2 Windows Mobile Stock Transactions Stock Count and Usage This article details the use of the Stock Count and Stock Usage Transactions on the Mobile Windows application. PART 1 SETUP This section details the required setup of the Windows Mobile application for Stock Transactions. STEP 1: Connection Menu After starting the application select Actions > Settings. Click on the Connection tab. STEP 2: Connect to the Database Enter the login, password, server and database and then click the Connect button. 1 Page

3 This will load the available Work Order Series from the specified database. This will also load all Inventory Stock items so this process can be lengthy. STEP 3: Select the Work Order Series From the Work Order Series drop list, select each Series to synchronize with the mobile device. Each Work Order Series that is selected will appear in the list view below the drop list. 2 Page

4 Select a Work Order Series from the list view and click the Delete Itm button if it should not be in the list. STEP 4: Load Work Orders Click the Load WO button to load all open Work Orders from the Series listed. A progress bar will provide an indication of the remaining estimated time to load the Work Orders. STEP 5: Wipe PDA If required, the data on the mobile device related to this application can be clear by clicking the "Wipe PDA" button. This will remove all Stock items, Work Orders and transactions from the device. It will also clear all settings from the "Connection" tab. 3 Page

5 PART 2 STOCK COUNT This section details the process of using the scanner for Stock Count transactions. STEP 1: Select the Mode Select Actions > Settings and then click on the Mode tab. Select the Stock Count radio button and then click Close. STEP 2: Click the Start Count Click the Start Count button. STEP 3: Scan the Items Scan the stock items. The user has the option to scan the item once and then use the stylus to select the quantity field to enter a number from the keypad or they can scan each individual stock item. STEP 4: Delete a Transaction If an incorrect Stock Item was scanned, re scan the Stock Item and then click the "Delete" button to delete the entry from the mobile device. STEP 5: Sync the Batch When the Stock Count is complete for all Stock Items the user can click the Sync button. Details of what the Synchronization routine does are provided later in the article. 4 Page

6 PART 3 STOCK USAGE This section details the process of using the scanner for Stock Usage transactions. STEP 1: Select the Mode Select Actions > Settings and then click on the Mode tab. Select the Stock Usage radio button and then click Close. STEP 2: Select a Work Order The system will display a browse list of all Work Orders that were copied from the database. Double click a Work Order from the list or scan the bar code on the Work Order. 5 Page

7 Note: If there is a Work Order that already had Stock Items selected, those items will appear on the list and can be added to by scanning more Stock Items. STEP 3: Scan the Stock Items Begin scanning the stock items required for the Work Order. The Stock ID, Description and Quantity appear on the screen. For multiple stock items, scan the stock item multiple times or edit the Stock Quantity. 6 Page

8 STEP 4: Edit a Stock Quantity If a stock quantity needs to be changed, click on the Quantity field with the stylus and enter the correct quantity using the keypad. The quantity value can be negative (for example, if something was returned to the Stores area). STEP 5: Delete a Transaction If an incorrect Stock Item was scanned, re scan the stock item and then click the "Delete" button to delete the entry from the mobile device. STEP 6: Complete the Transaction When all the Stock Items are scanned click the Done button. STEP 7: Sync the Batch When the Stock Usage is complete for all Stock Items the user can click the Sync button. Details of what the Synchronization routine does are provided later in the article. 7 Page

9 PART 4 SYNC OPTIONS This section describes the different methods of synchronizing data. STEP 1: Sync Clicking the Sync buttons starts the two way synchronization process. This includes: Sync OUT : This part of the Sync process sends all Stock Count and Stock Usage transactions to a batch in Work Manager Foundation. A unique batch is created daily based on the Work Manager Foundation user defined on the scanner, the date and the transaction type (Count or Usage). If the sync is activated more than once in a day all transactions will be added to the same batch. The process then deletes all transactions on the mobile device and all Work Orders that had transactions on the device. Sync IN: This part of the Sync process reloads all open Work Orders that belong to the Work Order Series identified in the Settings screen. This may include Work Orders that were removed from the mobile device as part of the Sync OUT process. STEP 2: Sync IN The user can select Actions > Sync IN. This process would perform the steps outlined above. The Sync IN process can be used if the user is unable to find the Work Order they need. The Work Order may have been added after the last Sync process and Sync IN will refresh the Work Order list. STEP 3: Sync OUT The user can select Actions > Sync OUT. This process would perform the steps outlined above. The Sync OUT process can be used if the user wants to quickly send the transactions on the mobile device to a batch but as outlined above the Work Orders with transactions are removed from the mobile device. STEP 4: Resynchronize Stock Items To refresh the list of Stock Items and descriptions the user must reconnect to the database. This can be done by selecting Actions > Settings and clicking on the Connection tab. Click the Change button and then click the Connect button. 8 Page
