1 Setting Up InformationNOW Health Alabama User Groups About This Guide This Quick Reference Guide provides an overview of the steps necessary to create user groups and assign staff to these user groups to ensure that users have the appropriate rights and permissions in InformationNOW Health based on their roles and responsibilities within the district. Once user groups are created, staff members may be assigned to the appropriate user group to allow them access to role-based data and report. Creating User Groups The following five user groups must be created in InformationNOW to ensure that users have appropriate permissions. IHealth Admin District School Nurse Substitute School Nurse Certified Unlicensed Medication Assistant Health Data Personnel To create a user group in InformationNOW, perform the following steps: 1. Go to System Preferences Group Maintenance. 2. Click Add. 3. Enter the Name of IHealth Admin and the Description of Lead Nurse or Designated Nurse. 2 4. Click Create. 5. Continue adding the remaining four user groups using the following recommended names and descriptions. Name Description District School Nurse School Nurse Substitute School Nurse Substitute Nurse Certified Unlicensed Medication Assistant Dispenses Medication Health Data Personnel Enter Student Immunization Assigning Permissions To A User Group Once user groups have been added, the permissions for the user groups must be edited based on the roles and responsibilities of the staff members assigned to the group. To modify the permissions of a specific user group, perform the following steps: 1. Go to System Preferences Permission Maintenance. 2. Select the IHealth Admin group. 3. On the Tasks tab, make sure only the following options are checked: Dispense Medication Maintain General Medical Maintain Health Lookup Maintain Immunizations Maintain Medication Inventory Maintain Office Visit Maintain Screenings Maintain Student Health Conditions Maintain Student Health Forms Maintain Student Medical Equipment Quick Reference Guide STI_ Setting Up InformationNOW Health Alabama User Groups 2
3 Maintain Student Medication View General Medical View Health Lookup View Health View Immunizations View Medication Inventory View Office Visit View Screenings View Student Health Conditions View Student Health Forms View Student Medical Equipment View Student Medication 4. Click the Reports tab. Make sure only the following options are checked: Daily Log Report Fitness Screening Health Assessment Report Health Conditions Immunization Compliance Medical Equipment Medication Dispensing Checklist Medication Listing School Entry Survey Scoliosis Screening Student Insurance Student Office Visit Vision Screening 5. Click Apply. 6. Select the District School Nurse group. 7. Click the Reports tab. Click Apply. 10. Select the Substitute School Nurse group. 11. 5 Maintain Medication Inventory Maintain Office Visit Maintain Screenings Maintain Student Health Conditions Maintain Student Health Forms Maintain Student Medical Equipment Maintain Student Medication View General Medical View Health Lookup View Health View Immunizations View Medication Inventory View Office Visit View Screenings View Student Health Conditions View Student Health Forms View Student Medical Equipment View Student Medication 12. Click the Reports tab. Make sure only the following options are checked: Daily Log Report Fitness Screening Health Assessment Report Health Conditions Immunization Compliance Medical Equipment Medication Dispensing Checklist Medication Listing School Entry Survey Scoliosis Screening Student Insurance Student Office Visit Vision Screening 13. Click Apply. 14. Select the Certified Unlicensed Medication Assistant group. 15. 6 View Health Lookup View Health View Medication Inventory View Student Medication 16. Click the Reports tab. Uncheck all reports. 17. Click Apply. 18. Select the Health Data Personnel group. 19. On the Tasks tab, make sure only the following options are checked: Maintain Immunizations View Health Lookup View Health View Immunizations 20. Click the Reports tab. Uncheck all reports. 21. Click Apply. Assigning Staff To User Groups Once user groups have been created and permissions have been assigned to each group, staff members should be assigned to the appropriate group based on their roles and responsibilities within the school/district. To assign a staff member to a group, perform the following steps: 1. Go to Staff Staff Maintenance. 2. Search for and select to View the staff member. Note: If the staff member is not already entered as a staff member, click the Add icon to add the staff member. 3. Click the Access tab. 4. Under the Groups section, place a check next to the user group(s) to which this person is to be assigned based on their role and responsibilities in the school/district. 5. Under the School Access section, select if the user is to be able to access any school in the district. If the staff member is only to be able to access certain schools, bullet Allow access to these schools and place a check next to each school that the staff member is allowed to access.
