2 Learn to Administer the ACT Aspire Online Test If you are a Test Supervisor, you will be able to do everything listed here. In the software, Test Supervisors are called Contributors. If you are a Room Supervisor, you can only perform some of the tasks below, such as generate test authorizations. In the software, Room Supervisors are called Proctors. 3 If a test session is active, but you need to assign a proctor to it, follow the steps on this page. Some features are only available to some user accounts. If you do not see a specific feature, your account is not configured to access it. Use your web browser to open Select at the upper right to go to the sign in page. To sign in, enter your and password and select. The first time you sign in, using the link in the invitation, you will be asked to create a password, accept the terms & conditions and privacy policy, and enter the "captcha code." From the list provided, select by title the test you want to work with. Choose Your Method If you know the person you want to add as a proctor already has an account, continue with Select Add/Remove Users. If the person does not have an account, or if you are uncertain, skip to Select Invite Members. Select Add/Remove Users Select an Organization from the List From the list of Organizations, select the one you are working with. Page 3 of 16
4 Select Proctor After you select an organization from the list, a list of potential proctors will appear next to the list. Select x Not Assigned next to a name to expose the list of available roles and select a role to assign to the person. Select at least one proctor to proceed. When all proctors for this test have been selected, click Next. Submit Test Details Enter or edit the required information about your test. This includes the test title, start and end times and dates, and any additional instructions. Click Submit. Start and end dates are the calendar dates when the test opens and when the test closes. Start and end times are the times during each day between those dates when the tests are to be available to students. To select the date, use the pop-up calendar, then click the clock icon at the bottom of the pop-up to select the time. Title, Start Date and End Date must be entered to finish creating the test session. Your activated test will appear in the Dashboard under Test Summary. Click Your Activated Tests if you want to confirm. You are done adding your proctor. Select Invite Members Page 4 of 16
5 Enter Addresses and Invite Enter the addresses, separated by commas, into the box for each person you are inviting. Select Send Invitations. You are done adding your proctor. Generate Test Authorizations using ACT Aspire-Portal To generate a list of test authorization codes so that students may sign in and take a test, follow the steps on this page. Before you generate test authorizations, the test session must be started, as described in Start a Test Session using ACT Aspire-Portal. Use your web browser to open Select at the upper right to go to the sign in page. To sign in, enter your and password and select. The first time you sign in, using the link in the invitation, you will be asked to create a password, accept the terms & conditions and privacy policy, and enter the "captcha code." View Your Activated or Your Assigned Tests In the Dashboard under Test Summary, select Your Activated Tests or Tests Assigned to You. From the list provided, select by title the test you want to work with. Select Student Authorizations Page 5 of 16
6 Select Student Authorizations. Select Students Mark the box next to each student for whom you want to print the authorization codes. To select all students, mark the box at the top. Once any students are selected, a Download button will appear at the upper right of the list. Select Download to download a PDF containing the authorizations. Print The PDF you download will include all of the students names, with each one's assigned username and password. Print this from your browser to obtain a paper copy. Repost (optional) If you need to create a new authorization code for one or more students for any reason, you can do so from this same page. Mark the box next to each student for whom you need to create a new authorization code. Select Repost. Page 6 of 16
7 Have Students Take the Test For student instructions, see Learn to Take the ACT Aspire Online Test. Monitor a Running Test Session using ACT Aspire-Portal If you need to monitor a running test, follow the steps on this page. Use your web browser to open Select at the upper right to go to the sign in page. To sign in, enter your and password and select. View Your Activated or Your Assigned Tests In the Dashboard under Test Summary, select Your Activated Tests or Tests Assigned to You. 8 Test Dashboard From here you can view a list of students and class and individual student progress. This chart lists and explains the different test statuses and how they affect student status. When the Test Session is changed to the listed status, the Student Session status will correspond as listed and the available Student Actions are listed. Test Session Not Started Student Session Ready Student Actions and Impacts Student can log into TestNav In Progress Ready remains Ready until student logs into TestNav Ready changes to Active after student logs into TestNav Active changes to Exited when a connection problem causes a student to exit TestNav Exited changes to Active if a student's session is resumed by the proctor, as described in Resume or Close a Test Session for a Specific Student using ACT Aspire-Portal Ready - Student can log into TestNav and begin testing Active - Student has logged into the test on TestNav Suspended Ready remains Ready Active changes to Completed Submitted remains Submitted Completed - Test is stopped for students taking the test, they can t log back into the test Ready - There is nothing that prevents a student who has not started the test from logging in and taking it Resume Test Ready remains Ready Ready changes to Active after student logs into TestNav Submitted remains Submitted Ready - Student can log into TestNav Active - Student has logged into the test on TestNav Completed - Student has already finished test, can t log back into the test Force Completed - Test is stopped for students taking test, students can t log back into the test Page 8 of 16
9 Closed Submitted remains Submitted You can only close a session when all students are in Completed or Force Completed status Auto Closed Active changes to Force Completed Completed remains Completed Force Completed remains Force Completed Auto Closed will not be used for Spring 2013 Other Options in the Test Dashboard Some features are only available to some user accounts. If you do not see a specific feature, your account is not configured to access it. This test page includes these editing features: Add / Remove Users Invite Members Add / Remove Students Student Authorizations Edit Test Information Delete Test See Edit a Test Session using ACT Aspire-Portal for more information about these options. The page also includes these test monitoring features: information about test status test statistics The following options will only appear once a test has been started and while it is running: Close Test Session Status Suspend Test When Suspend Test is selected, Resume Test will be made available in its place. Resume or Close a Test Session for a Specific Student using ACT Aspire-Portal If a connection problem causes a student to exit TestNav early and the student needs to continue a test or if you need to close a student's test, follow the steps on this page. 11 Record Irregularities and Accommodations using ACT Aspire-Portal To record irregularities and accommodations for a specific student, follow the steps on this page. Before you record irregularities and accommodations, the test session must be started, as described in Start a Test Session using ACT Aspire-Portal. Use your web browser to open Select at the upper right to go to the sign in page. To sign in, enter your and password and select. From the list provided, select by title the test you want to work with. Find the Student In the list of students, find the one for whom you wish to record irregularities and accommodations. 12 Select the comment icon. Select Add Select Add. Enter your comment in the pop up that appears. Click OK. Sign Out of ACT Aspire-Admin or ACT Aspire Portal Open the Username Dropdown Select your username at the upper right to expose the menu. Select Sign Out Select Sign Out. Hardware and Software Requirements Note: Please do not make any technology changes during an online testing administration, including applying software patches. Filtering / Firewall / Proxy Servers The following must be open in any firewalls, proxy servers, or other software that is used for internet content filtering: *.actaspire.org s3.amazonaws.com ACT Aspire-Admin and ACT Aspire-Portal To use ACT Aspire-Admin or ACT Aspire-Portal, the machine from which you access the site must meet the following requirements: PC/Windows MAC Processor 1.6 GHz x86-compatible Intel Core Duo 1.83 GHz Only Intel-based Macs are supported RAM 512 MB RAM 1 GB RAM Operating System Windows XP (SP 3) Windows Vista Windows 7 Windows 8 Web Browser IE 8, 9 & 10 Firefox (current stable version) Chrome (current stable version) Mac OS X 10.5 or higher Safari 4.0, 5.0 & 6.0 Page 12 of 16
13 Minimum Screen Resolution 1024 x x 768 Network Speed At least 100 Mbps at school and at least 10 Kbps per student testing At least 100 Mbps at school and at least 10 Kbps per student testing TestNav 8 To use TestNav 8, the machine from which you access the site must meet the following requirements: The machine must have Java 5 or higher installed and run one of the operating system and browser combinations marked with an x below. See Setting Up Java for TestNav 8 for more info. To install Java and get it set up to work smoothly in your browser for testing, follow these steps: Install Java Go to the Java website at and follow the instructions there to download and install Java on your computer. Enable Java in Your Web Browser Follow the instructions on the Java website at to enable Java in your web browser. Java Security Warnings You may receive a security warning like this one, when you run TestNav. If you do, select Don't Block. The content is safe. Page 13 of 16
14 You will receive a warning like this one. When you do, select Run, otherwise TestNav will not open. Eliminate the Java Prompt when Testing By default, Java will ask permission to run TestNav 8 every time it is started. To stop this behavior and instead launch tests immediately, change a setting in the Java Control Panel. 1. Find the Java Control Panel and open it. In Windows, look for Java in the Control Panel. In Mac OSX, look for Java in System Preferences. 2. Select the Advanced tab. 3. Change the setting shown to Enable - hide warning and run with protections. Page 14 of 16
15 TestNav Error Codes For client errors, the following error number ranges are used for these purposes: Used for Warning messages. These are purely for information Used for Fatal error messages. Unless an error message gives instructions on restarting a test, the error messages are considered fatal and require additional assistance in order to diagnose. Test administrators should make note of the message issued and the helpdesk will coordinate work with the development team to fix. Message Description 2000 You have reached the end of the time allocated for this test. Please submit your test You have less than 5 minutes left. Message Description Additional Info/Troubleshooting 3000 Not Used Required module has failed to load. This happens because a needed Java script module hasn't loaded. Check for network connection issues Item Controller has failed to load. This happens because a needed Java script module hasn't loaded. Check for network connection issues Not Used Unable to access Load library This happens because a needed Java script module hasn't loaded. Check for network connection issues TestNav has detected that another application attempted to become the active window, which may compromise the security of this test. TestNav has been shut down. You may need assistance from your test monitor to restart the test. This happens when the students session has been invalidated. This can happen when the same login has been used on two computers or two simultaneous sessions. There are also cases where this may happen because the login session has expired or the students test has already been submitted. Page 15 of 16
16 3006 TestNav has detected that Guided Access has been turned off. TestNav has been shut down. You may need assistance from your test monitor to restart the test. This happens when an ipad running the TN8 app has had the IOS Guided Access Feature turned off Cannot retrieve item response from server. This is most likely to happen due to network interruptions or in the case of an invalidated session. Please troubleshoot network connectivity and have student re-login Cannot retrieve item from server. This is most likely to happen due to network interruptions or in the case of an invalidated session. Please troubleshoot network connectivity and have student re-login Unable to read item. Send log to Level 2 support Unable to save response. This is most likely to happen due to network interruptions or in the case of an invalidated session. Please troubleshoot network connectivity and have student attempt to log in again Unable to load item script. This happens because a needed Java script module hasn't loaded. Check for network connection issues Unable to authenticate. This may be network connectivity, or invalid login information Unable to save response to server. This happens because of network interruptions. Please trouble shoot network connectivity and send Level 2 logs The username or password you entered is incorrect Unable to load artwork for tools. This happens because of network interruptions. Please trouble shoot network connectivity and send Level 2 logs Your login information has been used to access this test from another computer, so you can not continue testing on this one Unable to authenticate Your last item was not saved. Please inform your test proctor that the test must close due to a connectivity error Your test items have been saved, but the test can't be marked as complete due to a connectivity error. Please inform your test proctor that the test must close Not used at this time Unable to start Secure Browser. This can be resolved by exiting the browser and starting again. Please contact your proctor/teacher for help This computer needs to have Internet Explorer 8 or higher installed in order to take this test Your test must close immediately. Please see the test proctor for more information Unknown error trapped and logged. Please inform your test proctor Java has not been installed on this machine and is required.
