1 Titans Basketball Club Organisation Structure Ver 4.0; Last Updated; 20 th May 2010 Social and Community Training & Local Competition National Competition Individual Officers Executive Committee PR & Communicati ons External Roles Finance Club Development The organisation is built around 6 groups, Individual Officer roles, some External roles and the Executive Committee. Collectively these organise and coordinate the activity of the club, working with parents and coaches to ensure that club objectives are delivered. Each of the 6 groups will have a group leader, who is responsible for organising and coordinating group responsibilities. The Executive Committee has 4 roles specified by the constitution and should also include the leaders of the 6 groups. Individual Officer Roles optionally may be members of the Executive Committee, all should be prepared to attend committee meetings as required. 2 s - Key Responsibilities Training and Local Competition Responsible for Coaching and Competition of all Adult and Junior players to local league level. i.e. Academy, Junior Teams, Galway League Teams, Scrimmage. This group is responsible for the organising of Team Managers, Parents and Coaches that volunteer to support the group s activities. The bulk of the activity is focussed on Junior as the Adult Teams are meant to self-organise as per the Adult Players Procedures Ver 2.0. Junior Defining annual targets for both Academy and Competitive teams. Supporting activity of the Coaching Development Officer to ensure coaching is run as per the defined curriculum. Competitive Teams / Squad Development Organising Squads, Managers, Coaches. Promoting Competition Academy Note; Availability and roster of Coaches is the responsibility of the Head Coach. Arranging Volunteers for door cover. o Checking Attendance, Registration, Promoting Gear Sales, Advertising of events. Organising Blitz, Games Social and Community Responsible for the development and coordination of all club activities, Coaches and Team Managers, to do with; Camps Social Basketball, (e.g. Xmas social basketball day) Masters (Ladies and Men s) Community Programmes e.g. o RAPID Programmes o Healthy Lifestyle Programmes o Social Inclusion Programmes Developing and submission of proposals for Grants and Funding associated with the above activities. National Competition Responsible for the development and coordination of all club activities, Coaches and Team Managers, to do with National Competition, Ladies, Mens and Juvenile. Ladies NC/NL Mens NC/NL Juvenile NC/NL Promoting Junior Players to try out for regional and national squads. Page 2 of 5

3 Executive Committee As defined in the Constitution. Development of the organisation to support the needs of the club. Allocating annual budgets to each section of the organisation. Ensuring that the club activities are run as per the provisions of the constitution and other policy and procedure documents. Coordination of all subgroups and committees in the club. PR & Communications Leader is also the Club PRO. Responsible for the development and coordination of all club activities to do with promoting the image and presence of the club in the community and to club members including; PR Media, Papers, Web, Local Radio etc E-Newsletter to members. SMS / Broadcasts to groups or entire membership Weekly team results updates to Website and other groups. General website content updates. Development or Sourcing of a professional communication toolset to support club needs including; o E-newsletter, Website, SMS/Text tools driven from the club member database. o System Administration for all tools. o Webmaster activity Club Development Responsible for the coordination and management of all club activities and involvement in facilities and gyms, excluding the responsibilities of the Facilities Management Officer. Develop and document Titans longer term Vision and Objectives, 5-10 year view. Define what Titans B.C. would want in terms of facilities to support Titans longer term goals. o A key decision to be made is Titans pursuing the goal of owning it s own GYM or not. Outline the approaches that should be pursued in order to have the desired facilities available to members. Outline the likely costs and timeframes for each option. Outline what the club would need to commit to in order to support each option. Review with club members and finalize a proposal that the club would endorse. Build relationships with groups and organisations to support the development plan of the club. Finance Work closely with the Executive Committee and the other s to establish the funding needs of the club. Lead and oversee the organising of fundraising events. Plan the mechanisms whereby Titans funds its activities. Build on the work done by James Hanley and Karen Vondy, ref. Titans Fundraising Steering Proposals. Develop both medium and longer term plans, providing a plan for the next months on a rolling basis and also taking a view to the longer term, i.e. up to 3 years. Utilize the full year for fundraising where possible. Page 3 of 5

4 Individual Officer Roles - Key Responsibilities Head Coach Responsible for ensuring that the club has an adequate number of volunteer coaches to meet the coaching needs of the club at all levels. Maintaining list of Coaches. This list to be supplied to the Child Protection Officer for Garda Clearance. Managing the rostering of coaches for all Juvenile sessions and teams. Works with the Adult teams to ensure availability of coaches for those teams. Works closely with the Coaching Development Officer to ensure that the curriculum is understood by all coaches and used as the basis for training sessions and team development. Organises coaches to be available for Curriculum Workshops and Coaching skills improvement activities. Coaching Development Officer Responsible for the development and documentation of the complete curriculum to be used by coaches at all levels. Responsible for the coaching of all coaches on the curriculum. Responsible for the development and deployment of a methodology to assess Junior player skills development and skill level. Support and assist coaches achieve recognised coaching skill level certification. Referee and Table Official Development to recognised certifications. Maintaining list of Referees, Table Officials Disability Liasion Officer Responsible for the promotion and support of basketball for players with disability within the club. Liaise with disability support groups to promote basketball and understand how the club could better support players with disability. Child Protection Officer Development and Deployment of Club Child Protection Policy. Garda Clearance of Adults Coaching Children; Responsibilities are as defined for the Child Protection Officer in Procedures for the Approval of New Coaches and Team Managers. Child Advocacy where requested, by a child, parent or coach in relation to difference of opinion as to sanctioning & how situations were resolved. Informing parents of any inappropriate behaviour or injuries relating to their child, during their scheduled Basketball Training; Recording of any incidents of concern, reported by adults and / or children; Following up/ referral, of any Children First Reports with related authorities e.g. Gardai and HSE- W; Keeping up to date on good child care practice and legislation. Facilities Management Officer Developing and maintaining Gym Schedules. Agreeing Rates and Schedules with GYM Owners. Booking/ Cancelling Gyms Cost Management of Gyms Membership Registrar Responsible for the development and maintenance of the club membership database including; Membership Registration BI Membership Registration Page 4 of 5

5 Executive Committee Roles - Key Responsibilities Honorary President Primary role in advocacy for the organisation Act as notional non-partisan figure head of the organization Serve as an advisor to and consultant for any of the other officers of the club on all matters concerning the aims and work of the club. Chairperson As per constitution Chair of all Committee meetings. Treasurer Responsible for Financial Planning and Reporting. Ref Financial Controls V2 Club Financial Procedures and Processes. Bank A/C. Club Public Liability Insurance. Receivables/Cash Collection. Accounts. Provision of Income and Expenditure breakdown by; o National Competition o Adult Local League/Training o Junior Local League/Training o Social and Community Activity. o Other. Operations Director Ensuring annual goals are developed for each area of club, plus corresponding budgets quantified. Development of the organisation to support the needs of the club. Maintaining annual calendar of events. Ensuring overall coordination so that group activities support the annual goals of the club. External Roles groups that Titans could benefit by supporting.
