1 MSU Denver Global Lists: Definitions and Guidelines These guidelines are provided as an addendum to the MSU Denver Policy on Global and offer more detailed information on the lists available, as well as who is authorized to send using these lists. 1. Definitions Global No-reply all-employees and/or all-students s. (Responses are not allowed.) Or Lyris employee list s sent to more than one employee group list, but not to all four lists. (Replies to the sender are allowed.) ConnectU Targeted Announcement University and departmental announcements and information sent via the announcements section of ConnectU. This is limited to student lists. Only Student Engagement and Wellness and Enrollment Management are allowed to send ConnectU s to all students. Academic department chairs are authorized to send targeted announcement to the student majors lists in ConnectU for their individual departments. ConnectU should not be used to send s to employee groups. Official University Business: Significant, high-level University business such as surveys, obituaries for University personnel and health/safety-related issues. The information must be timely and relevant to the members of the lists receiving the . Authorized Office: Offices that are approved to send global s. Authorized Sender: Faculty and staff selected by their authorized office and approved by the Director of Internal Communications in the Marketing and Communications office to send global s. Generic University Address: No-reply address assigned to authorized senders, such as Human Resources Communications and Classified Council Communications. 2. Authorized offices/senders Authorized offices are limited to three individuals with permission to send global s, who must be approved by the Director of Internal Communications in the Marketing and Communications office. These offices are responsible for keeping the Director of Internal Communications informed of their current authorized senders. Requests for exceptions to the allowed number of authorized senders must be approved by the Director of Internal Communications. Authorized senders are allowed to send under their own address or they may use the generic alias assigned to their office. 1 P age
2 3. Global lists All-Students [Google list] All-Employees [combination of all group lists] The all-students and all-employees lists are the most highly restricted lists. These lists are moderated by the Director of Internal Communications in the Marketing and Communications office. Submit a request to Global- requests@msudenver.edu. Requests are reviewed once daily and, if approved, sent within one business day. Authorized offices to send global President Marketing and Communications Exception: Timely Warning s are sent to the entire campus, including students, by the Auraria Higher Education Center. Targeted announcement through ConnectU is limited to official communications to students. The Offices of Enrollment Services and Student Engagement and Wellness are authorized to send targeted announcement through ConnectU to all students. Academic department chairs are authorized to send targeted announcement to the student majors lists in ConnectU for their individual departments. To send to all students, a request must be made to an authorized office for global s (see 7. Process for requesting global below). 4. Employee lists All-Faculty [tenure, tenure-track and category II] All-Affiliate Faculty All-Administrators All-Classified sent to two or more of the four employee group lists is considered global . Authorized offices may send to any combination of the employee lists. Requests to send global must be sent to one of the authorized offices listed below. It will be reviewed for appropriate content and policy compliance before being approved and posted. The offices authorized to send global will develop their own process for handling requests. Requests sent to Marketing and Communications will be reviewed once a day to determine if the content is appropriate for global or if another communication vehicle, such as Denver is more appropriate. If approved, the will be sent within one business day of receipt. If the does not meet policy criteria, Marketing and Communications will notify the requestor. 6 5. Event announcements Global s promoting an event are not allowed. Events must be submitted to Denver and/or the University s calendar. The Director of Internal Communications has the discretion to send an event announcement if warranted. 6. Process for requesting global s Requests to send global s must be made to an authorized office/sender (above) who will review the for appropriate content and policy compliance before being approved and posted. Requests sent to Marketing and Communications will be reviewed once a day to determine if the content is appropriate for global or if a more-appropriate communication vehicle, such as Denver, is appropriate. If approved, the will be sent within one business day of receipt. If the does not meet policy criteria, Marketing and Communications will notify the requestor. Those wishing to use this method should submit a request to Global- requests@msudenver.edu The approval process for global requests made to other authorized senders is determined by the authorized sender s reporting area. Only one global is allowed per request. For instance reminder s are not allowed and authorized senders will not resend a global that another authorized office has already sent. 7. Authority and permissions System permissions outlined in this policy will be managed by Information Technology at the direction of Marketing and Communications. All requests for access to any list must be sent to the Director of Internal Communications in the Marketing and Communications office for approval. 8. Individual lists This policy does not apply to individual lists created and administered by departments or individuals that are limited to a specific set of contacts. These lists are the responsibility of the office or individual that requested and created the list. They must allow the option for members to unsubscribe and must be maintained by the requestor and owner of the list. Requests for individual lists can be submitted through the Information Technology Help Desk. 9. Questions and exceptions Any questions or requests for exceptions to this policy are to be directed to the Director of Internal Communications in Marketing and Communications. 6 P age
