Grant Writing 101!! Sylvia Oliver, PhD PLTW Affiliate Director, Biomedical Sciences Washington State University Spokane Seattle University, December 2012

Committing to the task Getting Started!! Making grant writing a part of what you do Not being afraid of an unsuccessful proposal Getting back up and doing it again!

A Grant is an Investment Funders expect a return for their dollars: new knowledge, new products, new methods, new insights into old ideas. Does it fit with their stated interests? How are you going to do it? Why is your group the best qualified to do this?

You are Selling a Product Good Proposal = Good Idea + Good Plan -Meaningful and much needed model; or -idea that may solve a problem. -Do-able -Well thought out -Sufficient skills

The Project Why do I want a grant? What resources do I need? Who will support the project? Find a funder. Determine if your project meets the needs of the funder!!!!

The Project Define the problem to solve. Develop the idea. Answer the who, what, when, where, why, how questions.

WWWWWH? Who will benefit? What will be done? When will the project be initiated? Completed? (Timeline) Where will the project be done? (resources, physical capabilities, commitment)

WWWWWH? Why can you do it better than anyone else? (qualifications/collaboration) How are you going to do it? (Stepby-step plan, evaluation plan, assessment plan) How will the project be disseminated and sustained?

Building a Team Choose people you have worked with. Choose people you still want to work with. Choose people with different perspectives. Choose people with different skills.

Collaboration Essential Funding agencies want money to make greatest impact = collaboration. Choose professional and community partners to join project. Partners will bring resources (in-kind, direct $$). Partners will increase likelihood of dissemination and sustainability.

Three Commandments 1. Thou shalt not receive a grant if thou hast not submitted an application. 2. Thou shalt not turn in an incomplete application. It won t be accepted. 3. Thou shalt not turn in a sloppy application, with bad English and incorrect formatting. Proofread everything before submission. Brian Gratton, Department of History, ASU

Writing Work from a successful proposal. Know what the RFA/RFP says. Do what the RFA/RFP says. Refer back to what the RFA/RFP says.

Writing Determine the granters reasons for funding. What is the perspective of the granting agency in relation to the area of your interest? What are the agency s specific goals for this funding? Do your needs fit these goals?

Writing Write to convince the reader. Assume they know nothing. Have a great title and abstract (wow them at the beginning!).

Writing Get rid of the I : what I want to do ; what I think is important ; why I should be given this money ; my idea is great ; I m great ; the way I want to organize the work.

Writing Use ample figures & tables to help tell the story. Use words and phrases from the funding announcement. Be sure the proposal is neat, clean, wellorganized, to the point, easy to read (headings, bullets, etc.)

Writing Revise along the way. Refine at the end!!!

Budget Don t budget the funds; fund the budget. In other words, ASK FOR WHAT YOU NEED. Everything you plan to do must be provided for in the budget. Don t pad but NEVER underestimate costs. Easier to deal with your own bureaucracy if everything is specified in the budget.

The Last Step

Write it and have some clown review it a) The research argument: what you are going to do, why it is important, and how it fits into the goals of the agency. Innovative idea, innovative methods, innovative collaboration. b) The timetable: is it realistic: can you accomplish what you say you will do in the schedule you have laid out? DO NOT PROMISE TOO MUCH. c) The budget: is it fair, is it realistic, and does it fit the budgeting guidelines of the agency? Brian Gratton, Department of History, ASU

Submit Assume the Lotus and Wait for Rejection Brian Gratton, Department of History, ASU

While waiting for the rejection, begin applications to two other agencies, with the same or a new idea. when you get the rejection, wait 48 hours to cool off. Then read the reviewers reports again. Reapply. Fix only what is broken. Brian Gratton, Department of History, ASU

Top 10 Reasons Why Proposals Fail: 10. topic or purpose is not appropriate for agency/reviewers, 9. didn t follow the instructions, 8. lack of expertise & team or collaborative approach, 7. lack of new or original ideas, Jennifer L. Kilgo, University of Alabama

Top 10 Reasons Why Proposals Fail: 6. poor communication of ideas and plans, 5. purpose and plan not sufficiently detailed, 4. no specific outcomes or benefits or products, 3. insufficient attention given to work of others, 2. poor evaluation design, Jennifer L. Kilgo, University of Alabama

Top 10 Reasons Why Proposals Fail: 1. It sure won t get funded if you don t write the darn thing!!!!! Jennifer L. Kilgo, University of Alabama

Resources Jennifer L. Kilgo, University of Birmingham (UAB) Michael Gamel-McCormick, University of Delaware Brian Gratton, Department of History, ASU Gerry Cherry, Grant Writer, CEPS Clay Malinak, SNBL USA, Ltd, Seattle, WA
