Preface Welcome to idt! idt is a Windows-based program that lets you package and send files from your PC to a data processing installation. idt validates and renames the files to be transmitted and encrypts the files for transmission. In addition, the program provides a complete audit trail of all transmissions for your record-keeping purposes. This manual is designed to help you get started with the idt program and answer any questions you may have about its operation. Figure 1 below shows how files are processed with idt. Figure 1: Processing Files With idt Organization The manual is divided into the following chapters: Chapter 1, Getting Started contains four broad sections that give you an overview of idt's operation and help you get started using the system. Installing idt provides instructions for instaling idt on your PC. idt Overview introduces you to the user interface and gives an overview of the various ways in which to view information in the idt main window. Page i

Page ii Configuration Instructions briefly describes the items that must be configured for you to run idt. Setting up Users describes how users with administrative permissions can set up other accounts. Chapter 2, Processing Files describes the methods by which you can transmit files using idt. Chapter 3, Specifying Options describes how to use the various items in the Options dialog to set up and configure idt. Chapter 4, Working With Views describes how to access and use the information available through each of idt's views Log View, Status Window View and Audit Trail View. Notation Conventions This section describes notation conventions used throughout MSA documentation. These conventions are intended to facilitate overall clarity, scanning, and visual recall. Notation Convention Any item that appears on the computer screen such as a menu name, menu option, control label, etc. is printed in boldface. Keyboard keys are indicated by square brackets around the text that is printed on the key itself. The File menu... Example The text field labeled Customer Name... [Ctrl] [Enter] [t] An addition sign between the names of 2 keys enclosed in a single set of square brackets indicates a key combination. Key combinations consist of holding down a function key and pressing another key before releasing the function key. Function keys include [Ctrl], [Alt], and [Shift] ( ). Text printed in bold italics should be typed by the user precisely as is. Angle brackets indicate a variable for which the user should substitute something that fits the variable. In this example, the user would type a legal filename; e.g., docspec.doc Boldface elements separated with a colon indicate a menu selection. This example means the New option in the File menu. Italics indicate emphasis or an undefined concept that will be defined in later text. [Ctrl+c] [Alt+v] [ +t]=[t] docspec.doc <filename> File:New...the term batch mode refers to a one-step operation...

This window is organized around a toolbar that allows you to perform various operations in idt. Directly above the toolbar is a menu bar consisting of four top-level drop-down menus: File, View, Setup and Help. The view window in the middle of the screen contains detailed information relevant to the currently selected operation. The status bar at the bottom of the screen indicates which operation is currently in use. Figure 9: The idt Main Window The idt Views The idt user interface has three views that provide detailed information on the transmission of your files. These are described briefly below. For more information on each view, see Chapter 4, Working With Views. The Status Window View displays a detailed set of messages about current processes as they are being performed. This information remains in the Status Window View until the end of the session. Information about prior sessions can be found in the Log View. The Log View displays entries from idt's log, which contains a detailed, step-by-step account of all processes performed by idt. Log entries can be archived to a compressed file after a specified number of days or deleted by selecting the Clear Log option. The Log View can display log entries from a single day or from a range of days. The Audit Trail View displays a table containing critical information about all files that have been processed by idt, displayed chronologically. Chapter 1. Getting Started

Chapter 1. Getting Started Configuration Instructions Before you can use idt, you must configure your Internet access. The various options are described below. Configuring Your Internet Access Prior to using idt for the first time, you must determine what type of Internet access you will be using. The idt program supports the following types of Internet access: Direct Connection If you connect to the Internet directly (via a T-1 or T-3 line, for example), activate the Direct Connection to the Internet radio button in the LAN tab in the Options dialog box. Dial-Up Networking Connection If you connect to the Internet via a Dial-Up Networking Connection, you must select the Dial- Up Networking Connection option by doing the following: 1. Select Options from the Setup menu or click on the Options toolbar button. 2. Click on the LAN tab and activate the Dial-Up Networking Connection radio button. 3. Select your preferred Dial-Up Networking Connection from the pop-up menu. In order to use Dial-Up Networking you must have a Dial-Up Network Connection configured in Microsoft Windows. For information about configuring your Windows Dial- Up Networking Connection, consult the Windows online help. Other Connection If you connect to the Internet using software provided by your Internet Service Provider for example, America Online you need to establish your Internet connection before starting idt. You should also activate the Direct Connection to the Internet radio button in the LAN tab in the Options dialog box. For more information about configuring your Internet access, see the section entitled LAN Options on page 20. Configuring idt's Directories For idt to process your files, you must configure the directories from which you will retrieve files and the directories in which copies of transmitted files will be stored. The Load directory contains the files you wish to process using idt. By default, the Load directory is located in idt's installation path and is c:\program Files\iDT\input. The Save directory contains a copy of all files that have been transmitted by idt. By default, the Save directory is located in idt's installation path and is c:\program Files\iDT\save. The Temp directory stores a variety of files temporarily during the application's normal processes. By default, the Temp directory will be set to C:\Temp\iDT. For more information on each of these directories, see the section entitled Directories Options on page 18. Page 7

Page 8 Configuring Host Names The host name, which is specified in the Transmission tab of the Options dialog box, determines where idt sends files. In most instances, the host name will not need to be changed. For more information, see the section entitled Transmission Options on page 21. Setting up Users If more than one person will be using idt, you may want to set up individual user accounts. This section describes how to set up user names and passwords. Configuring idt to Require a Username & Password By default, idt is configured to open without requiring a user name or password. If security is an issue, you can configure idt to require a user name and password by doing the following: 1. Select Options from the Setup menu or click on the Options toolbar button. 2. Click on the General tab. 3. Activate activate the Require login username/password check box in the Login section. Administrator Account idt comes pre-configured for a single user, the administrator account. The administrator account is accessed by logging in with a user name and password of admin. The user name cannot be changed or deleted, but the password can be changed by selecting the Change Password option from the Setup menu. The administrator is the only user that can add and delete users and change the passwords of other users. All users can change their own passwords. Only the administrator can access the Options dialog. If you are logged into idt with a user name other than admin, the Options selection will not appear in the Setup menu. Bypassing the Login Screen You can use the /Username and /Password command line arguments to bypass the login screen. These arguments are required for logging in to the application if you are running idt in batch mode. The correct syntax is /username=<name> /password=<password>. The <name> and <password> values must be valid entries in the database. For example: "C:\Program Files\idt\idt.exe" /Username=user /Password=pass Do not use these options if security is an issue. Creating User Accounts You can create user accounts if you are logged in as the administrator. Select Add User from the Setup menu, and the dialog box shown in Figure 10 will appear. Chapter 1. 17 Chapter 2. Processing Files 2. Processing Files This chapter describes how to send files using two methods and how files are validated prior to being transmitted. Sending Files When you click on the Send button or select the Send option from the File menu, the File(s) to Send dialog box pictured in Figure 11 will appear, letting you specify the drive and directory in which the desired files reside. In Figure 11, the files are located in the default Load directory (C:\Program Files\idt\input) that is created when idt is installed. If your files are stored on a network drive, click on the Look in: pop-up menu and navigate to the drive and directory in which they are stored. When you have located the appropriate directory, the list box in the center of the File(s) to Send dialog box will be populated with the files in that location. Figure 11: The File(s) to Send Dialog Box You can select a single file to send or you can select multiple files. To select multiple files, hold down [Ctrl] while clicking on files in the list box. Select the type of file you are sending from the Files of type: pop-up menu. This is described in greater detail in the following section. Click on the Open button to send the files you selected. The Send process consists of the following steps: 1. Validating the file 2. Compressing the file Page 11

Page Encrypting the file 4. Transmitting the File 5. Saving the file While you are processing files, the idt main window will switch to Status View, showing you the results of the process. If idt encounters any errors, they will appear in the window in red. Successful procedures appear in blue. Depending on your configuration, you may also receive an confirmation of the success of your transmission. For more information, see: Options on page 24 and SMTP Options on page 27. Selecting a Type of File to Send The Files of type: pop-up menu is populated with descriptions of the type of files that you can transmit. The types of files you can send will vary depending on the type of business you do. For example, if you only deal with Word documents, you will be limited to that file type. These file types are for categorization purposes only, allowing your files to be stored with similar types of files at their destination. Using The AutoSend Option The AutoSend feature lets you transmit all files in your Load directory in one step. When you click on the AutoSend toolbar button or select AutoSend from the File menu, all files in the directory you specified as your Load directory are automatically processed. During the Send or the AutoSend process, idt switches to the Status Window View, which provides information about the success or failure of each transmission. File Validation idt validates each of your files before they are transmitted. The validation procedure determines that the file's format is one that can be accepted. idt first determines the type of file being transmitted. Depending on the file type, it then checks various fields to ensure that they exist within the file and that they are in the proper position within the file. In addition, if a file type requires a submission date, idt verifies that the date is in the proper format. If the validation fails, the results will be displayed in the status window. Some examples of validation errors are displayed in Figure 12. Chapter 2. Processing Files

Chapter 2. Processing Files Figure 12: Status View With Validation Errors Files with validation errors usually will not be sent. You can confirm whether the file was transmitted by viewing the audit trail. The file's status in the audit trail will be Validation Failed. You may be configured to transmit files that fail validation. For more information, see Transmission Options on page 21. Saving Files An exact copy of each file transmitted by idt is stored in the Save directory using the file's transmission file name. In idt, the term transmission file name refers to the name given to a file before its transmission. The transmission file name consists of: Your eight-character customer identification number. The file type selected when you selected the files to be sent. A product identification code A sequential control number generated by idt A P or T suffix indicating whether the transmission was a production or test transmission. A.wo file extension An example of a transmission file name is WIS-SS00010P.wo. Using Batch Mode To run idt in batch mode, click on the Windows Start button and select Programs:iDT:iDT Batch. You can also start idt in batch mode by adding the /batch command to the Target line in the idt shortcut. Page 13

Page 14 To add the /batch command: 1. Right-click on the idt shortcut on your desktop and select Properties. 2. Click on the Shortcut tab. 3. Add /batch to the Target field. 4. The Target line will appear similar to the following: "C:\Program Files\idt\idt.exe" /batch When you run idt in batch mode, the splash screen will appear, then idt will run without being visible. All files in your Load directory will be transmitted. If you deactivate the Exit after Batch run check box in the General tab in the Options dialog, idt will appear when the transmission is complete so you can review the results of the transmission in the status window. You should activate this check box if you are using idt in conjunction with a scheduler that automatically transmits your files at a preset interval. For more information see the section entitled General Options on page 15. Chapter 2. Processing Files

Chapter 3. Specifying Options 3. Specifying Options idt provides several ways to customize the program for your environment. When you select Options from the Setup menu, the dialog box pictured in Figure 13 appears, letting you specify idt's options. Only users with administrative permissions can access the Options dialog. If you are logged into idt with a user name other than admin, the Options selection will not appear in the Setup menu. General Options The General section of the Options dialog, shown in Figure 13, displays your customer information and lets you set options related to the general operation of idt. Figure 13: The Options Dialog Customer Information The Customer Information section displays the Customer ID # and allows you to enter your e- mail address. Login The Login section lets you set a login procedure that requires a user name and password when a user starts idt. Batch The Batch section lets you configure idt to exit after it is run in batch mode. If you want the program to remain running so that you can check that the transmissions were successful, deactivate the Exit after Batch run check box. This option should be activated if you are using a scheduler in conjunction with idt. Page 15

Page 16 Save Zip File If you activate the Retain Zip File in the Event It Exceeds idt Processing Limitations check box, idt will not delete a compressed (.zip) file when it is too large to be encrypted and transmitted. A message will be written to the status window and log indicating this. Load Options The Load section of the Options dialog, shown in Figure 14, lets you specify the directory from which you will be loading files and filters to use when loading. Figure 14: The Options Dialog Load Options Load Directory The Load directory contains the files to be sent by the AutoLoad process and is the initial directory in the File(s) to Send dialog box after selecting the Send option. You can use the Browse button to search for and specify a different Load directory. AutoSend File Types Load All Files As Activate this radio button if you want to load all files in your input directory as files of a specific type. Select the type of file from the pop-up menu. These file types correspond to the valid types you can transmit. Chapter 3. Specifying Options

Chapter 3. Specifying Options Load Only the Filters Specified Below You can specify up to five filters for loading files. Enter the filters into the text entry fields in this section. Use the pop-up menus to the right of each text entry field to specify the file type that should be used for transmitting the files loaded with a particular filter.. For example, if you want to load text files (files with a.txt extension), enter *.txt as the filter. If you want to transmit loaded text files as idt files, select Standard idt Files from the pop-up menu. If your files have extensions other than three characters: When using file filters (e.g., *.txt), note that the program uses the Windows file extension wildcard conventions. This means that if you have enter *.<extension> where <extension> is exactly three characters, Windows will match not only the files with those three characters as the file extension, but also those files whose extensions start with those three characters. If you enter an extension that is not exactly three characters (for example two or four characters), the filter will return only exact matches. Example 1: The file filter *.txt will match file names file.txt and file.txt123. Example 2: The file filter *.tx will match file name file.tx, but not file.txt or file.txt123 Load Options: FTP Sites The FTP Sites section shown in Figure 15 lets you specify FTP locations from which you can retrieve files and place them in your Load directory. You can enter multiple locations, a directory within each location and a filter to use when retrieving files from the FTP server. Figure 15: The Options Dialog FTP Sites Options Load FTP Sites You can specify multiple FTP sites from which to load files. Page 17

Use the Up and Down buttons to set the order in which idt will load files from the FTP sites. To delete an FTP site, highlight it in the list box and click on the Delete button. To rename an FTP site, highlight it in the list box and click on the Rename button. Enter a new name for the site in the dialog box that appears. FTP Information Host Name Specify the host name of the FTP server from which you will be retrieving files. Type If you are loading files from a VAX server, select VAX from this pop-up menu. If you are loading files from any other type of server, select Auto. FTP User Name Enter your FTP server user name. FTP Password Enter your FTP server password. FTP Directory Enter the directory on the FTP server from which you will be retrieving files. Load Filter If you want to load files with certain file names or extensions, enter the string here. Wildcards (* and?) are supported. This field defaults to *.*, which will load all files. Note that you must conform to your server's naming conventions and case sensitivity when entering a filter. Use File Only Listing If you receive an error when attempting to get the file listing from your server, activate this check box. This option will cause a short listing to be used, which will use only the file name and will not retrieve file size and date information. This short listing is retrieved using the FTP NLIST command, which can be used on any type of server. Delete File From FTP Server After Transfer Activate this check box to delete files from the FTP server after they are successfully transferred to your Load directory. Directories Options The Directories section of the Options dialog, shown in Figure 16, lets you specify the Save, Error, and Temporary directories. Chapter 3. Specifying Options

Chapter 3. Specifying Options Figure 16: The Options Dialog Directory Options File Locations Save The Save directory stores all files that have been transmitted. When you run the AutoSend option or the Send option, transmitted files are copied to the Save directory and renamed with a transmission filename. The files in the Save directory are not compressed or encrypted. You can use the Browse button to search for and specify a different Save directory. Error The Error directory stores any files that caused errors when being processed with idt. Temporary Files The Temp directory stores a variety of files temporarily during the application's normal processes. If you find that the default directory frequently becomes full during your idt sessions, you can use the Browse button to search for and specify a different Temp directory. Activate the Always use current system TEMP directory check box if you are using a system that creates separate temporary directories for each user (for example, Windows 2000). Logs Options The Logs section lets you specify the location of your log file as well as specify an interval at which your log and audit trail files are archived to a.zip file. Archiving these files will save space. Page 19

Page 20 Figure 17: The Options Dialog Logs Options Log File The Log File directory contains idt's log, which is named idt.log. Log File Archiving To save space in your idt directory, you can archive your log and audit trail files into a.zip (compressed) file at a regular interval. If you want to archive these files: 1. Activate the Archive Logs and Audit Trail to Zip File check box. 2. Specify the directory in which the.zip file should be saved. 3. Specify the interval in months at which these files should be zipped. There are two ways to specify a date using this control. You can: Type the date directly into the text portion of the field. Use the left and right arrow keys to move between the month, day and year fields. Click on the down-arrow button at the right of the field to open the calendar control, as shown in Figure 27. You can then scroll through to the desired month or year and select a day. When you click on a day in the calendar, the selected date is entered into the text field. Page 29

Page 30 Figure 27: The Date Specification Control After making the appropriate selection and clicking on the OK button, the main window will display the log entries requested. Figure 28 is an example of a log. Figure 28: The Log View The log consists of the information written to the Status Window each time you process files with idt. This information is stored in the log file, allowing you to view it later. Chapter 4. Working With Views

Chapter 4. Working With Views Status Window View The Status Window View, shown Figure 29, appears automatically when you perform a Send or an AutoSend. You can also bring this view up manually by clicking on the Status toolbar button or by selecting the Status Window option from the View menu. Figure 29: The Status View Audit Trail View The Audit Trail View appears when you click on the Audit Trail button or when you select the Audit Trail option from the View menu. A sample Audit Trail is shown in Figure 30 below. Page 31

Page 32 Figure 30: The Audit Trail If you scroll to the right, you will see the following additional columns: Column Definitions Figure 31: The Audit Trail - Additional Columns Status The status describes the result of the transmission attempt. Possible statuses include Sent, Failed Validation, and Failed Connecting. Date and Time Columns These columns display the date and time that the file was processed. If you sort the audit trail by one of these columns, the audit trail will be sorted first by date, then by time. Week Ending This column may not appear at your installation. If your file contains a field specifying the last date for which data is included in the file, it will be extracted from the file and displayed in this column. Product This column may not appear at your installation. If your file contains a product code, it will be extracted from the file and displayed in this column. Chapter 4. Working With Views

Chapter 4. Working With Views Control Number This is a sequential number generated for each file transmitted. A P suffix indicates that the file was transmitted in production; a T indicates that the file was a test transmission. User This column displays the login name of the user who processed the file. Original File The original file name and its location prior to being processed is displayed in this column. Saved File idt places a copy of the sent file in the location you specified as the Save directory in the Options dialog box. The name of the saved file is displayed in this column. Sent File The transmission file name is displayed in this column. Host The name of the destination host is displayed in this column. Sorting the Audit Trail You can sort the audit trail by clicking on any column heading. When the Date heading or the Time heading is selected, the audit trail is sorted first by date and then by time. When any other column heading is selected, the audit trail is sorted by the selected column and then by date and time. The selected column header will appear in italics. Ascending and Descending Sorting When you click on a column heading for the first time, the audit trail is sorted in ascending order. If you click the column header a second time, the audit trail will be sorted in descending order. Each subsequent click will toggle the sorting between ascending and descending sort order. If a new column heading is selected the sort order will return to ascending until the same column heading is clicked again. Exporting the Audit Trail The audit trail is saved in an encrypted file named audittrail.dat and can be found in your main idt directory. If you want to print or further use the data found in the audit trail, you can export it to a file. To export the audit trail, select Export Audit Trail from the File menu. A Save dialog box will appear. By default, the audit trail will be saved as text file named idt-audit.txt and will be placed in your main idt directory. If you want to save the audit trail as an Excel file, save it with an.xls extension.. Page 33

Appendix A. idt Troubleshooting Guide Appendix A. idt Troubleshooting Guide This guide consists of two sections. The first describes how to check file versions if you are having difficulty running idt. The second section contains possible errors you may receive and how to resolve them. Checking idt File Versions The version checking mechanism verifies that you are using the correct versions of idt's support files (VBXs, DLLs, and OCXs). If you cannot run idt due to a possible incompatibility problem, run the stand-alone Version Checker (checkver.exe) from Windows Explorer. By default, this program is installed in the main idt folder C:\Program Files\iDT\checkver.exe. The program will search the files in your PATH and determine which files will be loaded when you run idt. It will then display any possible incompatibility problems that could occur in the Version Verify dialog box pictured in Figure 32. Figure 32: The Version Verify Dialog Box The Version Verify dialog box is divided into two sections. The top section lists all files that may be causing incompatibility problems. When you click on one of the files in this list, the lower part of the dialog box displays details about the incompatibility issues related to that file. Page 35

Page 36 The description in the lower list box will contain the following information: The date, size, and version number of the Reference File. This is the file required by idt. The location, date, size, and version number of the Actual File that is found. This is typically the file that idt loads when you run the application, resulting in an incompatibility issue. Whether or not the file is currently loaded. If the details for a particular file state that it is not currently in memory, this indicates that it will be loaded when you run idt. If the checker finds the file in another location, it will display the location, date, size, and version number of the duplicate file as well. Often, this file is the same as the Reference File but is not loaded because it has a lower precedence in the PATH statement. Incompatibility problems often result when another application is installed after idt and the accompanying DLL, OCX, or VBX files replace the versions used by idt. If the application you install after idt has later versions of these system files, this information will appear in the Version Verify dialog box, but should not affect idt. Contact your System Administrator for assistance in resolving these issues. Saving Results Click on the Save button to save the results of this operation to a text file named conflicts.txt. This file will be saved to your C:\ drive. If you have questions about the results, you may conflicts.txt to idt customer support. Appendix A. idt Troubleshooting Guide

Appendix A. idt Troubleshooting Guide Error Messages and Resolutions Error Message Meaning/Cause Resolution Steps Could not connect to any host No FTP or HTTP site was found or the HTTP servlet is unavailable. Possible causes include: Incorrect internet configuration. Connection failure either at your site or the site to which you are connecting. 1. When you first install idt, you must specify your method of connecting to the Internet (through a direct connection such as a T1 or T3 line, or through a dial up connection using third-party software, such as AOL). The Direct Connection to the Internet option is enabled by default. If you connect to the Internet via a dial-up connection, you must change the default by selecting Options from the Setup menu, choosing the LAN tab and enabling the Dial-Up Networking Connection radio button. In order to use idt's dial-up networking option, you must have a Dial-Up Network Connection configured in Microsoft Windows. To configure this connection, click on My Computer, then click on the Dial Up Networking icon. 2. If the problem persists after adjusting your Internet connection options, verify that the host name in the idt Transmission tab under Options is correct. If so, and you are using HTTP, try to connect to the host using an internet browser. If you are using FTP, you can try to connect by using an internet browser or by using command-line FTP as described below: Open a DOS window and type the following at the prompt: ftp <host> where <host> is identical to what appears in the Transmission tab in the Options dialog box. If a request for your username and password appears on your screen, the FTP attempt was successful. If the HTTP or FTP attempts described above are not successful, contact your Internet Service Provider (ISP) to make sure the IP address is being resolved correctly. Page 37

This error could result from either a change to idt.ini file or a change to your account on the host server. This is an internal FTP error. This error occurs when you successfully connect to the FTP or HTTP server but are unable to send files. The error may occur when FTP or HTTP permissions are incorrect. This error occurs when you neglect to provide a Customer ID# when you install idt. The Customer ID# identifies all files sent from your site and must be included as part of each filename. This error occurs if you entered invalid characters for your Customer ID# during installation. The Customer ID# identifies all files sent from your site and must be included as part of each filename. a copy of your idt.ini file to idt customer support.
