1 Employment Systems Group Department of Employment ESS on the Web Design Consultation Prototype 1 Instructions The prototype gives you an opportunity to look at and provide comment on some early ideas for the look and feel of the new system. At the moment we re looking at the framework (page layout, position of menus, how picklists will work, how you select one or more records from a list and how you can move around the systems as you complete tasks). Later on we ll have webinars and prototypes of specific parts of the system for example the Caseload and the Diary. We re not looking at what information we record and display yet that will happen later. The prototype has limited interaction it s not a fully working system. This instruction guide will give you step-by-step help in working through the prototype. Maybe print it out and keep it with you! One of the early tasks for the design team is to finalise a look and feel template for the new system. There are five basic design options, and you ll get a chance to look at each of them shortly. They are: Hub and spoke Accordion Single page Wizard Summary/Update. We d also ask that you take your time and have a good look at the screen layouts and concepts rather than just quickly clicking through to the end. Once you ve finished, please take a few minutes to provide your feedback! Today we re especially interested to hear your thoughts on the design options and also to learn a bit more about your workflow - what you do when you: Conduct an Initial Interview Conduct a Review Interview Meet a job seeker who has selected a vacancy that you are managing from AJS Contact a job seeker about a job vacancy. 2 Let s get started 1. When you open the prototype you ll be looking at the Home Page. 2. The top section of the page says Welcome to the Web Seminar. Use the forward and back arrows to move through the Welcome pages. Now look at the bottom section of the screen. The prototype is divided into four sections: General Framework Scenario 1 Scenario 2 Workflow Models. Page 2 of 23
3 3. Let s work through them starting with General Framework. Click on <General Framework>. The Employment page opens. Take some time to look around. This is an example of the framework you ll see there is nothing in the body of the page. See how the menus are on the left side, and a job seeker summary is on the right hand side. This is like a mini Case Summary that would display on all job seeker pages so that you never lose site of the job seeker s personal and contact details. Do you think that is a good idea? You can open and close the menus on this page. Maybe take a minute to open and close the menus. Page 3 of 23
4 4. When you are finished click on <Home Page> (above the word Heading ) to take you back to the start. You re now back on the Home page Page 4 of 23
5 Scenario 1 5. Click on Scenario 1. Scenario 1 opens. This page sets the scene for the scenario. Take a few minutes to read about the scenario. Page 5 of 23
6 6. Then click on <Start the Scenario>. The Calendar displays. We re now looking at an example of the Diary Calendar. Don t worry about the information just look at the way the page is laid out. You can see that the page has two panels: Calendar and Appointment Details. When you select an appointment from the Calendar details will display in the Appointment Details panel. Page 6 of 23
7 7. Click on Amanda Brown s 25/9 appointment. Appointment Details display in the right hand panel. One of the design concepts we are looking at is to better link things that are normally done together. For example, when a job seeker has an appointment with you, you will most likely check the Job Plan and the JSCI as well as recording the appointment result. This is called workflow : the things you do and the order in which you do them. 8. Click on the <Action> button. See how we ve set up some hot links to the JSCI and Job Plan? Do you think that s a good idea? Think about other links would you like to see from the Diary. Page 7 of 23
8 9. For today, choose JSCI from the Action options. Here s the JSCI screen example of a Summary/Update design. Here s an example of a Summary/Update design. Notice how all the information is laid out to make it easy to read. You can see all the questions and responses. The little pen icons are update or edit buttons. The idea is that you choose a section of the JSCI to update. Page 8 of 23
9 10. Click on the Edit button for <Living Circumstances>. The Update panel builds on the right hand side. See how the right hand panel now has Living Circumstances in update mode? Today s example is of a JSCI page, but think about how Summary/Update might look for other pages such as Registration or Job Referral. Page 9 of 23
10 11. For today you can just type anything into the fields and click on <Save>. Submitting your changes. There s a message saying Living Circumstances Successfully Updated. 12. Now click <Submit> Confirming the JSCI Page 10 of 23
11 13. To complete the scenario just click <Confirm>. Linking from JSCI to Job Plan. Have a close look at the Success message. To better support workflow the idea is to set up quick links to actions a consultant might normally do after updating a JSCI. One of those things might be to update the Job Plan. What other links could we set up? Think about the sorts of things you might do after completing a JSCI. Page 11 of 23
12 14. For today click on <Job Plan> Updating a Job Plan. Here s an example of what a Job Plan might look like. Once again we re looking at a Summary/Update design concept. The different icons represent Add, Edit and Delete. 15. Now it s your turn. Find and then click on the on the icon to <Add> Assistance. Adding an Assistance. Page 12 of 23
13 See how the fields for adding Assistance now display in the right hand panel? It s another example of the Summary/Update design concept. 16. For today, type in help Amanda find accommodation and click <Save>. 17. Once the page refreshes click <Approve> to finish the scenario and see the Workflow models page. We re now looking at the Workflow Models page. We ve just looked at a scenario that shows a work flow between commonly performed processes the system supported a flow between Diary, JSCI and the Job Plan. In the JSCI and Job Plan pages we saw examples of a Summary/Update design where all information is initially displayed in easy to read summary view before you choose an area to edit. When you chose Living Circumstances the editable fields were displayed in the right hand panel while the summary information remained in view in the left hand panel. What did you think of that? Now we ll get you to look at a couple of other design concepts. When you complete the feedback form later you ll be able to tell us which ones you liked (and why). In the first scenario we looked at Summary/Update. Now let s look at some other design options in turn starting with Hub and Spoke. 18. <Click on the words Hub and Spoke >. Hub and Spoke. Hub and Spoke starts off like Summary/Update all the information is displayed in easy to read Summary mode we call this the hub. But when you click the Edit button, the Summary disappears and only the Edit fields are in view (the spoke). Take a few minutes now to explore the page. You can click on the different Edit icons to see what happens. Notice how the Summary information disappears as you go into Edit mode. 19. For today, you can type anything into the fields (or just leave them blank) and then click <Save> to return to the main page the hub. Page 13 of 23
14 20. When you ve finished, select Accordion from the Menu at the top of the page, and spend some time playing with that. The Accordion design resembles a squeeze box you expand and contract the different parts. 21. Then, in turn, select Single Page and Wizard and spend a few minutes looking at each of those. Think about the pros and cons of each of the design concepts you ll be able to tell us what you think in the Feedback. 22. When you ve finished select Home from the menu to return to the home page. Back on the Home Page. Page 14 of 23
15 Scenario Now select Scenario 2 Scenario 2 opens. Take a few minutes to look around the page and read about the scenario. Remember not to focus too much on the scenario, it s the page designs we re interested in today. Page 15 of 23
16 24. <Click on Start Part 1 of the Scenario>. Searching Here s an example of how the job seeker search might look. The search criteria displays in the left hand panel and results would display in the right hand panel. For today we ll pretend that we have entered data in the search panel and selected a record from the Search Results. 25. Click on <View record>. The Dashboard Page 16 of 23
17 You may have attended the Dashboard webinar on 2 October or had a look at the replay. The idea is that ESS on the Web will have a series of graphical/tabular dashboards. They will be fully customisable. Let s pretend we re looking at the Dashboard for Amanda Brown. See how Amanda s details are visible on the right hand side of the page? This means you ll be able to view and edit Amanda s contact details from anywhere in the system. 26. For today, click on Amanda s address under Contacts- 14 Mort St. Updating Address You re looking at a Summary of Address and Contacts information. Page 17 of 23
18 27. Click on <Update Address>. Updating the Address You won t be able to type anything into this page today but let s pretend you did! 28. Click <Save>. Back to Scenario 2 Page 18 of 23

21 32. Find and select Amanda Brown Viewing a Referral page Here s an idea of a Referral page. The concept is that the lists will display at the top of the pages. You would then be able to select items from the list at the top of the page and see the details in the lower sections. 33. That s the end of the prototype. Click <Save> to Exit. Page 21 of 23
22 Feedback We d like you to have a think about some of the things you ve seen. In particular, please think about: The 5 design concepts you ve seen: Hub and spoke Accordion Single page Wizard; and Summary/Update Think about which one/s you like the best and why? We ll ask you for your thoughts in the feedback form. Think about workflow and tasks that you might do in groups. For example, a job seeker comes in for a review interview. What do you do? You might: check their personal and contact details check the JSCI check the Job Plan do a job match update the diary add a comment. If we can learn a bit more about what you do and the order in which you do it we can try to incorporate these workflows into the new system so move can move easily from one task to another. You saw the concept in the prototype with the flows between the Diary, JSCI and Job Plan. We ll talk a lot with you about workflow as we design the system but today we are interested in your initial thoughts. We ll ask you about that in the feedback form as well. Before you start the Feedback Form you can go back and review any sections of the prototype using the site map. Page 22 of 23
