3 ROLE SUMMARY AND BACKGROUND Sulets is an educational charity owned by DMU and the University of Leicester Student Unions. Our mission is to raise housing standards and to support our student s accommodation needs. We provide high quality student accommodation to Year2+ students studying at the two Universities. Currently we supply over 2200 bed spaces through private sector lettings and halls of residence including our flagship property, The Summit. We have ambitious expansion plans and have signed an agreement with a large corporate business to manage their portfolio in Leicester. We have seen continued growth this year which has seen the business double in size. Due to continued expansion, SULETS is recruiting for an additional Property Management Officer / Lettings Assistant. We seek an experienced professional to work within our accommodation office. You will manage a property portfolio of student houses at the University of Leicester branch. You will deal with all aspects of accommodation processes including drawing up tenancies, dealing with repairs and working with a defined set of landlords and tenants within your property brief. Excellent organisational, planning and customer service skills and property experience gained in a public or private sector environment are essential, as is the ability to work on your own initiative. Attention to detail is paramount to the running of the department as is a can do attitude and an enthusiasm to work in a University / student environment. Experience of spreadsheets, cash handling and a good knowledge of figures is desirable. 4 JOB SPECIFICATION Job title: Department: Salary: Hours of Work: Responsible to: Supervision: Purpose of Post: Property Management Officer / Lettings Assistant SULETS 17,039 to 20,198 (depending on experience) 37 hours per week Monday to Friday 9am to 6pm (flexible working in operation) Saturday work through rota system Lettings Manager (ULSU Branch) Student Staff where appropriate Under the supervision of the Branch Manager, to manage a defined property portfolio of student properties. To ensure that the properties are professionally managed including drawing up tenancies, dealing with Landlord and tenant queries, logging and dealing with repairs and taking and registering card and cash payments. To assist in the provision of front of hours services. MAIN DUTIES AND RESPONSIBILITIES To manage a defined property portfolio of student housing. To draw up all tenancies relevant to the property portfolio including additional tenancies as required for student halls of residence. To sign off tenancy agreements and send out guarantor forms and ensure they are chased up and returned prior to start of tenancy. To manage all repairs relevant to your property portfolio allocating jobs to relevant trades people and following up with contractors and tenants to ensure work is completed to a satisfactory standard. To take payments for rented properties, process payments within LetMC and maintain respective spreadsheets. To chase rent arrears and deposit payments from current and prospective tenants particularly with regards to your own portfolio. To deal with minor complaints and problems and to effectively signpost any complex queries and complaints on the telephone, by and in person. To register deposits with the Deposit Protection Service (DPS) using the online registration system. To obtain relevant safety certificates for each let including EPCs, Gas Safety Certificates and Electrical Safety documents and to regularly audit these to ensure their validity.

5 To assist with the provision of front of house service, dealing with student and Landlord enquiries. To maintain the LetMC database in accordance with the Lettings website ensuring all property landlord and tenant information is accurate and up to date relevant to your own portfolio. To carry out viewings, inspections, check ins and outs on properties as directed by the Branch Manager. To attend landlord meetings and property take ons as directed by the Branch Manager. To assist Casual Staff by ensuring they are made aware of appropriate appointments and access has been arranged. To maintain the key system, ensuring an accurate record of their whereabouts by using appropriate signing system. To prioritise emergency situations as appropriate. To work flexibly during key letting period, November to February and June to September. Any other duties as may be reasonably required for the smooth running of SULETS as required by the Branch Manager. Qualifications Good general education including Maths and English at least to GCSE level General Experience of working within lettings or property industry Excellent administration skills Excellent organisational and planning skills Experience of working in an office environment Methodical approach to working and good attention to detail Good general knowledge of local area, specifically student related Experience of cash handling and a good grasp of figures Experience of preparing adverts and property descriptions to a professional standard Experience of using property software Skills/Abilities Excellent presentation skills Excellent communication and interpersonal skills Excellent IT skills using MS Office software, including Excel Be able to prioritise workload effectively and efficiently, meeting deadlines as required Ability to work in a team and individually Ability to work under own initiative and have a proactive approach to tasks Experience of dealing with difficult customers
