With this in mind, this brochure brings you information regarding associate parking at Advocate Christ Medical Center and Hope Children s Hospital. We request that you read the information thoroughly. 3 dealt with according to Advocate Christ Medical Center policy as approved by: Christ Medical Center Administration Human Resources Oak Lawn Police Enforcement of this policy is the shared responsibility of all ACMC/HCH associates Associate non-compliance 1. Any associate, student and resident who is found in violation of this policy will identify themselves and their department when requested by Safety, Public Safety, management or another associate. 2. Initially upon the infraction, associates in violation of this policy will receive a verbal warning. 3. Notice of the warning will be forwarded to the Human Resources Department in writing. 4. Human Resources will indicate the level of discipline and communicate appropriately with the department manager. Record of this communication will be kept in the Human Resources Department. 5. Violation of parking regulation may result in progressive disciplinary action up to and including termination. 6. Residents and students in violation of this policy are subject to disciplinary action by their respective departments. I ve seen people take their transponders out of their cars and park in the free lots. How will that be handled? Due to several new methods of more advanced technology, associates will not be able to park in a restricted lot without being identified. Some of the lots will be intercom access only. We will be able to view the driver and assess if they are entering the correct lot. What if an associate validates another associate s ticket? They will be immediately suspended pending investigation with possible termination. Since it is a theft, it is a major policy violation. QUESTIONS? Please contact Standard at ext REGISTRATION AND PARKING ID Does everyone need to register his/her vehicle? Advocate Christ Medical Center and Hope Children s Hospital policy states that all associates are required to register their vehicles with Standard to allow them to park on the medical center campus. Once registered, the associate will be issued a transponder, and their information will be entered into the parking database. Standard representatives will explain where to locate the transponder in your vehicle. They can be reached at ext I would prefer to carry my transponder in my pocket or in my purse. May I do that? No, we request that you affix your transponder onto your inside front windshield. Transponders are not made to be hand held and may malfunction if not affixed properly. Standard representatives will be happy to show you the proper location for your transponder. It is also very simple to transfer the transponder from one car to another. I m a new associate. How do I register? Contact Standard at ext Set up a time to meet with a parking representative who can get you registered and give you your transponder. You need to register your vehicle within 48 hours of beginning your new job. What if I lose my transponder? There will be a fee of $25 to replace a lost or damaged transponder. Contact Standard at ext What if I forget my transponder? I left it at home when I switched cars. Please press the button on the gate at the entrance of the employee lot and speak to the public safety department. You will need to provide your name and your department. We all forget things once in awhile so we re happy to help our associates. We will be noting the frequency of These requests just to assure that each associate make an effort to remember their transponder. What if the transponder doesn t work in my car? Please contact Standard at ext One of the representatives will work with you to resolve the problem. I drive more than one car. Will I get two transponders? No, you will only receive one transponder. We ask that you transfer your transponder between cars. 8 1
4 I have a rental car for a week. What should I do? Call Standard at ext and let them know. They will advise you on what to do from that point. I always get a ride to work but once in awhile, I have to drive. What should I do? Register for a transponder with Standard at ext It is better to have the transponder for the few times you need to use it. Am I supposed to fill out a form if I don t drive to work? Yes. We need you to do this in order to assure compliance from every associate regarding parking registration. We need to account for everyone. Just complete and sign the bottom of the registration form. I m retiring next month. What do I do with my transponder? Please return it to human resources along with your associate ID. APPROVED PARKING LOCATIONS As an associate at Christ Medical Center or Hope Children s Hospial, where am I allowed to park? As a nationally recognized medical center we have an extremely high volume of patients and visitors coming to our campus everyday. In order to provide convenient access for our patients, we have asked our associates to park in specially dedicated parking lots that are dedicated only to our associates. Realizing that oftentimes, these dedicated parking lots may be filled, we also have alternative parking options available when that occurs. Approved associate parking: First shift associates Lots 2, 3 and 4 East tower upper levels ONLY if lots 2, 3 and 4 are completely full. If there are parking spaces remaining in Lots 2, 3 and 4, the East Tower will remain closed to associates. Second shift associates East tower upper levels only after 1:30 p.m. Lots 2, 3 and 4 Third shift associates West tower after 9 p.m. East tower upper levels Lots 2, 3 and 4 our drivers are made aware of medical conditions by our associates and they do their best to accommodate If you just miss a bus, another one will be along in just a few minutes. We also added some additional bus stops on the west side of the building and in front of Hope Children s Hospital. I start work at an off time and frequently wait longer than I feel I should for a shuttle. What should I do? If you have been waiting longer than 15 minutes, and you have your cell phone with you, please call public safety at ext or the parking office at ext A shuttle will be dispatched to you immediately. We monitor the lots on a regular basis so we are anticipating that this problem is resolved and you should no longer experience this difficulty. If I leave work at an off time, how can I contact the shuttle? Call either ext , public safety or ext , the parking office, and a shuttle will be dispatched to your location. I work on the west side of the building. Can the shuttle pick me up there? Absolutely. We will have designated shuttle stops on the west side of the building or you can call either of the numbers above and ask to be picked up in a designated location. PARKING VIOLATION PROCESS What exactly is the parking violation process? We appreciate the fact that the majority of our associates abide by the medical center policy. However, we need to put the following in place to assure compliance. What if I park in a non-approved area? As stated in policy , we have changed our parking violation procedure to mirror our smoking policy. Associates parked in non-approved areas will be identified using the following methods: License plate identification Observation Verified reports from medical center personnel Transponder identification Once identified, vehicle will be checked for RAC permit and parking hotline will be checked for non-work-related visits and double shifts. violators, including associates, students and residents, will be 2 7
5 I have a medical condition. I think I should be able to park in the tower. What can I do about that? If you have a medical condition that you think warrants a closer parking space, please contact human resources at ext or the disability council at They will determine if you qualify for a special parking permit. If approved, your situation will be reviewed annually. I work nights and stayed over for a staff meeting. Will I be charged? As long as you call the parking hotline at ext (41PARK) and provide complete information, you will not be cited for parking violation. We will, however, be monitoring these special circumstances. ASSOCIATE PARKING SERVICE What parking services are available for associates? We are happy to provide FREE parking for our associates within walking distance of our medical center. In addition, we offer free shuttle bus service 24 hours a day, Monday through Friday. Shelters are available in the associate parking lots for protection in inclement weather. An associate who wishes to request a personal escort to their vehicle for any safety reasons may call public safety at ext In addition, help for special circumstances such as jumping a dead battery is also available through public safety. I appreciate the shuttle and I know the drivers are trying to be nice, but sometimes I m late punching in because the drivers are stopping for everyone who is pulling in. It s almost like punishing those of us who are here on time. Can we do something about that? We understand and agree with you. The drivers usually just stop at the designated bus stops but in trying to service their customers, the drivers try to accommodate everyone and sometimes stop frequently to pick up passengers. We encourage our drivers to stop only at the designated stops. Once everyone waiting at the bus stop is on the bus, the bus will move on. We have a regular bus route that goes from bus stop to bus stop and keeps moving. The same will hold for the ride home. The drivers will only stop at the designated bus stops. Of course, there will always be a few exceptions. If you are leaving late at night, the driver will be happy to take you to your car and wait until you are inside safely. In addition, during extremely inclement weather, the drivers may use their own discretion about adding some additional pickups. Also sometimes I work the third shift and therefore, I m allowed to park in the West Tower. What happens if I m asked to work a double and can t leave the West Tower on time? Please call the parking hotline at ext (41PARK)or calling from the outside. Leave the information that is requested including your name, your department, your license number and the date of the occurrence. In your message, explain the situation general terms (held over for staff meeting, personal business, etc.) we will note it when we do parking patrol. As an associate, am I allowed to park in lots 1, 12 or 13? Unless you have been approved by the Advocate reasonable accommodation committee to park in one of these locations, and display your permit in the window at all times while parked on campus, these lots are not approved for associates. These are lots that need to be completely available for our patients and visitors. Where do the residents and students park? Residents and medical students are considered associates and need to register for transponders and park in appropriate associate lots depending on the shift worked. All other students are required to park in the off site parking lot located at 93rd and Pulaski in the Trinity Church Lot. Students need to register with Standard and will be given a special permit to park What if I want to park in one of the towers and pay every day? May I do that? I m afraid that the answer is no. It is not so much a matter of paying, as it is making sure that there are adequate spaces for our patients and visitors. I work at an off-site facility. Where do I park when I come for a meeting? You may park in the East tower and pay the regular parking fee. Ask for a receipt and submit your receipt at your site for reimbursement. You may also buzz into lot 4. Just identify yourself to public safety. We ask that you do not park in lots 1, 12, 13 or the ED underground. Those need to remain available for our patients and visitors. 6 3
6 I work a 12-hour shift. Where do I park? It depends on what time you start. If you start between 7 a.m. and 1:30 p.m., you need to park in lots 2, 3 or 4. If you start between 1:30 and 9 p.m., you need to park in 2,3 or 4, or the East tower on the upper levels If you start after 9 p.m., you may park in the West Tower in any spaces other than handicapped or RAC spaces. If Hope Children s Hospital associates who work the third shift prefer to park in the East Tower, that is permitted, but they must park on the upper levels. Don t forget, for your safety, we have 24-hour shuttle service available Monday through Friday. The shuttle runs regular routes, but call ext if you need a special pick-up. I am on call. Where can I park? If you are called in between 7 a.m. and 1:30 p.m., you need to park in lots 2,3 or 4. If you start between 1:30 p.m. and 9 p.m., you need to park in the East Tower on the upper levels. If you start after 9 p.m., you may park in the West Tower in any spaces other than handicapped or RAC spaces or the East Tower levels 2 or above. If you feel that you need an escort to your department or your vehicle, contact public safety at ext I ve seen associates parking on the ground level of the West Tower. How does that happen? Those are associates who have won VIP parking spaces through either the MVP moment process or another associate raffle. MVP Moments are written associate-to-associate when positive actions are observed. Ask your manager about MVP moments. What happens if lots 2, 3 and 4 are filled? Standard and Public Safety monitor these lots. Once they are filled, associates may go the East Tower and park on the upper levels. I work weekends. Where do I park? Lots 2, 3 and 4 are always open for associates. Also, since there is no weekend shuttle, associates may park in the East Tower on the upper levels. Your transponder will allow you to enter. Random patrolling for appropriate parking will occur 7 days a week on all 3 shifts. Why can t I park in the reasonable accommodation spaces or the handicapped spaces if I work third shift? There s nobody here. Frequently our patients who are handicapped come before 7 a.m. to have outpatient testing done. We need to have spaces available for them. The RAC spaces are reserved for employees who need reasonable accommodations because of health reasons. Many associates start at 6:30 or 7 a.m. and need to have those spaces available. All of these spaces are considered handicapped spaces. Unless you have a State of Illinois handicapped identification visible in your vehicle, or a RAC permit, you are parked illegally and could be ticketed and towed. POLICY EXCEPTIONS I m coming to the medical center on my day off for an outpatient test. Where can I park for that? At Advocate Christ Medical Center we understand that sometimes our personal life brings us to the medical center. If you are coming here as a patient or a family caregiver, we request that you call the Hotline at ext (PARK). If you are calling from outside of the medical center, call You will need to leave the following information in your voic message. Your first and last name Your department name Your department extension Your license plate number The date of the occurrence The information will be taken from that voic box each day by the parking manager. If your car is seen in an unauthorized area, we will check to see if you called in your visit as a patient or caregiver. If you are listed on the record, you will not be cited for parking violation. Please remember that you must call prior to the date and time that you are coming as a patient or caregiver. Please note that regular parking pay rates will apply. Report express may be checked to verify non-work days. 4 5
