4 Introduction PURPOSE The Training Guide outlines key SPA functionality for end users. SCOPE This guide covers the following fundamental areas of the SPA application: The User Interface Common tasks Navigation Printing ABOUT School Performance Analytics (SPA) Data Warehouse is a browser application for assisting the district in making informed decisions. This tool provides dashboard views and reports to meet the data needs of the District s employees for improving student achievement. It provides immediate viewing of reports and reduces the time of having to compile data from various sources (i.e. Chancery Student Management System, State Assessments) for reporting purposes. Data in SPA is updated daily and reflects information available from the prior day. PowerSchool Student Management System data is housed as far back as School Year , and NYS Assessments from School Year Again, NYS Regents, NYS Assessments, and of recent years, NWEA and AIMSweb, have been brought into SPA Data Warehouse. Important to note PowerSchool SMS data is imported into SPA daily, in the very early hours. That said PowerSchool SMS data in SPA is reflective of the day prior. 5 Getting Started LOGGING INTO YOUR SPA DATA WAREHOUSE APPLICATION INTERNALLY You can access the SPA application through SharePoint > Applications page. See snapshot below. A login screen appears. o Enter your District User ID and Password. Click the Log In button. Confidential 5 Rochester City School District

6 YOU CAN ACCESS SPA DATA WAREHOUSE EXTERNALLY THROUGH CITRIX. IMPORTANT: Knowledge Base SPA documentation is accessible on the footer page of SPA. Using Knowledge Base, you ll be able to locate how to access the Early Warning System report and how to view the 5 minute SPA teacher video as well as obtain a copy of this training guide PDF, and much more. EXITING THE SPA APPLICATION Do not close the browser window to exit the SPA application. From the application-level menu, choose Log Out.(See snapshot) Confidential 6 Rochester City School District

7 About the SPA User Interface USING DASHBOARDS AND PAGES The SPA interface consists of Dashboards and Pages. Dashboards represent a collection of relevant reports. You might liken it to a drawer in a filing cabinet. Within that drawer you will have separate files for specific information. Those files are Pages in SPA. SPA is a web based application and uses standard hyperlinks for navigation. Each dashboard across the top (blue menu banner bar) is represented as a hyperlink to a collection of reports about that subject area. To select a dashboard, simply click on it (i.e. Student 360). Select a dashboard tab/page by clicking it (i.e. My Students Watch List) On the My Students Watch List page, the Early Warning System report resides dashboards pages/ tabs MY STUDENTS The teachers landing page of SPA is set to the My Students dashboard. This dashboard has several pages: - My Students - My Students Watch List - NYS Assessments - Local Assessments (NWEA, AIMSweb, SLOs) - My Students Trends - My Incoming Students - *My Performance *Notes: 1. A teacher will only see their students 2. The My Performance (APPR) page / tab is only visible to the teacher 3. Teachers granted a campus level account (I.e. 8 My Students When you click on a link (i.e. My Class Schedule), it will open to the list of students in the Classroom Roster Meeting Schedule. You can RETURN to the previous page by click Return located at the bottom of the report page. Confidential 8 Rochester City School District

9 Selecting any student id by clicking on it will take you directly to the Student Profile. our hidden dashboard. You ll notice that it is not displayed to the top banner page. It is only accessible via a drilldown on a student id or by selecting the Student 360 dashboard at the top of the banner, then selecting a student id. 13 SCROLLING THROUGH RECORDS You can expand a list of data using the buttons provided at the bottom of the report. See snapshot. DOWNLOADING DATA SPA provides options for downloading results. The Download link appears with a request in a dashboard. (See snapshot in the following page) Download to Excel This option makes the request results available in Microsoft Excel format, including tables or charts that appear with the results. Note: If accessing SPA externally, via Citrix on your personal PC you will need Excel. Download Data This option downloads results as a tab-separated list of values. The file will have a.csv extension to facilitate opening it in Excel. After downloading a request in tab-delimited format, you can use a thirdparty application to display the data. 14 SELECTING DOWNLOAD PRINTING Information on the page can be printed using HTML or Adobe PDF option. To print a dashboard or a request, navigate to an existing dashboard or request. Click the Print button located at the bottom of the page, and choose HTML or PDF. o o For HTML, a new window shows the selected item without the extraneous links. Choose File > Print on the browser menu. For PDF, an Adobe PDF window shows the selected item.
