6 6 ABOUT RID RID is a national membership organization representing the professionals who facilitate communication between people who use signed language and people who use spoken language. Interpreters serve as professional communicators in a vast array of settings such as: churches, schools, courtrooms, hospitals and theaters, as well as on political grandstands and television. RID s function is to support our membership by providing the foundation needed to launch and sustain careers while ensuring quality service to the Deaf community. The schedule includes the following focused programming to the Exhibit Hall on these dates: August 8, 2015 Following the opening ceremonies will be a parade to the welcome reception, housed in the Exhibit Hall. This will be the first exposure to your booth for the attendees so be NOLA ready after opening ceremonies. August 9, 2015 There will be an RID, first-time, poster session/networking event with the Silent Auction located in the Exhibit Hall. This is another opportunity for exhibitors to connect with attendees. August 11, 2015 Get Up and Go Coffee with the Exhibitors We will also be promoting activities in the Exhibit Hall, such as the Silent Auction, through our mobile application for conference attendees. It addresses practice, theory, and research related to the interpreting industry. Conference attendees can pick up a copy of the VIEWS at RID s booth at the conference. Finished size is 8 ½ by 11. Organizations must supply RID with artwork. Front Cover, Inside $2363 Back Cover, Inside $2100 Back Cover, Outside $2625 Ad Section: ¼ page $788 ½ page $1313 Full page $1838 Ad Specs PDF files are the preferred format for advertisements. RID accepts native files in the following formats: Adobe InDesign, Adobe Photoshop (TIF or EPS with all fonts rasterized) and Adobe Illustrator EPS (with all fonts converted to outlines). All necessary fonts and graphics should be included with ads and color setting must be 4-color/CMYK. High resolution JPGs are also acceptable. All graphics, art, photos and logos must be at 300 dpi or better. We will not accept advertisements in the following formats: Microsoft Word, Excel, PowerPoint, Adobe PageMaker, CorelDraw, GIF or similar web-quality graphics. Finsihed artwork size and formatting information can be found at rid.org under conference and exhibit information. Ad Policy All conference program advertising is subject to approval by RID, who reserves the right to put the word advertisement with copy that, in their opinion, resembles editorial material. RID also reserves the right to reject advertisements. Positioning of advertisements shall be under the exclusive discretion and control of RID. Submissions & Cancellations Deadline: June 1, 2015 Cancellation policy: Space cancellation must be received in writing. Reserved advertisement space cancelled prior to June 1, 2015 will be refunded less a $50.00 service charge. Cancellations cannot be accepted after closing date. Failure to notify RID prior to closing date will result in the full cost of insertion. 8 8 Hyatt Regency New Orleans Elite Hall - August 8-11, 2015 Exhibitor Rules & Regulations All applicants and exhibitors are bound by these rules and regulations, which are intended to serve the best interests of conference attendees, exhibitors, and RID. RID shall have full authority to interrupt or amend this rule, and its decision is final. Exhibit Set Up Hours Saturday, August 8, :30 to 5:00 p.m. Must be set up by 5:30 p.m. No one will be permitted to assemble exhibits during exhibiting hours. 9 RID.org 9 Post Deadline Assignments Exhibitor applications received after June 1, 2015 will be placed according to availability on a first come-first served basis and must be paid in full by July 15, 2015 *all applications received after June 1, 2015 will not be included in official conference print materials and will be placed on an addendum page listing. Assignment of Space Priority for space assignment will be based on the determination and designation of RID. Applications for exhibit space must be made on the official application form and signed agreement. Exhibitors wishing to avoid assignment of space near a particular competitor should indicate this on their form. RID will use best efforts to handle placement of booths accordingly. Subletting of space is not permitted, doing so will result in a $ fine. Installation and Dismantling of Exhibits The exhibit area will be available for decoration and installation of exhibits beginning at and all exhibits must be fully assembled by 5:00 pm. No one will be permitted to assemble exhibits during exhibiting hours. No exhibit may be dismantled before the official closing time of. Please plan your travel accordingly or hire Viper for labor to dismantle accordingly. Viper Tradeshow Services will be the decorator for this show and will send an Exhibitor Service Kit outlining all the services and resources available including hotel forms for electricity and internet service. Electrical and drayage service will be provided upon request to Viper Tradeshow Services Official Decorator Viper Tradeshow Services Belinda Junior Schlueter (office) (fax) Belinda@vipertradeshow.com Furnishings Each 10 x 10 exhibit booth area will be furnished with (1) 6 skirted table, (2) two chairs and (1) one wastebasket and ID signage as part of the RID exhibit costs. Additional furniture must be ordered at the exhibitor s expense Viper Tradeshow Services will send an Exhibitor Service Kit to person listed on the registration form which will include all of the necessary furniture and decoration forms, drayage and labor information, as well as a schedule of services and rates. Shipping Information and Labor Shipments must be consigned according to instructions in the Exhibitor Service Kit. Shipments should be made early to ensure delivery before set up. Viper Tradeshow Services will provide personnel upon request for servicing exhibitors during set up and dismantling, and will be available to supervise all operations relative to decorations and related services. Arrangements for temporary labor should be made through Viper Tradeshow Services. Official labor order forms will be included in the Exhibitor Service Kit. RID will not be responsible for and will not accept exhibitor shipments to the hotel. Shipments delivered to the show site other than the day of move in are subject to hotel and Viper Tradeshow Service Fees. Forwarding Address Exhibitors should mark and consign shipments according to instructions in the Viper Tradeshow Exhibitor Services Kit that will be ed to the person on the registration form. Schedule of Service and Rates Rates for drayage services will be sent in the Exhibitor Service Kit. Shipments will be received stored and delivered to the booth on the installation date. Empty containers will be removed from the booth, placed in storage and returned to the booth at the close of the show. RID cannot receive drayage for your organization. Limits of Liability Viper Tradeshow Services and RID shall not be responsible for damage to uncreated materials improperly packed, for any concealed damage, loss or theft of materials after the same have been delivered to the exhibit hall and placed in booth space, or prior to being picked up from the booth space at the lose of the exhibition. Exhibitors are requested to please make certain that materials are properly insured against fire, theft and all hazards while in transit to and from the booth and for the duration of the exhibit. All cartons, crates and boxes must be suitably packaged with forwarding labels attached to each, identifying ownership and forwarding address. Crates, cartons and boxes not consigned to Viper Tradeshow Services will not be considered a part of this agreement. Viper Tradeshow Services will be responsible for removal of all equipment and booth accessories from the exhibit areas by termination of the dismantling period. Exhibitors need to dismantle promptly at the end of the show to accommodate this or hire Viper Tradeshow Services labor if necessary. Booths and Signs Piped and draped booths will be used. The back drape in the rear of the booth will be 8 high: Side dividers three feet high (36 ), booth 10 wide RID will provide one 6 inch by 28 identification sign depicting your organization name and booth number to make it easy for you to find your booth. However, we encourage exhibitors to bring sufficient and appropriate signage to promote and identify their organization to attendees and not rely on this courtesy move-in sign alone. Housing A block of guest rooms has been reserved at the Hyatt Regency Hotel for use by RID exhibitors. The hotel reservation cut of date is July 8, The room rate is plus Room/Tax and incidentals. You may make your reservation by calling and asking for a room under the RID room block. Exhibitor Registration Badges All persons in exhibitor booths must be registered with the conference and have their own individual badge. RID will charge for anyone who is not on our official registration list as a result of name badge swapping. The regular exhibit booth rental fee includes registration for two booth personnel. The registration badge is necessary for admittance to all conference sessions. Acceptance of Exhibits RID seeks a wide variety of industry related exhibits and services that provide industry, standards-oriented products and services. Exhibitors shall display professional products and materials that are in character with the conference. Non-professional products to be displayed must be described in writing and sent to the RID office at least eight weeks prior to the exhibition. Exhibits are subject to the approval of RID. RID and Viper Tradeshow Services reserve the right to refuse potential exhibits not meeting standards required or expected as well as the right to curtail exhibits or parts of exhibits which reflect against the character the conference. This applies to displays, literature, advertising, novelties, souvenirs, conduct of persons. Applications for exhibit space are subject to review as described in the exhibit contract. First-time exhibitors should include a sample brochure or pamphlet with their exhibit application for review/ familiarity purposes.
