CO-CREATING WITH A LUXURY HOTEL CHAIN: INNOVATING HUMAN RESOURCES WORKFLOW A chain of 13 luxury hotel properties in the United Kingdom approached Ramco to develop a system that would improve their Human Capital Management. The chain s beautifully designed hotels are home to travel, leisure and business guests, and employ over 1,900 people. The company needed to improve efficiency in processes related to employee deployment, development, compensation and payroll automation. Equity in compensation, automated employee deployment (workforce management against business needs), and formalized employee development (competency development through processes such competency monitoring, training recommendations, training, and performance appraisal) were the key areas of focus. The goal was to facilitate fairness, equality and continuous development for employees, which could only be achieved through consistent Human Resources processes and practices, enabled by efficient workflow. Specifically, they wanted all HR processes to have a pre-configured workflow so that information could reach the right roles at the right time. Additionally, the company sought: The ability to better predict workforce requirements across different properties A single payroll and HR system for the entire group To empower employees to manage day-to-day HR processes(vacation,timesheets,etc.) To ensure compliance with taxation in different regions To improve training and employee development practices From a technology standpoint, the hotel chain needed to integrate with Centrefile for seamless tax calculation. From a training standpoint, handling 1,900 employee schedules and getting everyone up to speed on the system would be a formidable challenge. The answer to these needs and challenges was to co-create a system with Ramco. THE RIGHT SOLUTION MEANT THE RIGHT MIX OF PRE-EXISTING AND CUSTOM COMPONENTS From the beginning, Ramco worked closely with the client to clearly determine the success factors for implementing the right solution. Factors such as top management commitment, an extensive scoping process to understand the nuances of the business, detailed prototyping and well-documented solution requirements would all be essential. A well-managed change request process, and benchmark testing of performance under various volume and concurrent usage situations were also part of the path to success. With these factors identified and extensive due-diligence completed, Ramco was able to deliver a glove-fit solution. Pre-existing components included a financials application, and since they were already leveraging Ramco s client server for their payroll needs, the migration of that to a web-based application during implementation. Ramco then engineered several custom components for business processes such as workforce management (for conferences and banquets planning), time sheets, pay grid (a solution that drives the employee compensation process), and an employee development appraisal process.

It serves as a reference document in the employee compensation standardization process. Pay Grid ensures tight control over manpower and salary as employee assignment, movement (promotion, rehire, transfer and separation), recruitment and compensation are linked to Pay Grid. Conferencing and Banqueting function helps in managing various events organized for the clients in the hospitality industry. Such events/services (like conferences, lunch/dinner buffets and weddings) involve cross-departmental resources. Staffing matrix helps in deploying optimum number of resources.
