4 Getting Started Read this chapter to learn how to set up your LoanTek account, set up lead delivery options and more. 1 Logging into your LoanTek account Go to Your username is the address you provided during your set up. Your password was provided by your Account Manager via . If you have lost your password or username, Support@LoanTek.com or call Changing your Password Go to Services/Support tab. Select User Manager. The User Information tab will populate. Enter your new password in the New Password field. Click Update. 1

5 Setting up your Lead Delivery Options Go to Services/Support tab. Select User Manager. Select the Lead Delivery Options tab. Setting up notifications. Click Add New Address and make sure to check the box for Use For Task Reminder, the click Add. Setting up text notifications. Click Add New SMS Number and make sure to check the box for Use For Task Reminder, select your service provider, then click Add. Pausing/Unpausing your lead delivery If you, or one of your LOs is going out to be out of the office, it is a good idea to pause their lead delivery. If you are the only user on the account, do not pause your lead delivery. Go to Services/Support tab. Select User Manager. Select the Lead Delivery Options tab. Check the box next to Pause ALL lead delivery? to prevent leads from being sent to this user. Click Update. 2

6 Managing your account 2 Updating your company information Go to Services/Support tab. Select Client Manager. The Client Information tab will automatically populate. Update any of the fields necessary and click Update. Updating your billing information Go to Services/Support tab. Select Client Manager. Select the Billing tab. Select the Credit Cards tab. Updating a card s information. Select credit card from the drop down list of Credit Card Number(s). Update any of the fields necessary and click Update Credit Card. Adding a new card. Click New next to the Credit Card Number(s) field. Update all of the fields and click Add Credit Card. 3

7 Editing Users Edit a user s information if you would like to replace the user with a new user or if you would like to edit a user s address, phone number, or login credentials. Go to Services/Support tab. Select Client Manager. Once in Client Manager, select the Users tab. Expand the user that you would like to edit by selecting the arrow to the left of their name. Edit the fields within User Information, then click Update. Add New User Contact Support or your Account Manager to add a new user. 4

8 Pricing Managing your Fee Sets Go to Pricing tab. Select Quoting Managers>Fee Manager. 3 Master Fee List. Your master fee list is a template for your other fee sets. If you edit a field, it will not update fee sets already in your account. Editing Existing Fee Sets. Select the Fee Set Editor tab. Select Edit next to any Fee Set. This will open a window with a drop down list of the fee sets in your account. Select the Fee Set you would like to edit. Once you have made changes, click Save Fee Set. Adding a new Fee Set. Select the Fee Set Editor tab. Select Add New Fee Set. Enter a description of the fee set. Check the box next to the Fee you would like applied to this Fee Set. Enter an amount for the fee. If you do not want a fee applied, do not check the box next to it or enter an amount in the fee field. Once you have entered the fees you would like applied, click Save Fee Set. 5

9 Managing your Lender Note on Zillow, Bankrate or your Widget Go to Pricing tab. Select Quoting Managers>Message Manager. Editing your message. Select Edit next to the message you would like to edit. Once you have made any changes, click Update. Adding a new message. Select Add Message. Enter a name and text in the body. Click Add once you have completed this. If you are copying the message from anywhere, first paste the message into a simple word program, like notepad. If message is displaying on Zillow, you cannot have any contact information website, , phone number, etc. Bankrate limits the amount of characters to 60. Managing your Zillow quoting Go to Pricing tab. Select Quoting Managers>Zillow Preferences. Updating your credentials. Enter your Zillow username and password. You must enter your password twice. Click Update. If your credentials were successfully updated, you should be able to update your Zillow account balance. Failure! Success! Disabling your auto quoting. For Auto Quote Enabled? select No and click Update. Enabling your auto quoting. For Auto Quote Enabled? select Yes and click Update. 6

10 Managing the lenders in your account. Go to Pricing tab. Select Lender Manager. Disabling a lender. Expand the lender information by selecting a small arrow to the left of the lender you want to disable. Select Disable Lender. If you were successful, the Active column will now read False for this specific investor. Enabling a lender. Expand the lender information by selecting a small arrow to the left of the lender you want to disable. Select Enable Lender. If you were successful, the Active column will now ready True for this specific investor. Adjusting your comp/margin. Expand the lender information by selecting a small arrow to the left of the lender you want to edit. Enter the new comp/margin. Click Save Comp Adjustment. After adjusting your comps/margins, refresh your browser to view the changes made. Adding a lender. To add a lender to your account, you must rates@loantek.com. Here is a list of the current lenders that we support. 7

11 Quoting Dashboard The Quoting Dashboard shows you which lenders are winning, comparing all your lenders as a whole. This feature is only accessible if you are quoting on Zillow. Quotes are stored for approximately 30 days. Go to Pricing tab. Select Quoting Dashboard. You can filter by Date, State, or Lender or by Product Class, Family, Type, or Term. Once you have chosen your filter, click Update. This will generate a graph according to your filtered search. 8

12 Quote Type Preferences This is where you go to limit the points for your 3rd Party Channels and the Widget. Go to Pricing tab. Select Quote Type Preferences. Select any or all of the specific channels you want to limit then select which quote types you would like to quote on those channels, then click Save Preferences. Your changes will save and show up at the bottom of the screen. 9

13 Using Loan Pricer Loan Pricer is used to compare all of the investors in your account and get best execution results. You can access it by clicking the Loan Pricer tab. Use these to limit your product search Recommended: Do not select a Product Class unless you are looking for a Streamline product. The system knows based on the loan info entered. Enter the borrower s information in the available fields. You can limit your search a number of ways. Show Best Execution Pricing Shows the best rates available, considered for all available investors. Hide pricing where a stop was encountered View why a particular product is not available to this borrower. Ignore Pricing Rules If you have several Pricing Rules set and one of them may be preventing an available product, check this box. If you have comp or fee rules set, they will not be considered if this box is checked. Show pricing for disabled sheets If you have disabled a rate sheet, you can still view their pricing. Show pricing for all lenders considered View all pricing from all of your lenders, or limit the search to only selected lenders. Best Ex Method Select to view all best execution rates for all (or selected) lenders or by point group. 10

15 Leads 4 Generate a report Generate a report to evaluate an LO s performance or your own. You can sort by a specific date range and by a specific user. You can also evaluate your entire team. Go to Leads tab. Select Tracking>Reporting. Select a date range and the user (or All Users ) you d like the report generated for. Then click Update. Evaluating your report by users Generate a report to evaluate how your lead sources are working for you. You can sort by a specific date range and by a specific user. The data next to the User Name, is related to the date range selected. Calls Answered is only available to users who utilize LoanTek Connect v.1. All other headers are status s used on the lead record. Evaluating your report based on Lead Source Generate a report to evaluate how your lead sources are working for you. You can sort by a specific date range and by a specific user. Results are displayed similar to the above, but are broken down by lead source. 12

16 Manually adding a new lead Go to Leads tab. Select Add New. Be sure to select the appropriate Lead Source and Source Filter. Continue filling out the remainder of the fields within the tabs. No fields are required, but you must put an and first name if you have elected to send the Initial Contact. Do not send Initial Contact if you have already spoke to the lead. If you want the lead to receive your Initial Contact , you must select to do that here. You cannot trigger the Initial Contact otherwise. 13

17 Bulk Importing Leads If you have a database of leads that you would like to import into your LoanTek account, you can do so by importing a CSV file. Go to Leads tab. Select Bulk Import. Step 1 Step 2 Step 3 Download the provided Excel template by clicking Download Template. Once you have downloaded the template, enter the fields exactly as suggested. Do not alter the template in anyway. All of the headings must be exactly as they were when the document was downloaded. Once you have input all your data, save the document as a CSV File. Select the Status and Lead Source of the leads you are importing. This will apply to all the leads you import. Step 4 Step 5 Click Select to choose your file. You must agree that the leads are not rented, borrowed, or purchased. Only send the Initial Contact to these leads if you have not spoken to them. Click Import Leads. Troubleshooting: If your attempt to import leads failed, check to make sure you did not alter any headings, there are no commas in any of the fields (use the Search feature in Excel), and that Zip Codes have 5 digits. If you still have issues, Support@LoanTek.com. 14

18 Campaign Statistics The Campaign Statistics are an overview of your leads, based on your filtered search. Go to Leads tab. Select Tracking>Campaign Stats. You can filter by date, user or campaign. Select your desired filters from the dropdowns then click Update. Statistics and a graph will then be generated based on your above elections. Bounces are often recorded because an address is incorrect. You can edit the address and the borrower will receive s. 15

19 Adding Custom Filters Custom filters allow you to keep your leads organized and color coded. Go to Leads tab. Select Settings/Tools>Custom Filters. Enter your desired title in the Custom Filter Name box. Select the color you would like associated with this filter. Check the Client Level box then click Add Filter. 16

20 Understanding your campaigns Go to Leads tab. Select Campaigns>Campaign Manager. To view the campaigns set up in your account, go to the Campaigns tab, then select Campaign Manager. Select the Manage Campaigns tab, once there, you will have access to a drop down menu with a list of your campaigns. Your campaigns are named based on the status they are associated with. Once you have selected the campaign you want to view, scroll down to view how s are scheduled to go out. You will see a table like the one below. that is scheduled to send. Status that the s will go out for. Custom Filter that s will go out for. Day that the will go out. This is based on when the lead has arrived or when you have changed the lead s status. 17

21 Creating Campaigns Go to Leads tab. Select Campaigns>Campaign Manager. Step 1 Name your campaign Select the date you want your campaign to start Step 2 Select Active from the drop down Once you have saved your campaign, a list of your users will appear on the right. Be sure to select the users whose leads should be receiving s from your new campaign, the Save Campaign again. Select Schedule Type first. Once = One time on a specific date and time Weekly = goes out on a weekly basis Monthly = goes out on a monthly basis Variable = goes out on a daily, weekly or monthly basis By Day/For Month = goes out over the course of up to 4 months on a set interval. 18

22 Step 3 If you have selected Once, Weekly, Monthly or Variable, select To Send. Then select what status a lead must be in to receive the . If you want it to go to all borrowers regardless of status, select All Statuses. Go through the same process for the remaining fields. If you have selected By Day/For Month, select the number of months you would like the borrower to receive s, then check the box (the yellow highlighted one if for use with LoanTek Connect v.1) next to the days you want s to send and select the from the drop down to the right of the box. Once you have selected all the s, click Add below Day 10. Step 4 Once you have completed the above steps, review your campaign in the table at the bottom of the screen. Step 5 If the table is correct, start your campaign. 19

23 Suspending an Active Campaign You may want to suspend a campaign if you would like to temporarily stop sending specific s. This maintains the contents of the campaign, but it will not be active. Go to Leads tab. Select Campaigns>Campaign Manager. Then select the Manage Campaigns tab. Select the campaign you would like to edit from the drop down labeled Select Campaign. Scroll to the bottom of the screen and select Suspend Campaign. 20

24 Understanding and editing your s Go to Campaigns tab. Select Campaign Manager. Then select the Manage s tab. To view the s set up in your account, go to the Campaigns tab, then select Campaign Manager. Select the Manage s tab; once there, you will have access to a drop down menu with a list of your s. Your s are named based on the campaign they are associated with. Once you select the you want to edit from the drop down, the page will jump to Step 5: Preview. To edit the , go to Step 4: Add Content. A=Assigned/Attempted C=Contacted N=Nurture Q=Qualified Once you have made any change, be sure to Save . (Do not Save As Copy. ) 21

25 Widgets There are three widgets you can choose from. The Quote Widget displays live rates based on what the borrower has entered. The Contact Widget asks the borrower for their basic information and does not return rates. The Rate Widget displays a standard set of rates. The borrower can enter name and address, but no loan information. Go to Widgets tab. Select the widget you d like to use. To create a new widget, click on the dropdown and select Create New Widget, name your widget then save it. 5 You can customize the look of your widget by clicking on Quote Form Design Options. This is where you can change the colors and the design of the widget. This is to the left on your screen. 22

26 You can edit any and all information (Loan information and eligibility) by clicking on Quote Form Field Options. When you have finished with your editing, click Save, it is located under the widget name dropdown. Once it s successfully saved, copy the code near the top of your screen, send it to your web developer or input it wherever you d like the widget displayed. 23
