1 Diamond Dental Software Our 27 th Year! What s New in Version 4.3 All Windows Compatibility Diamond Dental version 4.3 will operate under ALL Microsoft Windows versions including the new Windows 8 operating system. It also operates with XP, Vista, and Windows 7. No other Diamond Dental version will work with all versions of Windows. Also with V.4.3 you are no longer required to shut off the important Widows User Account Control (UAC) which can act as protection against malicious software and spyware from installing or making unauthorized changes to your computer. Windows 8 Tablet Ready Diamond Dental version 4.3 is fully functional on the newly introduced Windows 8 Tablets. We like some better than others, so check with us before buying one. When the tablet is connected to its associated keyboard it operates just like a laptop. But when you lift the tablet off its keyboard you are free to roam the office with a powerful Windows 8 computer in your hand. Float from room to room. In one room, set an appointment for the patient. Go to the next room and post the patient s procedures and print an insurance form. Go to another room and set that patient s recall and enter her treatment notes. If you need a keyboard, pop up the tablet s virtual keyboard for text entry. Then return to your desk and put the tablet back with its keyboard and use it like any other computer in the office. These tablets add a new level of functionality and convenience to Diamond Dental Software. We feel every office should have at least one. New 2012 ADA Dental Claim Form For the first time in six years, a new standard for the dental claim form has been introduced by the American Dental Association. The 2012 claim form has some significant changes from the previous 2006 claim form. Diamond Dental version 4.3 has this new form in both plain paper and pre-printed formats. Many insurance carriers are beginning to require that the new form be used before disbursing payment. Over time more and more carriers will require it, as has been the case with previous dental claim form updates. It is Diamond Dental s policy to never remove older claim forms from the program. Therefore, you will still have the ability to print all previous legacy versions of the dental claim form, going back as far as the 1994 version.
2 New CDT 2013 Dental Procedure Codes The American Dental Association has updated the dental procedure codes that you use with the new CDT (Current Dental Terminology) for This updatecontains the largest change to dental procedure codes in many years with 35 completely new codes, 38 revised codes, 11 deleted codes, and 7 new or revised categories or subcategories of service. Diamond Dental version 4.3 contains an easy to run update wizard that will update your procedure file to the new CDT 2013 standard. This update is retroactive, so if you have missed some CDT updates from the past, those updates will also be included when you run the update wizard. It is important to keep your procedure file up to date so you can take advantage of the new procedures codes that have been introduced. It is equally important to prevent claim rejection by not continuing to submit claims containing procedure codes that have been deleted from the current CDT 2013 standard. Full CDT Descriptions and Explanations Version 4.3 integrates the full procedure code descriptions along with their associated explanations directly from the CDT 2013 code book from the American Dental Association. This is the dental code Bible that insurance carriers use, and it is to your advantage to see the procedure code descriptions that the insurance carriers see. Procedure Code explanations can be very helpful and can be anywhere in length from a short sentence to several paragraphs. Diamond Dental will display each explanation in its entirety. In all previous versions of Diamond Dental, the procedure code descriptions you see pop up when you post procedures or print insurance forms is not the actual CDT procedure code description. Instead it is a 30 character abbreviation of the description that we developed. It is 30 characters because that is about all the space that we were allowed for printing descriptions on dental claim forms throughout the years. 30 characters for a description is sufficient for many procedures, but it is definitely vague and misleading for many other procedures. Here are some examples: Code Current 30 Character Description Full CDT Procedure Description (in bold) and Explanation D1352 Preventive resin restoration Preventive resin restoration in a moderate to high caries risk patient permanent tooth Conservative restoration of an active cavitated lesion in a pit or fissure that does not extend into dentin; includes placement of a sealant in any radiating noncarious fissures or pits. D3331 Root canal obstruction Treatment of root canal obstruction; non-surgical access In lieu of surgery, the formation of a pathway to achieve an apical seal without surgical intervention because of a non-negotiable root canal blocked by foreign bodies, including but not limited to separated instruments, broken posts or calcification of 50% or more of the length of the tooth root. D3332 Incomplete endodontic therapy Incomplete endodontic therapy; inoperable, unrestorable or fractured tooth Considerable time is necessary to determine diagnosis and/or provide initial treatment before the fracture makes the tooth unretainable. D3351 Apexification - initial visit Apexification/recalcification/pulpal regeneration - initial visit (apical closure/calcific repair of perforations, root resorption, pulp space disinfection, etc.) Includes opening tooth, preparation of canal spaces, first placement of medication and necessary radiographs. (This procedure may include first phase of complete root canal therapy.)
3 D3920 Hemisection Hemisection (including any root removal), not including root canal therapy Includes separation of a multi-rooted tooth into separate sections containing the root and the overlying portion of the crown. It may also include the removal of one or more of those sections. D6059 Abutm supp porc/met crown-high Abutment supported porcelain fused to metal crown (high noble metal) A single metal-ceramic crown restoration that is retained, supported and stabilized by an abutment on an implant; may be screw retained or cemented. D7210 Surgical extraction erupted Surgical removal of erupted tooth requiring removal of bone and/or sectioning of tooth, and including elevation of mucoperiosteal flap if indicated Includes related cutting of gingiva and bone, removal of tooth structure, minor smoothing of socket bone and closure. D9911 Appl desens resin cerv/rt surf Application of desensitizing resin for cervical and/or root surface, per tooth Typically reported on a per tooth basis for application of adhesive resins. This code is not to be used for bases, liners, or adhesives used under restorations. D9930 Treatment of complications Treatment of complications (post-surgical) - unusual circumstances, by report For example, treatment of a dry socket following extraction or removal of bony sequestrum. The abbreviated 30 character procedure description is still used throughout the program on ledgers, billing statements, insurance forms, etc. However, a new Charge Entry screen is introduced in Version 4.3 that allows you to see the full CDT descriptions and explanations as you post procedures. This new screen is described in the next section. All New Charge Entry Screen The new Charge Entry screen for Version 4.3 has been designed for easier use with keyboard or mouse. As procedures are selected their full CDT description is displayed along with the CDT explanation. Tooth number and surface may be typed in or use the always in view tooth charge and surface chart for quick selection with a mouse.
4 Five Column Appointment Scheduler Diamond Dental version 4.3 introduces our five column appointment scheduler option. The five column scheduler will display five providers from left to right, or display one provider for five days. As in the three column version, each column can display up to three appointments per time increment. Both versions have the same functionality. The three column scheduler has a button labeled Switch to 5 Column and the five column scheduler has a button labeled Switch to 3 Column. You may switch back and forth between the versions or leave it at your preference. Other User Requested Improvements Additional Password Protection Optional password protection has been added to prevent a user from posting outside of today s date. The viewing and editing of Social Security numbers can now also be password protected. Access to the Direct Balance editing module where account balances can be modified has been moved to the Special Utilities screen where which can be password protected. Office Name and Address on Treatment Plan The Treatment Plan printout which is usually given to the patient now includes your office name, address, and phone number using a similar format to the Billing Statement printout. Pending on Billing Statements Made Optional Unpaid claims that appear on Billing Statements that are sent to patients display the word Pending. You now have the option to hide the word Pending if you desire. View Claims Screen Displays Remarks from the Insurance Claim Form The View Claims screen is used to display pertinent information that was contained on insurance claim forms. Missing from that screen was the Remarks you may have added to the claim form. These remarks now display on this screen. Proposed Button on Posting Screen Now Turns Red Many users have mentioned that they have a hard time noticing that a patient has procedures posted as Proposed when they enter their Posing screen. The Proposed button did not look any different than any other button. In Version 4.3 the Proposed button now turns red and is very noticeable.
5 Diamond Mobile Put your office in your pocket and keep in touch from wherever you are. Now you can have instant access to all of your critical dental practice information right from your smartphone (or tablet), at any time, no matter where you are. It works with iphone, ipad, and Android phones and tablets.view patient details, set, delete, or move appointments, check prescription history, see medical alerts, your patients, view Day Sheets, make entries into the office ToDo list, view your office Phone Book, and much more. Diamond Mobile Highlights Real-Time Appointment Scheduling The Appointment Scheduler is fully functional and looks and operates very much like the full version scheduler of the Diamond Dental program. You can make appointments, delete appointments, and move appointments just like the full version. These actions take place in real-time and your changes are instantly seen by anyone using Diamond Dental in the office. View Complete Patient Details Diamond Mobile allows you to view all the details of a patient s account spread over several screens (a sample Insurance Subscriber screen is seen on the right). These screens include vital statistics such as name, address, phone numbers, as well as recall, insurance and benefit information, prescriptions, account ledger with balance and aging amounts, past and future appointments, medical history, and the patient s image. Drug Prescriptions One of Diamond Mobile s most important features is the ability to view a patient s past drug prescriptions. All the drugs that have been prescribed for this patient can be viewed. In addition, if you click the New Rx button, you can enter a new drug prescription into the patient s record, right from your phone. Send s to Your Patients Since has become the preferred contact method for many patients, Diamond Mobile allows you to send s directly to your patients using the screen seen here. View any Day Sheet You can check your day sheet from your phone. This is a detailed item by item listing of the charges and payments posted for a particular day. The date button at the bottom of the screen will open a date picker for you to select different days for viewing. Totals for charges, payments, and adjustments are also displayed.
6 See What Your Patient Looks Like If an image of your patient exists in your office database, you can view it on your phone. View Your Patient s Complete Account Ledger You may view the complete account ledger for this patient s account. Line items are sorted from most recent to oldest. If there are procedures that are posted as Proposed, the Proposed button will be enabled. Click it to display the Proposed procedures for this account. The account Balance, Amount Due Now, Current, Over 30, Over 60, Over 90 Days late amounts are shown, as well as the date and amount of the last patient payment. Medical History Notes, General Notes, and Patient Notes You can display a complete listing of your patient s Medical History Notes, General Notes, and any comments you have entered for the patient. Diamond Mobile: How It Works Diamond Mobile is not installed on your smartphone. Your Diamond Dental database containing all the sensitive information about your patients is also not stored on your smartphone. You are merely using your smartphone as a window to observe and operate your desktop computer. This is accomplished using a password protected remote control software app such as Teamviewer, Wyse PocketCloud, or LogMeIn Ignition. These apps are available either for free or a modest cost. They can be set up to run Diamond Mobile with unattended access. That is, no one needs to be in the office for you to run Diamond Mobile.Diamond Mobile is actually a module within the Diamond Dental desktop program on your office computer, but it has screens that are optimized for use with phones and tablets. This is accomplished by making the buttons, text fields, and fonts very large so when viewed on a small screen such as a smartphone, the screen can easily be read and operated. No zooming in or out will be required as you can see from the screen shots seen above. Diamond Mobile Speed and Power Since Diamond Mobile is actually running on your powerful desktop computer, the program runs with the speed of your desktop computer. The tiny processor inside your smartphone is actually not doing any of the processing. This has allowed us to write a much more sophisticated and useful program than if we were limited to the capabilities of the onboard smartphone processor itself. You do not have to wait for large amounts of data to be transferred back and forth between your smartphone and your office computer. All the data stays on your office computer. The only thing being transferred to your smartphone is the screen displays from your office computer which transfer much faster than the data itself. Data Security: Your Data Is NOT Stored on your Smartphone It is your legal responsibility to keep your patients dental and medical records secure. Diamond Mobile does not store any patient data on your smartphone. If your phone is lost or stolen, there is no data on the smartphone to be compromised. The remote control link from your smartphone to your office computer is also secure and password protected. Data Is Updated Instantly Diamond Mobile stores no data on your smartphone. All the data that you see on the smartphone is actually on your office computer. For example, when you bring up the smartphone s appointment scheduler, you are viewing your office schedule in real time. You are not seeing the schedule as it appeared two hours ago or two minutes ago, but it is your schedule as it is now. If you set an appointment through your smartphone, you can be confident that the appointment time for which you are setting the appointment is actually available, just as if you were setting the appointment on your office computer. If a member of your office staff is on Diamond Dental on another terminal, that person will see your changes instantly, just as if you were using another terminal in the office.
