3 Importing A Customer List Overview If you have a list of customers that you want to import into the database, then this guide is for you! After logging in to the TechStorm online Management System, a sample list can be obtained from the following path: Utilities >> Advanced User Imports. From there, click on Customers/Users, and then click on Download Sample CSV. The sample document will contain the information that any imported file should contain. In general, files to be imported should follow these general rules: None of the entries in your file should have commas. The first 3 columns (Customer ID, First Name, LastName) should not have special characters such as periods, quotation Marks, dashes, etc. The file to be imported does not have duplicate records, or duplicate addresses. Details On Importing a Customer List To begin, log on to the TechStorm Management System. From here, head to Utilities >> Advanced User Imports. CRM Marketing Page 2

4 Click the Customers/Users button. When the download of the sample file has been completed, you can open the file in Excel, or other spreadsheet readers. You will need to make sure to save your subsequent edits as a CSV file, or future imports will fail. Mandatory Fields: Customer Number: Unique customer number is entered in this field (Maximum of 30 characters; excess characters will be truncated). FirstName: The first name of the customer is entered here (Maximum 20 Characters). Special Characters are not allowed. A valid address of the customer is entered here (Maximum 30 characters). Optional Fields: LastName: Last name of the customer is entered here. Address: The address details of the customer are entered here. City: The city details of the customer is entered here. State: The state details of the customer is entered here. Country: The country details of the customer is entered here. Zip: The zip code details of the customer is entered here. Mobile: The telephone number of the customer is entered here. Date Of Birth: Date of birth of the customer will be entered here (Format :YYYY-MM-DD). CRM Marketing Page 3

5 Once you are done editing your file, click the Browse button, navigate to your file, and select it. Once you ve selected your file, press the Save button. Actions performed on successful import: On Successful import of your file, details are saved in the customer database. Using At The Point Of Sale Adding A Customer From the home screen of the TS1 Tablet, click customer. CRM Marketing Page 4

6 A list of existing customers will appear. If you want to add a new customer, click the + sign in the upper right hand corner of the screen. The only required information is First Name and address. When complete, click the Check Mark in the upper right hand corner. CRM Marketing Page 5

7 Updating A Customer Head to the customer screen from the home screen, select a customer, then press the pencil button in the upper right corner of the screen. Update any necessary information, and press the green check mark to save your changes. Please note that For reporting purposes and database integrity, a customer record cannot be deleted. Reporting Overview The primary purpose of the Customer Activity Report is to display customers which have had sales activity during a specified time period. The filters can be set to pull by levels from frequency group or by static group levels. This report can be exported to be used for targeted marketing campaigns. More detailed information on customer activity can be obtained by using Customer History. You can obtain your entire customer list, by just generating the report to provide all details on all levels. 8 Reporting Details To begin, log on to the TechStorm Management System, if you aren t still logged in. From here, head to Reports >> Customer >> Customer Activity. Enter the data that you wish to search by. If the Zip Code or State is entered, then the MANAGEMENT SYSTEM will pull up all customers in the database with that zip code/state. If you are marketing to a specific Zip Code, enter the appropriate zip code and click "Generate". The report displays the following data for the date range specified. CustomerID: YYYY/Venue/Store/Register/Sequence (if generated automatically from the POS system). Customer ID's generated by MANAGEMENT SYSTEM will be of the YYYY/0/0/0/Sequence Number of Items - Total number of items Sold for the Customer (# of Sales - # of Refund) Transaction Count - Number of Transactions for the Customer (Sales + Refund + Exchanges) Net Transaction Amount - Sum of Total Amount for all the transactions for the Customer Exchange Transactions - Number of Exchange Transactions for the Customer Refund Transactions - Number of Refunds for the customer Transaction Margin = Sum of (Rate*Quantity - Discount - Coupon - Cost Price) for each item based on Transaction Type Discount Amount = Total Discount Amount for all the transactions for the Customer Coupon Amount = Total Coupon Amount for all the transactions for the Customer The PDF output report can be downloaded to a.csv spreadsheet by clicking the Download CSV button. 9 Exporting For Marketing Purposes Once the report is exported, you can use the information to create marketing campaigns in programs such as constant contact, mail chimp, etc. CRM Marketing Page 8
