2 Personal Folder, Group Data folders and backups 1 Introduction You can save your personal files locally on your laptop to the D:\ drive. The C:\ drive is reserved for Windows and programs, so please do not save data on the C:\ drive. This partition may have to be formatted by ICT when a problem with your system occurs. Also in the light of safety (theft, soft- or hardware defects) it is strongly recommended to make regular backups of your data to network drives of the TU Delft. There are two kinds of network drives: your Personal Folder and the Group Folders. To make things easier for you, a log on script will run the moment you log on to your computer. This script will automatically map network drives to your Personal Folder (or Home Directory) using drive letter H:\ and Group Folder using drive letter K:\. Note: the displayed free disk space of the drives is not the same as the actual available disk space. 2 Network drives 2.1 Personal Folder (H:\-drive) What is the size of my Personal Folder? Your personal folder has a standard initial size of 2 Gb. You can use this drive to save your work to. this drive is only accessible by your NetID. Every night a backup of this drive is made, which means your work is much saver here than for instance on your local hard drive. Can I access my personal folder from home or via wireless? With an internet connection and an internet browser it is possible to access your files through webdata.tudelft.nl. How to use webdata can be read in the manual called XP-Webdata. 2.2 Group Data folder (K:\-drive) What is a group data folder? Contrary to your Personal Data folder, the Group Data folder is also accessible by other people. This disk space is shared with collegues and cannot be used to store personal data. Also from group data folders a backup is made every night. What is the total available amount of disk space? This depends on how much space was requested by your department and can be expanded on request. Which Group Data folder will be mapped for me? In case you need to share files with your collegues, like image collections or maps, you can ask your department secretary to arrange for access to your departments Group Data folder. They will arrange with SSC ICT to give your NetID access to this network location. When this has been arranged, every next time you log on to your computer this group data folder will be mapped under drive letter K:\. Can I acces my Group Data from home or via wireless? With an internet connection and an internet browser it is possible to access your files through webdata.tudelft.nl. How to use webdata can be read in the manual called XP-Webdata. 1

3 3 Backups 3.1 Possibilities to restore an earlier version of a file or folder by yourself In case you accidentally have overwritten a file or folder on a network drive while you actually didn t want to save the last changes or when you accidentally removed a file or folder, you can try to recover an earlier version of that file or folder with the Previous Version function. This function only works on Windows XP computers that are joined with the DASTUD domain (computers within the faculty and employee laptops) and only works on network drives (except via Webdata). Note If you were unable to retreive your file or folder using this option, you can go to your Servicepoint to have a call made to retrieve your file or folder form a tape backup. Please see chapter 3.2 for more on this backup facility Retreiving an earlier version of a folder Note In case you only need to retreive a previous version of a file, please read paragraph Open My Computer and browse to the folder of which you want to restore an earlier version. 2. Right-click on the folder you want to restore and select Properties. 3. In the Properties -window go to the Previous Versions -tab. You ll see a list of previous versions of this folder: 2

4 4. You ll have 3 options: 1. View With this option, you can look into the contents of an earlier version of the folder. For instance to check if this is the desired version you want to restore. Click on a version of the folder and then on View. A window will open, showing you the contents of the folder on that date Copy With this option, you can copy the contents of the selected version of the folder to a location of your choice. If you click on Copy, the browser window shown below will open. Choose your location and press Copy again: 3. Restore Attention With this option, you ll overwrite the current folder with the earlier version immediately. Please only use this option in case you re really sure you want to do this Retreiving an earlier version of a file 1. Open My Computer and browse to the file of which you want to restore an earlier version. 2. Right-click on the file you want to restore and select Properties. 3

5 3. In the Properties -window go to the Previous Versions -tab. You ll see a list of previous versions of this f: 4. You ll have 3 options: 1. View With this option, you can open an earlier version of the file, for instance to see if this is the version you re looking for to restore. Click on a version of the file in the list and then on View. 2. Copy With this option, you can copy the selected version of the file to a location of your choice. Please only use this option in case you re really sure you want to do this. 3.2 Tape backups In case you weren t able to restore the desired version of your file or folder with the Previous Versions option, you might have a version restored by the back office (SSC ICT). At maximum a version of the day before can be restored, that is: only if the file existed at the time. Restoring backups requires a lot of effort of the back office and is therefore only available in case of an emergency. Please contact your Servicepoint in case you need to call upon this service. 4
