3 OUAC s DR Activity 2004 Installed a www server at the head office in Toronto to manage communication in the event of a disaster (this server has since been decommissioned) Contracted a data storage firm to house the OUAC s off-site materials Issued Blackberry devices to two System Infrastructure t staff to monitor system health during off-hours 2005 Formed a Business Continuity Working Group Focused on tasks necessary to maintain critical business processes after an unforeseen disaster (create contact lists, assess vulnerable assets and work in progress) 2006 Implemented physical security protocols and developed evacuation procedures Began negotiations for a disaster recovery computer room on the Wilfrid Laurier University (WLU) campus (30 km from OUAC site)
4 OUAC s DR Activity 2007 Created a plan that outlined how the OUAC could support Ontario universities in their Business Continuity Planning Created a detailed plan and timeline for implementing the disaster recovery computer room on the WLU campus 2008 Constructed the disaster recovery computer room on the WLU campus Moved the first server to the disaster recovery computer room and began replicating and calendar data Started plans for a Virtual Private Network (VPN) to increase pandemic preparedness Prepared a summary of costs and benefits of cold, warm and hot disaster recovery sites Create and populated an internal OUAC wiki with all polices, procedures, work flows and information needed to maintain business.
5 OUAC s DR Activity 2009 Provided remote access to more resources (IBM i servers, Wiki) to further increase pandemic preparedness Issued Blackberry devices to management 2010 Formally launched a project to deliver a plan and budget for implementing a more highly available computer infrastructure to support critical business processes Created Recovery Time Objective/Recovery Point Objective requirements
6 OUAC s DR Activity 2011 Installed additional equipment at the disaster recovery site; POWER5 server, VMware servers, NetApp storage Replicated data on NetApp storage Rejected a proposal to upgrade to a highly available infrastructure due to high h cost 2012 Tested the recovery of the main database server and e-commerce server on IBM POWER5 server Automated processes established to copy backups off-site during weekends and holidays Issued Blackberry devices to additional System Infrastructure staff and formalized off-hours system monitoring 2013 Continue moving various services to server in VMware cluster for improved resiliency
7 OUAC DR Next Steps In the first quarter of 2014, plans are to close the current, self-managed disaster recovery site, and move to a professionally-managed disaster recovery site. The current disaster recovery site presents a number of risks: o The insurance company expressed a concern about water leaks in the current basement location. o The site ss air conditioning capabilities no longer meet the demands of the equipment located there. o Physical security needs to be improved.
8 OUAC DR Next Steps Working with a professional disaster recovery service would offer several benefits: o The OUAC would avoid owning an IBM POWER server for disaster recovery purposes, since the disaster recovery company would provide and service IBM POWER servers. o The disaster recovery company s professional staff would beavailable to support OUACstaff during a disaster or a disaster recovery test. o There would be a reduction in the RTO for some business processes.
9 Definitions High Availability High availability is a system design approach and associated service implementation that ensures a prearranged level of operational performance will be met during a contractual measurement period. Disaster Recovery Task of keeping IT infrastructure t available or recovering the IT infrastructure following an unplanned event or disaster. Cold site - A cold site is an off-site recovery facility that contains basic data centre facilities (backup power supply, cabling, air conditioning, etc.), but without any actual systems to recover. Warm site - A warm site is an off-site recovery facility that contains data centre facilities (backup power supply, cabling, air conditioning, etc.) and permanently available IT infrastructure (servers, disk, networking, etc.).
10 Definitions Hot site -A hot site is an on-site or off-site recovery facility that contains dedicated hardware that can be ready to take over production system processing immediately, within minutes or within a few hours. Business Resumption / Business Continuity The processes and procedures an organization puts in place to ensure that t essential functions can continue during and after a disaster. Business continuity planning seeks to prevent interruption of mission-critical services, and to re-establish full functioning as swiftly and smoothly as possible. RTO (Recovery Time Objective) - The period of time within which business and/or technology capabilities must be restored following an unplanned event or disaster. RPO (Recovery Point Objective) - The maximum acceptable level of data loss following an unplanned event or disaster.
