3 SERVER MANAGEMENT Multiple server assignments for the day Provides the ability to create more than one server assignment for a given day and for future days. Each server assignment can be named (e.g., lunch shift, swing shift, dinner shift). A user will manually turn on a specific server assignment by selecting the desired server assignment to make active (Shift Change). All table assignments will auto switch to the new servers even for tables that are currently sat. Refer to the Quick Reference Guide for Managers for detailed instructions on how this new feature works. Create Server Assignments ahead of time Perform a Shfit Change to activate a new server assignment - 3 -
4 Employee Search when assigning servers When assigning servers to stations, users may now view servers in a new window that displays more servers on screen at one time minimizing scrolling. This window also supports a quick search for servers by entering in the first few letters of the server s name. As the letters are entered, the window will auto filter the list to servers with names matching the letters entered. This option is turned on in the GMSettings configuration: - 4 -
5 RESERVATIONS Block reservation slots By Single Slot This release supports the ability for users to block open\available reservation slots to minimize the risk of overbooking. Blocking reservation slots individually: Go to the Reservation Tab Select an open slot and hit Block. User is prompted for how many of the available slots to block. A summary entry is now displayed on the reservation book with status BLOCKED and how many slots are blocked. 1. From Reservations Tab, select desired slot and touch Block. 2. Enter the desired number of tables to block within the slot and touch OK. 3. Reservations screen now shows 2 tables blocked (4 tables remain available for reservations). 4. To remove the block or reduce the number of blocked slots, select the blocked entry and touch Block button. Enter 0 when prompted for how many slots to block to remove the block
6 Block reservation slots - By Multiple Slots A user may also block multiple slots at once under Admin. This is used to quickly block out all slots for a given time range. Go to the Reservations Tab Touch the Admin button and touch Manager Admin Touch Block Reservation Book Touch a time\party size slot to block\unblock all available slots for that entry Blocked entries will display a for that slot 1. Under Manager Admin, Select Block Reservation Book. 2. A user may use the multi blocking as follows: Select slots individually by touching a green row. All available slots for that entry will be blocked. Select Block All to block all time\party size slots for the entire date Select Unblock All to clear all blocks for the current date Blocking Reservation Slot permissions can be configured using GMSettings under the Application>Reservations>General Tab
7 Edit Existing Reservation Books This release supports the ability to edit existing reservation books so that the number of available reservation slots for existing books can now be reduced below the number of any booked reservations against that time\party size slot. In previous releases the number of slots for an existing reservation book could not be edited below the number of any existing reservations already booked against that time slot. When a new Reservation Book becomes effective, existing booked reservations for future dates will take up open slots in the new book. Previously, existing reservations were not associated to the open slots in the reservation book and a site could overbook. Sort Reservations in Party Size Order Booked reservations are sorted by party size so that they appear in party size order within the reservation book. Filter Large Parties on Reservation Book Tab The Reservation Book may be filtered on screen to display only large parties. When in filtered mode, the reservation book will display all open\green slots, but only booked large party reservations will show. The Filter status icon (Funnel) displays on screen to indicate that the book is being displayed in a filtered mode. The user can select a green\open slot and book a new reservation from within this view. Once the reservation is booked, the book will resort back to unfiltered mode and show all booked reservations. Print Reservations to Back Office Printer The Reservation report may be printed to a windows back office printer. For the back office machine, select the printer to print to the Windows Printer. Any printing down from that machine within Guest Manager will now print to the back office printer
8 Require manager code for moving large party reservations If a reservation was a large party reservation that required manager code to book the reservation, the host can not move the reservation without manager approval WAITLIST Wait Quote Based on Additional Turn History This release will evaluate additional turn history to determine a more accurate expected turn time for tables when calculating the expected wait quote. The additional options for evaluating turn history is: Party Size sliding scale for turn history Users may configure a sliding scale for looking at party ranges when pulling history for large parties. For example, when calculating expected turn time for a party of 14, the system can be configured to look at turn history for party sizes of This gives more turn history for larger party sizes that may not have enough history. The assumption is that the turn time for a party of 14 will be similar to parties of The range can be configured differently for different party sizes. Set the starting party size to start looking at a range Set the range (+\-) of current party size - 8 -
9 Drop Invalid Turn Times Users may set the min and max turn time by party size. All turn times outside the valid min\max settings will be ignored when determining the average turn time. Set range of time for pulling turn history for current time The system will now look at turn times for the past x weeks that fall within 30 minutes of the current time (15 minutes before and after). Today, the system only looks at turn times that match the same time. This will provide more turn history in order to generate a more accurate expected turn time. Waitlist Filter for checked in parties Waitlist view now supports a filter to display only waiting\checked in parties. This allows a host to quickly filter out call aheads and reservations that have not yet arrived when looking to seat a waiting party. Paged Party Display Options This release of Guest Manager supports two new display options for paged parties on the waitlist. One or both options can be turned on to make it easier to find a paged party when they check in to be seated. Options are configured in GMSettings. Option to display paged parties with a blue background Option to sort paged parties to the top of the waitlist
10 Show seat by time on waitlist The waitlist can be configured to either show the Quoted Time or Seat by Time for waiting parties. The default is to display Quoted Time. However some operators like to manage the waitlist by looking at Seat by Time. This will display the time promised to seat the guest by. It is determined by taking the time the guest was added to the waitlist and adding the quote time. So if a guest arrives at 7:00 pm and is quoted a 30 minute wait, a site may choose to display either the Quoted Time (30 minutes) or display the Seat by Time (7:30pm). Once a guest exceeds the Seat by Time this field will turn red. If Seat by Time option is selected, the Seat by Time will be printed on the Greeting Slip
11 FLOOR PLAN Dashboard Statistics The dashboard on the Floor Plan tab can support two display options: Display table statistics on how many tables are currently sat and available Display Waitlist details on how many waiting and call ahead parties on currently on the waitlist. A user can toggle between the two views by pressing the yellow arrow in the upper left corner of the dashboard. Open All Tables in a Station All tables assigned to a server\station may now be opened at once by selecting the Open Station button under Close Tables Function
12 Don t Allow Remote Update to Closed Tables Guest manager now supports an option to prevent remote updates to closed tables. Remote updates may be from the Aloha POS or the HME Table Scout handheld updaters. This will prevent closed tables from being set to Open, Sat or Dirty remotely. When this option is turned on, the table status for any closed table may only be updated at a Guest Manager terminal. Once the table is opened, remote updates may then take effect for this table. Remote updates for any open table will still take effect. This option is turned on or off within GMSettings:
13 GENERAL Guest Manager Certified to run on the same terminal as Aloha POS Guest Manager has been certified to run on the same terminal as Aloha POS. Aloha POS Toggle A button to Go To POS automatically displays when Guest Manager is running on the same terminal as Aloha POS. This button displays under Admin. When selected the system will toggle over to Aloha POS. A Run Application type button can be created in Aloha POS in panel editor to GO TO Guest Manager. This button will toggle over to Guest Manager. Long Range Systems Paging Interface Interface to LRS pagers is now supported. Set-up is completed within GMSettings for the specific terminal that the transmitter is attached to
