Position Description Position Overview The HR & Payroll Coordinator role has been created in response to the growing needs of The Wayside Chapel and in particular the increase in paid staff roles over the last twelve months. Position Summary Purpose of Position The HR & Payroll Coordinator will support the Business Manager and the Management Accountant with processing payroll and administering the rostering, timesheet and payroll systems. The HR & Payroll Coordinator will support the People Manager in volunteer coordination and staff recruitment and administering human resources systems for both volunteers and staff. Key Accountabilities & Responsibilities Payroll Administer the online payroll system Xero Administer the online rostering and timesheet systems RosterPlus Set up users on Xero and RosterPlus Process the fortnightly timesheets and payroll including payments to staff and other parties

4 Handle enquiries from existing staff in relation to rostering, timesheets and payroll systems, policies and processes Handle enquiries from existing staff in relation to salary packaging enquiries Coordinate salary packaging in accordance with Wayside policy and relevant legislation Provide advice to the Business Manager and People Manager in relation to Award interpretation and remuneration Ensure compliance with the relevant legislation and reporting requirements for PAYG, superannuation and Fringe Benefits Tax Human Resources Administer the online HR system EnableHR Set up new staff on EnableHR Direct the onboarding process for new staff including WHS, criminal record checks and Working With Children Checks Conduct inductions for new staff as directed Provide general administrative support to the People Manager Provide support to the People Manager and Executive Team for staff meetings and communications Coordinate and track structured feedback from staff via online surveys Assist the People Manager in maintaining the Learning & Development strategy by identifying skill gaps and training opportunities Recruitment Assist with the development of Job Information Packs, including position descriptions, selection criteria and job advertisements Conduct job advertisement processes online and liaise with advertising providers Manage correspondence with applicants in relation to the recruitment process Maintain the account and recruitment portal Volunteer Coordination

5 Manage the online volunteer portal VolunteerImpact Assist the People Manager with the onboarding process for new volunteers Process criminal record checks Verify and record Working With Children Checks Provide support to the People Manager and Executive Team for volunteer communications Coordinate and track structured feedback from volunteers via online surveys, phone check ins and focus groups Assist the People Manager in maintaining the Learning & Development strategy by identifying skill gaps and training opportunities Coordinate volunteers for Wayside events Record Keeping Maintain all employee and volunteer paper and electronic records Ensure synchronisation of data between the various payroll and human resources systems Maintain training, learning and development information along with any other relevant data within the HR system Workplace Health and Safety (WHS) To assist the Business Manager, People Manager and Executive Team to identify and mitigate risk Assist with ensuring staff compliance with legislation and assist with the development of new Wayside policies and procedures. Other Attend external meetings and network meetings as required Undertake duties across all programs of The Wayside Chapel as required Undertake training as required and directed. Any other duties as instructed by either the Business or People Managers.

The HR & Payroll Coordinator can and will be asked to undertake duties within their competencies, skills and abilities and training that may not be mentioned in this document. Selection Criteria Applications must address each essential selection criteria individually. Applications which do not individually address each selection criteria will not be considered. Essential Criteria Demonstrated experience administering and refining payroll and HR systems; Demonstrated experience ensuring compliance with relevant legislation and reporting requirement for PAYG, Superannuation and FBT; Strong working knowledge of WHS requirements and demonstrated ability to implement and refine policies and procedures; Highly developed administrative and organisational skills and the ability to apply attention detail in the context of a high volume of work; Demonstrated ability to work collaboratively as part of a team and on an independent basis; Excellent written and verbal communication skills; Demonstrated ability to multi-task and manage competing priorities, workloads and deadlines; Willingness to work within the Wayside Chapel ethos, support its values and advance its mission.

7 Desirable Criteria: Experience working with the following online systems: RosterPlus, EnableHR, Volunteer Impact and Xero. Application and Recruitment Process o Applicants should provide a covering letter, responses addressing all the essential and desirable criteria individually, an Employment Application Form and a copy of their resume, before 9am Wednesday 13 May o Applications which do not address each and every selection criteria in a covering letter will not be considered. o Applications which only address the selection criteria generally, will not be considered. o Applicants should provide the names of two (2) work related referees with their application. o A selection panel of three (3) people will be convened. All applications will be assessed by this panel against the essential and desirable criteria based on their resume, cover letter and responses to all criteria. Applicants who are successful at this stage will be offered an interview with the selection panel. o Applicants with a disability should inform the convener of the selection panel of any special requirements upon contact to arrange an interview. o Interviews will be held in the week beginning 18 May Interviews will be approximately 30 minutes in duration. o A short-list of successful applicants will be created following the interview stage. Referees will be checked at this time to substantiate information

8 provided by successful applicants. o The panel may request a second interview with successful applicants. o An offer will be made to the successful candidate pending the satisfactory completion of a police criminal record and working with children check. o Unsuccessful interviewees will be contacted personally and informed of the outcome of their application. o Applications should be sent by with the subject title HR & Payroll Coordinator Application to:
