP 11 is the ability to print your reports to Microsoft Word forms and also be able to those reports, right from within Microsoft Dynamics GP. Yes, you heard right! Microsoft received a lot of feedback to have reports available through another source other than Report Writer, and they have answered with new functionality around Microsoft Word. With Microsoft Dynamics GP 11, you will be able to print most of your reports as either your existing Report Writer report, or you can print them with new Microsoft Word templates. Microsoft will be shipping a number of templates out of the box, as well as the ability to create and customize your own templates and use them to print your documents. These templates will be able to be used if you re on Microsoft Office 2007 or newer. The way this is going to work is relatively simple and will not require any additional software. When you choose to generate a report to Microsoft Word, it still goes through Report Writer, which is the processing engine. However, instead of it being printed then in Report Writer, it will be pushed to Word as an XML format, and Word will then be the design engine for the report. With the information being pushed to Word, we will now have the ability to easily manipulate the design of the report, as well as adding our own graphics and style! Microsoft Dynamics GP 11 is also introducing the ability to documents from right within the product. With this feature, we can now reports directly to our vendors, customers, etc. Microsoft Dynamics GP will utilize the power of Outlook to send the s, either as an attachment or embedded directly into the body of the . This will reduce the cost of postage and printing for an organization, as well as simplify getting information out.
