Please See RFP Are queue positions and wait times required when callers are on hold? Please bid as an alternate. Are Music on Hold and Announcements on Hold devices required or just the support for them required? Please bid as an alternate. Is the successful bidder required to do the integration of their system with Lync and Outlook district wide or does the system simply have to be compatible? It is the intent of the District to utilize Lync technology in conjunctions with our Office 365 E4 Plan. Therefore the successful bidder will be expected to perform Lynch integration and Microsoft Unified Communications implementation in accordance with the requirements in the RFP. In the optional call recording request, are all calls to be recorded? NO - We may desire to have certain designated extensions with recording capabilities and preannouncement as required by law. Please bid as an alternate. We will not be utilizing push to record button. Is the bidder required to provide the hardware for recording or the district handling that? Please bid as an alternate. What specific encryption is expected as an option for E911 calling? The District expects all extensions to be identified with correct location at the 911 Call Center should the extension initiate an E911 call. Is the district going to want full project management and design: Yes. Adjustment made to domain controller and switches: No Establishment of voice vlan and setup packet prioritization: Yes Adjustment made to dhcp pool: Yes Coordinate and setup training: Yes Design network: No Provide all other documentation other than end user docs-:provide all documentation including end user documentation. 2 How many bell schedules will be needed for integration: There are nine school sites each with their own unique schedules some include different schedules on different days of the week or during testing or special event days. We estimate that there are no more than 25 unique schedules. Are all PA systems accessible by analog or digital: All current PA systems are analog. Does the district want different manufactures on the same system:district prefers a uniform hardware solutions with exceptions for conference rooms, power users, etc. Does the district require a SIP connection to the telco or PRI? If PRI are all PRI connections is one location: The District requires the best unified district wide solution. District expects that vendors provide specifications as to why they recommended their solution. Does the district have one central location for all server and connection to external and telecom networks: We have one server location. We desire one server location. Currently connections to telecom is from each individual site we prefer that if possible all connections are from our current server location. Are all connections between school been test for VOIP or will the district require that from the vender: We expect the vendor to perform this function. How many IVR or AA will the district require: The district requires only call functionality. Advanced features such as IVR or AA should be bid as an alternate if desired. How many shared extensions : Currently we are not utilizing that functionality and do not anticipate using in the near future. Bid as an alternate. Does the district have control over all connections between all locations: Yes if not who does? Does the district want to convert all analog device to Sip (ie fax machines, modems, fire alarms, and etc)if so how many devices: The district expects the successful vendor to provide a unified voice communication system that includes a viable working security and fire alarm solution. If the vendor feels that keeping our existing analog fire/security alarm systems outside of the unified voice communication system that is acceptable but must be accommodated and shown as part of the overall design. We have approximately 43 phone lines used for alarm monitoring. Preference is for a working solution that minimizes our ongoing cost. We would appreciate receiving an integrated FAX solution as a bid alternate. Does the district security groups setup on domain if not will they require the vender to do that? The district will perform all domain setup and configuration upon receiving adequate information from the vendor. Does the district want all operators to also have software interface on their PC? Yes If so what operating system does the district have installed at all operator locations: Windows 7 Does the district want call coordination between operators Meaning all operators can be tasked if need to answer for other schools: Please bid as an alternate. Does the district want to be charged by device or extension: The District is open to both models. Does the district have roaming user profiles setup on domain or do they want vender to setup: No Page 2

Does the district require raid 5 redundancy or system servers: District requires redundancy built into the system design. Please be specific as to what you are proposing. How many redundant servers does the district require: District requires redundancy built into the system design. Please be specific as to what you are proposing. Does the district require a backup system with state included? If so can the vender use the current backup solution the district has in place. If so what is the system and version level: Not Required. When will local Domain servers be established for MS 365: Already implemented. Does the district require ongoing training: Please refer to section 4.3 of the RFP. Does district want 911 location information sent to police ( meaning location in the school ie if it came from classroom 204 it would tell the police 204 is at the back right side of the school ) Yes this information is to be sent to Emergency Dispatch Center. Does the district want emergency info warning system in place top sent automated announcement set over system in case of emergency Please bid as an alternate. Would it be possible to obtain a phone count per school? This should include: How many basic classroom IP? How many mid-level IP office? How many IP conference? See the answer to question #3 below. What type of trunking will be provided by the District for us to use? PRI s? POT s lines? SIP trunking? Page 3

4 Centralized or distributed to each location? The District expects the successful vendor to recommend trunking option/services as part of the vendor s system design of which the District will provide. Regarding the E911 notification from the classroom, will each classroom be on its own subnet? Each school has its own submit of which classrooms are a part of. If additional network configurations are needed that can be discussed with the successful vendor. For the 475 virtual extensions with VM and UC, please define what functionality is required for these users? Is it a voic box that will also deliver the VM to their as a WAV. attachment? WAV is acceptable but the District would prefer MP3 codec. Or are you looking for full UC functionality for these users and allow them to log into an actual phone anywhere on the network so that they can use the phone like any other user? This is optional and not a requirement. The District is mainly interested in Microsoft UC and Lync (Office 365 E4 plan) integration to include Outlook data, voice mail to , etc. with respect to Unified Communications. Are these 475 users in addition to the classroom, office and conference? The District is looking for up to 475 voice mailboxes to cover (include) all employees and phone location. The District reserves the right to increase/decrease this count. This 475 users are not in addition to the classroom, office, and conference. How many total voic boxes are required. The estimates total voice mail boxes will be requires to include main office number phone tree voice mails. Understanding that the District is using Office 365 and Lync: Do the users use the cloud version (web client) of Outlook or do they actually have the Outlook client running on their PC s/mac s? All employees are provided with the Outlook rich client and primarily use this. Is Lync the preferred platform for all voice and UC applications and the District is really just looking for a partner to deploy the voice and UC portion of Lync and provide the to be used with Lync? The District is looking for a district-wide phone system to replace all and communications equipment and is interested in Lync integration for enhanced communication. Microsoft Unified Communicatrions is our preferred UC solution. Is the District asking/requiring the chosen partner to train the users on Lync as part of this deployment? Yes, training is requirement per the RFP. Please define your requirements for ACD? What is it used for? How many programmed agents and supervisors are required? How many simultaneously logged in agents and supervisors are required? The District is expecting the vendor to make recommendations on these elements. The District does not have requirements for agents and supervisors to be logged in simultaneously. The District does not have complex ACD requirements. Page 4

5 Do you require rate tables and creating bill back with the call accounting solution or are you just looking for robust call detailed records (CDR)? The District is looking for call detailed records. Does the District currently have/use VMWare? Yes What version/release? 5.5 Do you have a dedicated NIC card available? Yes Would the District prefer to use their existing VMWare environment for all required servers or for the partner to provide the required servers in the bid? Please quote both options. For the optional full time system wide call recording, do you desire/require station recording or just when speaking with someone externally? Please quote this as an option. How many ports of audio conferencing do you need/require for the conferencing bridge? This is undetermined at this time. The District will evaluate proposed plans/options. Can the lync and AD integration be a project done after the install and what service does the district want for lync integration if this is not available on at install does this disqualify the vendor from this opportunity? This question is not clear. However, the District is looking for a district-wide VOIP system that includes Lync integration. Vendors are expected to propose a solution that meets this requirement and have proven experience with Lync technology. What type of access points are being used by the district? Ruckus Page 5
