1 Illinois State Board of Education (ISBE) Planning for 2016 Student Information System (SIS) (Webinar Date: 09/10/2015) # Question Answer 1 Do W-APT and MODEL screener s scores have to be completed for the 09/30/2015 deadline? By the October 16 deadline all screeners should be complete so the correct students are identified as LEP. 2 Anyone else keeps losing audio?? The webinar is being recorded on will be on the sis webpage next week 3 Where can we get a copy of the slides? Were there copies to print? The PPT is at 4 Is there going to be an easier way to remove classes from students? Since we are uploading before they get a final grade we have a lot of students that will move in and out of classes. It is a lot of work to keep this up. Contact the help desk , we offer a batch file for the Student Course Assignments. 5 Please explain the site file again? ISBE is compiling ACCESS testing site information for the new vendor, DRC. The site information consists shipping information and contact information regarding those who will serve as Test Coordinators and Technology Coordinators for the upcoming ACCESS administration. ISBE will give the Site File to DRC, who will use it to establish district accounts in their test management tool called WIDA-AMS. Districts will use their WIDA-AMS accounts to order paper ACCESS tests, and/or manage online ACCESS test sessions. 6 Is KIDS Mandatory for every1/ Not until the 2018 School Year, for 2016 and 2017 it will remain a pilot.
2 7 Is KIDS is still optional this year? Yes it will become mandatory the 2018 School Year. 8 What do we do with foreign exchange students that are in an English-speaking home? Screen them and follow the rules that apply for all other potentially LEP students. 9 When would Serving School be different then Service provider? All our out-placed students have the same service provider and serving school listed. Only if you are renting space in your school building to a Special Education coop and they are providing the services to the student. 10 Will the access pre=id label work with Insight DRC software for those testing online The ACCESS Pre-ID label file will assist DRC with online testing, but additional arrangements will need to be made by the district for online test sessions. DRC will establish district accounts in their test management tool called WIDA-AMS for this purpose. DRC will notify districts that their accounts are ready to use, which will be by mid-october. An overview document is available here, Part 1 of the WIDA-AMS User Guide is here, 11 Does the ELL information for students who are LEP need be updated for the school year in order to "exit" them out of a district (because they moved prior to beginning the school year)? If you enroll a student as LEP they must have the ELL information reported before March 2 or before you exit them.
3 12 Last year our first semester course assignments were pulled for PARCC and this created a huge clean-up issue for our HS classes. We be able to make sure PARCC course assignments will be pulled from Second semester? The courses will be based off the 1 st semester Classes to begin with. We will not send the data to Pearson until January 15, If 1 st Semester is complete and 2 nd semester classes are entered SIS will use 2 nd Semester. 13 I have a question about adding Kindergarteners to SIS. Can I upload a list of students to get SIS numbers? No, if you sent the demographic Enrollment file they will enrolled. We currently do not have a format that allows you to do that. 14 Hi Howard, Adam & Lindsay! Can we assign the same course & section ID's each and every year or do we need to create new ones each year-we are indicated as the Serving School. Thanks, Lisa, Rockford Should be able to re-use with no issue 15 What happens when there is more than one Home Language?? Choose one. 16 Is there a way to know who has an ACCESS score in which hasn t been exited from LEP, prior to a enrollment file. We are a high school district we will have a student state no on the HLS, however after our upload we will find an issue. Thus we are out of compliance due to services needing to be given within 30 days of enrollment If you search the student and look at the Program indicators, next to the LEP indicator it will tell you if they took a previous ACCESS test and if they met proficiency or not.
4 17 SCA file we have 6th year students, who are finishing up with an online course which can be completed within 2 weeks depending on where they left off. However, our course assignment file is either semester or yearlong. How do we exit them if they graduated based on the completion of the course? Enter the course according to the school year they received credit. Use semester and set the dates accordingly. 18 Is there anyway to correct an erroneous exit code without having to call the state? Not at this time. 19 can you repeat that? The webinar is being recorded on will be on the sis webpage next week 20 I can probably look this up, but is there a Speech only IEP indicator? No, if the Student has a speech IEP the IEP indicator should be set to yes. 21 Can you enter 0.0 credits for a course? No, you must have a credit value grater than When will you have the new student and teacher course assignment files ready so they can be requested online? Please call the help desk. Data is always accessible in SIS once its entered. Student course assignments can not be entered until after enrollments were entered.
5 23 If a student comes from out of state and qualified for ELL services do we have to enter ELL screener data? Yes, and the Type of screener would be 12 - Other State Assessment Results for the Screener Test Taken. 24 FOR THE PARCC SCIENCE TEST WILL WE HAVE A DIFFERENT PNP TO FILL OUT? No 25 In the future, will kindergarten student course and teacher course assignment files need to be submitted before November to facilitate access to KIDS platform? Yes. 26 If a child has been adopted from another country and doesn't speak English, but the home they are now living in only speaks English those two fields can't match. How should this be entered correctly in SIS? It should be home language is English, native language is Spanish but it won't accept that. Native language should be the other language that is not English. If they are LEP home Language has to be the same. If they are not LEP Home language can be anything other than English. 27 Can service provider be imported this year??? Yes, there is a Service Provider batch format. 28 What is the deadline for teachers to certify for the ACCESS 2.0 administration? To follow up, can they begin the certification process now? Test Administrator training is not quite ready for release. It will appear on some time in September. The training can be completed anytime before actually administering ACCESS 2.0
6 29 Our current Superintendent is in intensive care. We have an interim Superintendent. What do we need to do so we are sure to get the information we need? Contact us at the help desk and we can get you started.
7 30 I am going to try typing a question - it gets confusing because we have a co-op run class with a co-op teacher, housed in a building in one of our districts and serving students from any of our member districts including some that are tuition in from outside our co-op. How is this all properly coded and connected in the Teacher/Student course assignments? The Home is where they reside, the serving is where they are recieving their education. When you submit a course you will match the home and the serving, the Service provider maybe different.

Does Elem schools need to submit Year-long courses? Does Jr highs with semester courses need to upload in November? All students need to be screened and identified before they are updated to LEP Yes which would trigger the ACCESS Pre-ID label. Your choice Year long, semester or trimester for K can only be Semester or Trimester. 34 Any information on the ACT? ISBE will not be sending a Pre-ID file to ACT How do I create a KIDStech account? On the Signup for Other Systems, I do not see the Data Quality Dashboard. For the Service Provider information, the serving school is the school they are attending and the Service Provider is the coop that is running the course, correct? Can paper tests be sent to individual Chicago charters and NOT the overall main charter campus? WestEd Help Desk (630) or Should be under the reporting category. If you still can not find it contact them via the info provided. Hi Chris Correct If identified correctly in the Site file, Yes. 39 Will the sessions from last year in Pearson be rolled over to this year? No, Sessions will be left blank for the districts to populate themselves.
9 We have never enrolled our students attending summer school in SIS. Will that have any impact on funding for this past summer. Are there docs on the ISBE website about needing to enroll them in SIS for the summer? How is service provider different from serving school? This is unrelated to the webinar, but we are wondering if there is anything we need to change/add in SIS when we have students that graduate early throughout the year. We have 3 foreign exchange students this year, do we need to enroll them in SIS? Students should be enrolled for summer school. There is nothing that can be done for last year, ensure they are enrolled going forward. Serving school is where the student is sitting. Service provider would be the same unless a special education coop is renting space in your RCDTS. The student is physically in your building but being serviced by the coop. Just exit them as graduated. Yes ACCESS 2.0 is computerized. Will we still receive labels? For ACCESS what is the role for Technology Coordinator Jus to double check, October 16th includes EL screener and program indicators? There may be some paper, but no ideally if they are online you will not get labels. There is a good description at Yes
