Demand at the high school level to offer dual enrollment programs. 2. Demand at the state level (AIDT) to provide business and industry relevant and accessible programs to train employees. 3. Government statistics on increased demand for medical billers and coders. August 2015 NA Short certificate programs in Accounting, Office Management, and Medical Coding and Billing Specialist will be implemented and added to the 2014/2015 catalog. Number of students enrolled in courses leading to a short term certificate program. Short certificate programs in Accounting, Office Management, and Medical Coding and Billing Specialist were created and added to the 2014/2015 catalog. Currently there are no students enrolled in the short term certificates for Accounting and Medical Coding and Billing Specialist. Advisors indicate students in Accounting and Medical Coding and Billing choose to select the A.S. program. There was one graduate in the Administrative Office Management short term certificate program during Spring Semester Because this is the first year Southern Union has offered the Accounting and Medical Coding and Billing short term certificates, the Office Management faculty will work with Southern Union's recruiters to look at ways to market these programs to area high schools and business and industry. 1/6
2 High school, business and industry (AIDT), and government demand for short term certificate programs has been met. Relevant and accessible programs to train employees has been met. : 3 Operational To increase accessibility/flexibility to students in the Medical Administrative Office Management program by offering OAD 214 in a hybrid format. Students in the Medical Administrative Office Management program were surveyed Fall Semester 2014 to determine if the hybrid format would appeal to their needs. One hundred (100) percent of the students surveyed indicated they would like OAD 214 offered in a hybrid format. Summer OAD 214 will be offered in hybrid format Spring Semester A student satisfaction survey will be given to the students at the end of semester. Spring Semester 2015, OAD 215 Medical Office Procedures was offered in the hybrid format. Student satisfaction surveys indicated 100 percent of the students in this course were very satisfied with this form of delivery. OAD 215 Medical Office Procedures will continue to be offered in the hybrid format. The Administrative Office Management has increased its accessibility/flexibility to students, which is part of our college mission. 2/6
3 : 5 Student Learning Students will be able to key at a minimum rate of 35 words per minute (wpm) with 5 or fewer errors on a 3 5 minute straight copy timed writing. Industry/professional competencies of the Alabama Department of Postsecondary Education requires that students enrolled in OAD 103 should be able to key at a minimum rate of 35 words per minute with 5 or fewer errors on straight copy timed writings. During the spring semester of 2014, data was gathered which measured the number of students enrolled in OAD 103 who keyed 35 wpm with 5 or fewer errors on a series of straight copy timed writings. Approximately 53.8 percent of students enrolled in the course were unable to key 35 wpm with 5 or fewer errors on a 3 5 minute straight copy timed writing. May 2015 Increase the frequency and the number of administered timed writings per week from straight copy to improve keyboarding skill development on timed writing tests. In addition, provide students with web addresses of free online sites for practice on their own to build productivity resulting from constant practice. The end result can be demonstrated as a display of proficiency and increased typing speed. The timed writing scores on straight copy timed writings of students who are enrolled in OAD 103 during the spring of 2015 will be calculated to determine those students who key 35 wpm with 5 or fewer errors from straight copy on a 3 5 minute timed writing. After increased frequency of the number of administered timed writings given to students enrolled in OAD 103 during the Spring semester of 2015, 86.6 percent of students enrolled in the course were able to key 35 wpm with 5 or fewer errors on a 3 5 minute straight copy timed writing. 3/6
4 Students who show difficulty in obtaining the required speed of 35 wpm with 5 or few errors on a 3 5 minute straight copy timed writing test in OAD 103 will be administered timed writing test at an increased frequency to build productivity resulting from constant practice. There was an increase of 32.8 percent in the number of students who could key 35 wpm with 5 or fewer errors from straight copy on a 3 5 minute timed writing. : 6 Student Learning Students will utilize HIM software to manage health information. During the year, the faculty members assessed the need that the AHIMA (American Health Information Management Association) curriculum map indicates that students who are in health information management fields should be able to use health information technologies to manage health data. This includes record tracking, release of information, coding, registries, billing, quality improvement, electronic health records, and document imaging. August 2015 $1,000 In OAD 215, Health Information Management, students learn how to code using hard copy manuals. Although it is the accepted methodology to first teach medical coding using hard copy manuals (certification requires the use of the hard copy manuals), it is also important that our students have the opportunity to use electronic coding methods to simulate the "real" medical office environment. Research and analysis of possible electronic technologies for medical coding and billing will be performed spring semester Selection of an electronic coding and billing software for use in OAD 214 Health Information Management. 4/6
5 Encoder medical coding software was selected, and students will begin using this software in OAD 215 Health Information Management Fall Semester Students will now have the opportunity to use electronic coding methods to simulate the "real" medical office environment. Students will be trained on how to use electronic coding software, which will be a skill desired by potential employers. : 7 Student Learning Students will be able to prepare and transcribe medical documents in the appropriate medical styles and utilize various types of transcribing equipment. Prior to 2014, students enrolled in OAD 212 depended on printed textbooks for learning how to transcribe, and had to memorize various formatting styles to produce adequate medical reports. Even though these reports complied with the AAMT Book of Styles guidelines, it was very difficult for students to differentiate which reports were to be used in the dictated medical settings. When students submitted assignments for grading, it was determined by the instructor that students did not know which reports to use. In turn, students had to modify the submitted reports, and/or received low grades when they did not format the reports in the correct medical style. Fall 2015 Utilize the automated Healthcare Documentation learning system package which includes templates for chart notes, initial office evaluations, consultation, history and physical examinations, discharge summaries, operative reports, emergency department reports, procedures notes, and diagnostic studies. These templates will enable students to produce the correct formatted styled reports, without having to memorize them. 5/6
6 By adopting the Healthcare Documentation learning system package for OAD 212 for purchase by students enrolling in this course. The Healthcare Documentation learning system package was implemented in OAD 212. Utilizing this package, students produced the correct formatted styled medical reports on the first draft without frustration or having to differentiate between which medical report was required for the medical setting. The Healthcare Documentation learning package will become the standard package students will used to transcribe medical reports in OAD 212. One hundred percent of students enrolled in OAD 212, as well as the advanced course, OAD 213 were able to transcribe medical dictation using the required report for a medical setting. Students showed no signs of frustration, and were able to produce chart notes, initial office evaluations, consultation, history and physical examinations, discharge summaries, operative reports, emergency department reports, procedures notes, and diagnostic studies without difficulty.
