1 Encryption User Guide Sterne Agee is committed to the security of your information. We have implemented Cisco Encryption to secure communication so that only you can open it.* Questions? See the FAQ section. Introduction This document provides a brief, end-user overview of the Cisco Registered Envelop Service which has been implemented by Sterne Agee. How Do I send a Send a secure from Sterne Agee? If you are a Sterne Agee user, sending from within the Sterne Agee network, just create a new and add [secure] to the subject line and the will be encrypted when it is sent. Consequently, it can be read fairly easily by someone other than you. When financial information or other sensitive information travels by , interception by an unauthorized person may compromise your privacy, may violate the sending organization s internal security policies, and may violate state and federal privacy regulations. Because of these concerns, we are implementing a change in the way we deliver sensitive, private . This change will allow to be encrypted before it is sent over the internet so that only the intended recipient will be able to open the message. What s Will Be Encrypted? The sender of the will make the decision to encrypt the before sending it to you. 2 Enrolling in Our Secure System The secure s we send are called Secure Envelopes. In order for a Secure Envelope to be created and read by you, you need to register with our secure system. The enrollment process will take only a couple of minutes. The first secure envelope you receive, and all future secure envelopes, will arrive as attachments to a regular in your Inbox. To open the secure envelope, one typically downloads and opens the attachment; note that the secure envelope attachment is called securedoc_somenumbers.html. Receiving a Secure for the first time: When you receive your first secure envelope from Sterne Agee, you will be prompted to register with Cisco. Double click the attachment. NOTE: If you use a webmail system such as Yahoo!, Gmail, or Hotmail, then you may be subject to the limitations of that system. Please see the FAQ. Page 2

3 Registration Once the attachment is opened, the following page should appear. (The page might vary slightly depending on the browser used to open it.) Click Register. A new page will open with the registration form. (Be sure that pop-up blockers are disabled in order to open the registration page.) Page 3

4 Fill out the registration form and click Register(DO NOT FORGET your security questions, they are required to reset your password): Once registration is complete an activation will be sent to you. Page 4

6 Opening an Encrypted When you receive a secure from Sterne Agee, you will receive the following message: The will have an attachment, usually named securedoc_somenumbers.html Page 6

7 Open the Attachment When you receive the , double-click the attachment. You will then be asked for your password on a webpage that looks something like this: Note: This password will be used to see all future messages. If the message was sent to multiple addresses, then this page will look similar to this: See the section titled why is my address not shown on the envelope or in the list? for instructions on viewing the message. 8 Viewing the Message Once you open the Secure Envelope, you will see the contents of the original message, including any attachments. What you will see will look something like this: You can now read the message, and by clicking on the attachments (if there are any) you can open or save them. Page 8

9 Replying to or Forwarding a Secure Envelope When you open your secure envelope, you will see the contents of the message and three buttons in the lower right corner of the web page. Reply, Reply All, and Forward. Simply click Reply (or Reply All, or Forward) and you will be brought to a secure website where you can construct your secure reply. The page will look something like the image below. Type in your response and hit send. Generating a Secure There may be an occasion when you want to generate or begin a secure . To do so, simply go to res.cisco.com. Enter your username in the field shown and click login: Next enter your password and click Login again. You will be taken to a screen similar to this: Page 9

10 Simply fill in the address of the person you wish to send your secure to, fill in your message, add an attachment in necessary, and click on the send button. Page 10

11 Why is my address not shown on the envelope or in the list? If a Registered Envelope is password-protected and sent to multiple recipients, it will show a dropdown menu with the addresses of all recipients. If you receive a message with multiple addresses, choose your address from the dropdown menu. If you have previously opened a Registered Envelope on this computer and checked "Remember Me", your address is automatically selected. The following conditions may prevent your address from displaying in the dropdown menu: You were Bcc'd on this message: Refer to the section below for instructions on opening the message. You have multiple addresses: To open the message, choose the address the sender used to contact you. This may be one of your aliases or an address that automatically forwards to the mailbox where you opened your message. The message was forwarded to you: Contact the sender to resend the message using SecureForward. The message was sent to a distribution list: Contact the sender to resend the message to your address. If you were BCC d on this message: Page 11

12 From the drop down menu, select Address not listed and type in your address in the field provided and click submit. Type in your password and click open. You will now be able to view the message. Frequently Asked Questions Sterne Agee is committed to the security of your information. We have implemented Cisco Encryption to secure communication so that only you can open it.* What is Encryption? Encryption allows users to safely transmit an s content across the internet. encryption process seals the inside of a secure envelope. The information inside, attachments as well, is encrypted in a way so that only the recipient has a password that allows them to open the message. What do I need to do to receive a secure ? The first time you receive a secure you will be required to enroll. A link will be provided in the Enrollment Notification message. You will then create a password and challenge questions. How do I complete the one time enrollment? Upon receiving your first secure , you will be sent an Enrollment Notification. Within in the is a link. Clicking on the link will direct you through the enrollment process. Do I need any special software to view the secure ? No. What if I forget my Password? You can use the Forgot Password link to reset your password. The process will require you to answer your secure questions. Page 12

13 I don t see the Your Address field to enter my address. If you open the message in a webmail system, such as Yahoo!, Gmail, or HotMail, then you may be subject to the limitations of that system. In this case, complete one of the following actions: Download and open the HTML file attached to this message, then: Select "Address not listed" in the recipient dropdown menu. In the new "Your address" field enter the address where you received this message. Click the "Submit" button. Follow the instructions for "Mobile device users" in the body. You will be ed a link where you can enter your password to open the secure message. You should choose this option only if you have previously registered and created a password with the sender's secure system. Note: If you have not registered with the sender's secure system and do not have a password, contact the sender to send you a password-protected secure message addressed only to you. This will guide you through the registration process. After you have registered, you can open the original message using your password. I have one account but it multiple ways for people to send me using nicknames and aliases. What impact will it have? The secure delivery system enrollment is only for the specific address with which you enrolled. Aliases and nicknames are viewed as a different address and will require separate enrollment. I have an Apple computer and I cannot open the secure message. If you are using an Apple computer, you may get securing warnings when trying to view the attached file of a secure . Rather than viewing the file, first download the file and then open it. The process should be the same after this for viewing the . How long is my secure kept? It is treated as any other with regards to retention. Can I reply securely to an from the Sterne Agee? Yes, by simply selecting the reply button inside the on your browser, the reply back will be encrypted. Can I send attachments if I reply to a secure ? Yes, the body of the and all attachments are encrypted. What kind of encryption is used in Secure ? Sterne Agee encryption uses AES. Can I send a secure ? Yes. See the section of this document titled Generating a Secure . Please remember never to include confidential information, such as account numbers or social security numbers, in the subject line. The subject line is not encrypted in any case. Can I change my password? Yes, select the Forgot Password link and answer your secure questions to change your password. Page 13

14 Will I be able to save an encrypted attachment on my computer unencrypted? Yes, after entering your password open the attachment and save it to your computer s hard drive. The will always remain encrypted and require you to enter your password every time you open it. Are there any precautions to be taken when sending a Secure ? Yes! Do Not include confidential information, such as account numbers or social security numbers, in the subject line. The subject line is not encrypted. Can I send a secure to a distribution list? No, the encryption system must be able to recognize individual addresses. Secure should be sent using only non-distribution list addresses. * You are solely responsible for the maintenance, installations, and operation of your computer.
