3 Introduction EH Systemhaus companies philosophy The cost helix of cars, busses and truck fleets (vehicles of all kinds) are growing immensely. The government causes a big share by this development through direct and indirect tax increases like the toll charge or the eco tax. Therefore the headquarters of companies are forced to have a look at their cost structure more exactly. This is also necessary for companies where their fleet is not their core competence. So the main goal is to get a continuous cost transparency for your fleet. We see this as our task to offer you a solution for your requirements. On the basis of a ten year presence in software development / fleet management we extended our position on the market. More than 100 installations in the environment of IT-Systemhaus / Fleet management at our customers and long-termed customer relations are our evidence. 4 Product philosophy With Fleet 2005 Fuhrpark Informations- und Management-System you use a software which makes it possible to handle your daily work for fleet management in a simple way. Individual changes for your requirements increase the efficiency of your work and delivers you a tailored application. We have realized together with our customers and interested persons the task and the account about cost transparency. Advantageous is also the continuity of the basic data from the fuel tanking up to the analysing of costs for each mileage kilometre. It is very important to make the programmes user-friendly, that means a simple way of handling without being an expert. Our programmes use abilities of dialogues of the actual computer systems. A consequent operation on the screen makes it possible to train all programme parts quickly. Immediate validity checks of the data input allow safe programme flows. The programmes are variable because of using parameters and therefore it is possible to fit it optimal on special facts and requirements of your company. 6 Before you could work with Fleet Fuhrpark IM-System the master data have to be entered. Master data have to be entered once, afterwards be saved in this system and then they are available anytime. All relevant data of your vehicle could be engaged in the vehicles file. There you could also deposit a shot of your vehicle and the vehicle registration certificate. It is possible to import fuel data of other different programmes and to assign them to the individual vehicles. Vehicle details. 7 In the vehicles master data Fahrzeugschein there you have the possibility to deposit the vehicle registration certificate of each vehicle. You have to scan this one and save it in an adequate file format. Vehicle shots In the same way you do this in the case of a vehicles shot. Especially for temporary vehicle advertisement we give you herewith the possibility to have a look at the actual status of advertisements. 8 In the vehicles master data Unfälle there you have the possibility to handle all casualties of each vehicle. You can engage all casualty relevant data. 9 Personnel administration Fleet Fuhrpark Informations- und Management-System gives you detailed information about your staff - in the range of fleet or administration. All relevant data about your staff could be engaged in a personal file. It is also possible to assign shots and documents of your staff (e.g. driving license, letter of references, examinations, etc.). All compulsory examinations or maturities could be controlled and analyzed. For the deadline monitoring of your staff this programme Fleet provides you different possibilities of analysing. The maturity list of your staff takes care that e.g. in future you do not fail an upcoming deadline (e.g. checking of driving licenses). 10 Maintenance / maturity monitoring Fleet Fuhrpark Informations- und Management-System provides you the possibility of a complete monitoring about all maturities / maintenances and deficiencies of your whole fleet at the push of a button you get all actual maturities / deficiencies on your screen for further editing. As it is possible to define the maturity kinds freely and without any limiting of numbers you always maintain the overview. Symbols helps you to identify visually the maturities and maintenances: Maturites For this vehicle there are actual maturities existing. With a double-click of the red traffic light you receive more detailed information about the upcoming maturities. The maturities are registered and managed in the vehicle file maturities. For this vehicle there are no actual maturities existing. With a doubleclick of the green traffic light you receive the information: No upcoming maturities are existing! 11 All maturities of your fleet are displayed on the screen for further editing. Each selection could be choosen with filter functions according to your needs. Also actual maturities of customer vehicles could be generated at any time and you could make this information available for your customers. 12 Deficiencies For this vehicle there are actual deficiencies existing. With a doubleclick of this symbol you receive more detailed information about the actual deficiencies of this vehicle. You can transfer all deficiencies by generating directly an order for your shop. For this vehicle there are no actual deficiencies existing. 13 Order processing / shop orders Pattern orders Pattern orders facilitate the common work for you and your mechanics. For example by fix defined maintenance work or maintenance schedule. Once engaged, you could save time by not retrieving the orders for recurrent work. You could obviously add further information as a continuous text to each pattern order after you have transferred it in a shop order e.g. non-scheduled maintenance work. When you open the shop order you define if this order will be handled in your own garage or another one will execute the essential work. By the order type you could define which type of shop orders you are dealing with. 14 Engage shop orders The shop order is the core of the order processing. There all articles and wages are administered in a very comfortable manner. We enable you to engage the needed articles to each shop order as quick as possible by using of bar code labels. Each shop order receives also a bar code. Through this you can retrieve the needed shop order in the main view by scanning the bar code. So it is not necessary to engage the figures manual. Another advantage: By engaging the shop orders you have a look at the maturities / deficiencies of the selected vehicle. The traffic light marking indicates it. You receive a very quick overview about the status of your shop orders through the colourcoordinated identification in open, finished or external order. 15 Analyses For different analyses of your fleet data there are wide possibilities of analyses available. Both single analyses of each vehicle and culminating in cost analyses of each mileage kilometre of your whole fleet or single vehicles are possible. In the vehicles history you obtain information of the whole life-cycle of your vehicles very clearly included all shop orders. As the shop orders also register the working hours Fleet Fuhrpark Informations- und Management System enables you to face the regular working hours with the actual working hours of the mechanics. All maturities on vehicles: This analysis shows you all maturities of your fleet. History of all vehicles: This analysis shows you the history of each vehicle. 18 Fleet Interface / Data Inferface Import of toll data (GER + AUT) The toll system in Germany started according to schedule on 1 st January Since that day 0.00 o clock all trucks with a permissible weight maximum weight over 12 tons have to pay the toll for using the German freeway. The average charge is 12.4 Euro Cent per kilometre, differentiated by number of axes and classes of emission (between 9 and 14 Euro Cent). The settlement of accounts for the toll occurs once a month for registered users. The toll schedule contains the total amount for the toll charge. The total amount for all inserted vehicles is broken down into each used toll rate (class of axes, class of emission) and also into the selected booking system. The user receives also a detailed overview monthly where each drive is listed. Here the user can choose if the data should be served by post or by mail (pdf-file or csv-file). Each single drive section is listed. More detailed information like vehicle, route, journey time and further toll relevant data are listed too. Thus it is possible to follow the accrued toll charges. These electronic toll data (.csv-file) are imported by the module Fleet 2005 Interface and the arising costs will be automatically assigned to the particular vehicle. Currently it is possible to import the toll data of Toll Collect (Germany) and Go Maut (Austria). Analyses for the arising toll data are available. 19 Import fuel data Fleet 2005 Interface contains interfaces to most of the mineral oil companies and fuel data systems. The fuel costs and the consumption of each vehicle could be ever controlled and analyzed. All available electronic fuel data are imported by the module Fleet 2005 Interface and the arising costs will be automatically assigned to the particular vehicle. Currently the fuel data of all well-known fuel data systems (Leibold. Hectronic, Novotec, Lümatic, etc.) and mineral oil companies (Aral, DKV, Euroshell, UTA, etc) could be imported. Analyses for the imported fuel data are available. By importing the fuel data the mileage of your vehicles are ever on status quo a main advantage by the controlling of deadlines and maturities of your fleet.
