Virtual Desktops Current Status and Immediate Future among CSG Institutions Min Yao, UC San Diego Steven Sather, Princeton University

About the survey 10 questions (7 closed and 3 open ended) meant to collect some base line and immediate future information on virtual desktop deployment After thoughts: Should have included Desktop as a service (DaaS) in the survey; Should have a built in function to prevent multiple entries from the same institution Should have a dropdown list for filling in the correct institution names (e.g., is U M U of Michigan, U of Minnesota or U of Maryland?) Should have asked respondents names for clarifying answers 6/14/2012 Virtual Desktops CSG summer meeting 2

About the survey results N = 26, or 90% of CSG member institutions responded to the survey It is a descriptive study and only describes the current status and immediate plans of the 26 CSG member institutions, regarding their use of virtual desktops. Given the small sample size and non randomized data collection methodology, the survey results may not be statistically significant for generalizing to the large population of higher education institutions 6/14/2012 Virtual Desktops CSG summer meeting 3

Survey participants Eighteen (18) identifiable CSG member institutions Carnegie Mellon University Columbia Cornell University Duke University MIT Princeton University Stanford U M UC Berkeley UC San Diego UC San Francisco University of Chicago IT Services University of Iowa University of Michigan University of Notre Dame University of Washington University of Wisconsin Madison Virginia Polytechnic Institute and State U (Virginia Tech) And seven (8) anonymous CSG member institutions Thank you for taking the time to respond to the survey (Steven begins presentation) 6/14/2012 Virtual Desktops CSG summer meeting 4

Findings More than two thirds (69%) of CSG member institutions that responded to the survey have deployed virtual desktop VMware has been the most popular virtual desktop solution, with Citrix solution running closely as the second best choice VMware and Citrix are also the most popular choices for CSG member institutions who have not deployed virtual desktop but plan to do so within the next 12 months 6/14/2012 Virtual Desktops CSG summer meeting 5

Findings (continued) Despite its open source root, none of the CSG member institutions has used Red Hat Enterprise Virtualization for their virtual desktop solutions. Furthermore, none of the CSG member institutions plan to use it as their immediate future virtual desktop solutions within the next 12 months There is an increased interest in the use of virtual desktops. Fifteen (15) of the eighteen (18) CSG respondents indicated that they will increase deploying virtual desktops within the next 12 months, and four (4) of the eight (8) CSG institutions respondents who have not deployed virtual desktops plan to deploy virtual desktops within the next 12 months 6/14/2012 Virtual Desktops CSG summer meeting 6

Findings (continued) The most important reason for deploying virtual desktops is to increase productivity (rated 7 on a 10 point scale) The second important reason for using virtual desktops are easy management and support of desktop computers (6.6) and augmenting public computer labs (6.5) Enhancing security is another important reason for using virtual desktops 6/14/2012 Virtual Desktops CSG summer meeting 7

Findings (continued) By far, most virtual desktops (46%) were deployed in administrative areas Barriers to virtual desktop deployment Institutional culture Higher upfront cost (license and hardware) Dependency on the availability of the network and Internet at home (for remote access from home) Dependency on network bandwidth for satellite campuses/locations 6/14/2012 Virtual Desktops CSG summer meeting 8

Findings (continued) Barriers to VDI deployment (continued) Poor audio and video display for some applications Doesn t handle remote printing well Trade offs between security and usability Lack of the ability to delegate management rights/authority to departmental or unit IT staff Complexity of design and management Demand on central storage and management 6/14/2012 Virtual Desktops CSG summer meeting 9

Findings (continued) Barriers to VDI deployment (continued) Windows solutions only (most cases); no good Mac or Unix/Linux virtual desktop solutions Difficult to meet individual users needs for desktop customization (as compared to generic lab computers or call center computers) Virtual desktops don t support specialty software well (instruments, GPU intensive programs) Existing campus license agreement may not cover virtual desktops on BYOD s (e.g., SPSS) 6/14/2012 Virtual Desktops CSG summer meeting 10

Findings (continued) Barriers to VDI deployment (continued) Lack of comfort level for teaching faculty Additional overhead on the backend support Campus acceptance (rf, institutional culture) Variable ROI (or lack of it) Other comments Deploying VDI requires the re work on existing solutions for patch and antivirus management 6/14/2012 Virtual Desktops CSG summer meeting 11

Findings (continued) Other comments (continued) Has anyone considered deploying cloud based virtual desktop solutions? Delivering virtualized applications is more effective than delivering whole virtual desktops Business schools have longer history of using VDI for delivering their online courses than central IT. We should learn from them 6/14/2012 Virtual Desktops CSG summer meeting 12

Findings (continued) Other comments (continued) Virtual desktops are a perfect solution for library kiosks and computers Need to find a way to pool all the power of today s low cost but powerful desktop computers and laptops and use this shared pool of resources to host virtual desktops. This will help reduce the upfront cost of deploying VDI Ease of use of on the tablet is a plus 6/14/2012 Virtual Desktops CSG summer meeting 13

Findings (continued) Other comments (continued) We are moving to application presentation and moving away for any particular OS tie (?) Three workable areas of VDI: Virtual computer sites (give students and faculty the access to sites software remotely) Remote access to applications by faculty and staff from home Mac users access Windows desktop environment Cloud based virtual desktops will be more appealing than the traditional VDI 6/14/2012 Virtual Desktops CSG summer meeting 14

Q8: Barriers to VDI Cost Staff resources adding an additional tool to an already large workstation management portfolio Cost and appropriate use cases Institutional culture Dependency on Internet availability In order of importance, highest to lowest: * High upfront costs of VDI product licensing and hardware. * Microsoft's VDA licensing and the new CDL license for windows 8 that adds licensing costs and complexity. * Remote Display and audio performance in remote office WAN scenarios * Remote Printing Cost (licensing), speed of network (host to desktop), security/usability tradeoffs, ability to delegate responsibilities to departmental level Network Infrastructure Requirements Expense of custom persistent desktops rollout Expense of VDI cloud solutions Latency Most solutions require a network connection Acceptable user experience Management complexity of some solutions Storage Software Vendor Licensing complexity for VDI environments (i.e. Microsoft) 6/14/2012 Virtual Desktops CSG summer meeting 26

Q8: Barriers to VDI The platforms available today are generally focused on providing a windows desktop, and a windows desktop is not necessarily the platform for all use cases on campus, as we have a growing Mac population and have use of Linux desktops. There is some concern about providing a comparable computing experience to what the user has today on their desktop or laptop system, and providing a comparable experience is where our initial focus is, but it also provides additional productivity opportunities not available with a traditional desktop. As with the review of deploying any new IT service both providing the service internally within the IT organization or partnering with a service provider such as Dell or Horizon Private Cloud (we are currently doing a POC) and deploying in a desktop as a service approach are being explored. Cost of back end infrastructure. 6/14/2012 Virtual Desktops CSG summer meeting 27

Q8: Barriers to VDI doesn't pencil out for typical admin desktop user (good for labs and call centers) doesn't work offline would like to see type 1 hypervisor support works best with 'permanent' storage for each user. solve this first :) some app sw doesn't play well with VDI deployment (licensing, graphic intensive, 'local' matlab, etc) seen as additional cost over std desktop everyone still needs an access device. cost of virtualization software complexity to implement and manage in addition to managing physical machines (doesn't fully replace) VDI solutions don't support 'cloud bursting' for elasticity. some labs require use special hw and can't use VDI (gpu, instruments, etc). 6/14/2012 Virtual Desktops CSG summer meeting 28

Q8: Barriers to VDI (cont d) 1. The main barrier is in defining what end user software packages can be used in a VDI environment. Our challenge as a campus is to define the use cases of Remotely accessing a University Owned Device from a Personally Owned Device. If our interpretation is that this is the same as using software on a University Owned Device that will allow better usage of existing academic software titles. If the interpretation is that it is like installing the software on your personal device, then many academic software titles will have to be reviewed and potentially renegotiated. 2. Microsoft VDA and CDL licensing is helping clarify proper Windows licensing for VDI environments but they also represent an unexpected cost in addition to the already existing expenditure for a Microsoft Campus Agreement. 1. Comfort level for teaching faculty. 2. Software licensing 3. Trade offs between performance and availability. 4. Additional administrative overhead is required (albeit minimal). Network performance. Regulations surrounding data storage if we choose a cloud solution. Viable ROI to justify implementation. Business continuity planning to minimize impact of problems. Acceptance of solution by the community. Implementing centralized or cloud sourced data storage solutions are not really a barrier but definitely a complexity. 6/14/2012 Virtual Desktops CSG summer meeting 29

Q8: Barriers to VDI (cont d) For the University of Iowa, the upfront cost for a VDI is very high. Ease of management is one of the strongest selling points. We already have a large workstation management system based on Systems Center Configuration Manager (12,000+ workstation). So, the incremental value for us of VDI is small. The capital cost of the back end infrastructure (Storage, Servers, Licenses) is substantial. There is still a cost for an end point. Finally, for us is VOIP solution we are looking at (MS Lync) does not work well in a Virtual environment. We end up having to place a PC for that function. This all translates to a ROI of 7+ years. Initial investment is high Performance Determining the ROI based on variable adoption. Unless a guaranteed number of desktops were virtualized, setting up the infrastructure could prove more costly than the benefits. The only way VDI can save money is if the unit moves to very thin and cheap client machines. There is very little interest in that, so VDI is actually more expensive. You have to pay for the desktop and the virtual desktop. Originally VDI was believed to save costs and reduce desktop management. Neither of these opportunities have been realized in the implementations at Stanford. Further, there are only a few administrative type groups that can take advantage making the cost/benefit ratio even lower. Time to do it. 6/14/2012 Virtual Desktops CSG summer meeting 30

Q9: Other comment We anticipate much higher use of virtual applications than traditional "VDI" and provisioning of virtual desktops The existing patching and anti malware strategies used with physical devices can work with classic thick deployments but new processes have to be developed to work with deployments unique to desktop virtualization. Have Universities deployed 3rd party cloud based VDI solutions? That seems (in a sense) to be the most outsourced solution. Do we need to get ahead of the curve and stand up private\public clouds? Should their be a consortium of schools defining xaas standards for things like fungibility of 3rd party VPS\VDI solutions? Trends Hosted and streaming Application visualization offers more targeted solutions. Why deliver a whole desktop if all the user wants it an application? The trend is moving more towards supporting applications not devices Outsourcing the entire desktop delivery and maintenance function to a centralized data center Vendors looking to HTML 5 to support non Windows platforms down the road BYOD increasing popularity Comments Some VDI solutions require additional access licenses from Microsoft While our business school has done a lot of work with VDI and deploying with VMware View and has had some good early success stories, though the environment they are supporting is primarily windows based. We in the central IT organization are still in our initial exploratory efforts, we originally began our project as an internally hosted VMware View infrastructure that we were going to operate. As we went through our process we began to explore opportunities to work with Virtual Desktop service providers as this is a developing market, and we are now doing a proof of concept pilot with Horizon Private Cloud. Our initial targets for the service is our administrative desktop program, which provides for desktops on a three year renewal cycle for a portion of our administrative community. The goal has been to provide additional mobility and service delivery in today's growing BYOD environment and simplify the environment and reduce the level of expertise needed to support the desktop at the edges by centralizing the majority of the complexity within the cloud or data center. Working perfectly for Library kiosk and computer labs. Harder to make the business case for desktop replacement. It would seem ideal to have a solution that could leverage the low cost and high power of todays desktop and laptops sysetm, rather than deploy and manage additional high cost server hardware. Many administrative users work this way already by RDPing to their desktop machine when needed. Being able to share/pool unused desktops as VDI hosts, and the ability to run the VM image locally (with backup copy in datacenter) would address many issues with current approaches. 6/14/2012 Virtual Desktops CSG summer meeting 31

Q9b: Other comment We are looking at the primary benefit of VDI coming through the ability to more efficiently manage remote systems and to be able to migrate more data to centralized storage instead of on the end devices. 1. Support for Linux and MAC guest operating systems is lacking and/or not feature rich. 2. Ease of use for tablets is very good and a positive experience. This is or will become very useful to the user population. 3. Customized environments for labs or classrooms. 4. The landscape of this technology is forever changing and dynamic. Navigating the right solution for different use cases can be complex. We are actively investigating the VDI in the cloud space in order to outsource the infrastructure, and this seems like a rapidly growing sub sector of VDI. We also have a sense that desire/need for access to VDI from mobile devices and BYODs will increase quickly, as well as the need for access from any location. Trends for the University of Iowa are: 1) Security applications in a data center a) Health Care systems for Patient data b) Payment Card Industry (PCI) systems c) Security Systems (Door Access and Video Surveillance) 2) Academic Applications that are tedious to install a) SAS b) SPSS c) ArcGIS 3) Applications for a virtual student computer lab We are moving to application presentation and moving away for any particular OS tie Will be most interested in the results of this survey. I think there are three workable use cases for VDI right now... 1) Virtual computing sites. Is a practical way to give students and faculty access to sites software remotely. 2) Remote access to applications for staff and faculty from their personal homes. They can get to their work software stack from their home computer. 3) Mac Access to Windows Software. For those people that don't want to install a full Windows image on their Mac, it's a nice way to get to Windows software. It would be great if thin clients we're a good use case too. But that's not proving to be the case. People still are buying large desktops and laptops and avoiding netbooks. As more cloud offerings become available along with the cost of hardware becoming less, traditional VDI seems to be less and less compelling in the academic environment. Hosted desktop will become more and more interesting as it is far more scalable, less expensive and available for different types of user groups. 6/14/2012 Virtual Desktops CSG summer meeting 32
