1 IS TRAINEE BUSINESS ANALYST Purpose An exciting new opportunity has arisen for an in the Information Systems Department. Reporting to the IS Business Systems Manager, the main purpose of the role will be to provide a business analysis service, and support as necessary, acting as the main interface between ISD and the end-user departments on assigned systems and projects to help drive business transformation and changes, whilst developing own business analysis skills through formal training/qualifications. Key Requirements Investigating and identifying areas of the business where business improvements are possible either by changes in process or the introduction of new systems and technology Assisting in arranging technology sessions for end users Carrying out analysis of current processes to develop a comprehensive understanding of business needs and document feasibility studies Assisting in the development and preparation of initial business case design and cost benefit analysis Critically evaluate information gathered from multiple sources, reconcile conflicts, decompose high-level information into details, condense low-level information to a general understanding and distinguish user requests from the underlying true requirements Liaising with ISD developers (or contractors) during the system design phase and during the development process to ensure that the finished product meets business needs and expectations Ensuring that adequate end user documentation exists for assigned projects/systems and assist with preparation where necessary For full details, please refer to job description JD1132. 2 IS TRAINEE BUSINESS ANALYST What is the Role? Who are we looking for? Suitable applicants will: Have a minimum of 12 months experience in a systems support or system super-user role in a medium sized organisation, preferably in the logistics/transport sector Have excellent numerical, literacy and organisation skills Have a minimum of two A Levels (or equivalent), preferably in IT related subjects; Have a degree (or equivalent), preferably in an IT related subject Have undertaken/undertaking formal training/studies to achieve the IIBA CBAP/CCBA or BCS Diploma in BA (or will be prepared to undertake this formal training) Have a DVLA Driving Licence What do you need to do? 3 Job Summary Responsible To Job Purpose Business Systems Manager To provide a business analysis service, and support as necessary, acting as the main interface between ISD & the end-user departments on assigned systems and projects to help drive business transformation & change. Description of Duties Primary Functional Objectives of the Role As requested by the Business Systems Manager, and working with assigned business representatives, investigate and identify areas of the business where business improvements are possible either by changes in process or the introduction of new systems and technology. Assist in the arranging of over the horizon technology sessions for end users where appropriate. As required carry out detailed analysis of current processes in order to develop a comprehensive understanding of business needs and document feasibility studies in order to support or dismiss the case for change. Assist in the development and preparation of initial business case design and cost benefit analysis for presentation to the governance board. Work with user departments to develop project plans for the deployment/introduction of new systems. Drive and challenge departments on their assumptions of how they will successfully execute their plans. Elicit requirements from assigned end-users using recognised BA techniques such as interviews, document analysis, workshops, surveys, site visits, task and workflow analysis, etc. Critically evaluate information gathered from multiple sources, reconcile conflicts, decompose high-level information into details, condense low-level information to a general understanding and distinguish user requests from the underlying true requirements. Assist in the preparation and sign off of requirements up to Detailed Functional Specification level Liaise with ISD developers (or contractors) during the system design phase and during the development process to ensure that finished product meets business needs and expectations. Assist in the preparation of test plans for use during the development phase. Conduct system/suite testing as required to ensure finished product is fit for purpose. Work with user departments to agree suitable User Acceptance Testing. Work with users departments to agree suitable training/handover plans for any new systems or significant changes to existing systems. Where required assist end user departments with the preparation of training documentation for new systems or changes to systems. Liaise with relevant managers & supervisors where required to jointly develop training initiatives, scenarios & benchmark testing tools. Ensure that adequate end user documentation exists for assigned projects/systems and assist with preparation where necessary. Be a focal point for issues or changes to assigned systems for operations & external customers. Where required carry out high level administrative role on assigned system. Maintain an in depth knowledge of assigned systems including their functionality, usage & relevance in order to support latest operational strategies. 1 of 3
4 Primary Line / Performance Management Objectives of the Role (If Applicable) Primary Leadership Objectives of the Role (If Applicable) Responsibilities for: People Assets Finance Decision Making Communications Experience & Knowledge No direct reports but will be required to work in small project teams. On a physical level responsible for the maintenance and security of extensive test equipment in place as well as the equipment for personal use. Expected to perform regular cost benefit analysis work for small-scale system changes to small/medium-scale projects. Expected to investigate complex technical problems and situations and make proposals based on their findings. Required to investigate and analyse difficult operational processes and situations, often with sensitive IR issues associated. Working alongside development staff the job holder will be expected to make proposals on the required functionality. Good communication skills both orally and written are essential as the job holder will be expected to communicate at all levels including external customers, senior management, operational personnel, contractors etc. Must be familiar with multiple questioning techniques and be able to gain the clarity and conciseness required to produce quality functional specifications, test plans and training documentation. Will be expected to negotiate and influence up to Management level on a wide range of issues. Required to attend meetings. Minimum 1 year experience in a systems support or system super-user role in a medium sized organisation, preferably in the logistics/transport sector. Has undertaken, is undertaking, or prepared to undertake formal training/studies to achieve the IIBA CPAB/CCBA or BCS Diploma in BA. Qualifications Essential DVLA Driving Licence. Excellent numerical, literacy and organisation skills. 2 or more A Levels plus degree, preferably in an IT-related subject. Mental Demands Routinely required to concentrate for long periods of time and often at intense levels when writing detailed functional specifications. Also routinely interrupted with systems related issues which need to be addressed quickly to avoid potential service delays. Physical Demands Most of the time at their desk working on a computer although will regularly need to visit developers and end users. Health & Safety (exposure to risk) Expected to work in test environments from time to time and also in operational areas on the terminals although 2 of 3
